Four sample documents from the fictional Harrowfield Fire & Security behind index tabs, taking turns at the front, each started from a template: the cover of a six-monthly inspection and test report for Calder House; a defect rectification quote with the visit and four optional defect lines; the cover of a CCTV, alarm and access control proposal for Penrose Cold Stores; and a monitoring agreement's three monitoring tiers.

None of these is made only for fire or security work, and that's fine: each is a close starting point for an installation quote, a network and camera proposal, a service agreement or a handover sign-off. Open one, then add the blocks below.

Add your report blocks to any template
A test report template needs more than a letterhead. Add a results table by system and a defect list with each device's id, location, finding and severity, then a photo marked up on site and the two signatures.
Once those blocks are in the template, every technician's report reads the same way, whether it was typed up, created by your inspection app or drafted by your AI assistant. The results and any certification under the standard that applies to the site stay your licensed technicians'.
- Results by system and a defect list
- Photos marked up in the image editor
- Technician and building manager signatures

Agreement templates with the charges and terms built in
Start from the Service-Level or Service Delivery Agreement template and add your monitoring tiers, the repeating charges with their term, the visit calendar and your terms.
Lock the terms on the Business plan so nobody edits a clause by accident, and keep the monitoring tiers and service lines in a content library so every agreement uses the same wording.
- Repeating charges with a term, invoiced by you
- Content libraries: Essentials and up
- Content locking: Business plan

Agreement terms
- MonitoringStarts once the alarm and cameras are connected and tested with the monitoring centre.
- DefectsFound at a visit, they are quoted separately and fixed once you approve them.
- InvoicesHarrowfield invoices the charges above monthly; this agreement doesn't take payment.
- ExpiryThe agreement ends on 31 Oct 2028. A renewal is a new agreement for you to sign.
Six things to set up in every template
Do this once, and every report, quote and agreement your team sends starts right.
Your price book
Defect fixes, devices, labour and visits as products, so lines come in priced.
Defect quotesYour device-count sheet
A Spreadsheet block whose cells set the equipment lines' descriptions and unit prices. Essentials and up.
Device calculatorsData items
The site name, address, building manager and device numbers, filled in for each document.
Content libraries
Scope wording, system descriptions and exclusions you reuse, on Essentials and up.
Locked blocks
Terms and licence details that technicians can't change, with content locking on Business.
Approval rules
Total value or discount triggers, so big quotes from any template wait for approval (Business).
Approvals
Send us your report and we'll convert it
Free for 14 days, no credit card required. One template conversion is free during the trial on Essentials, Business and Enterprise.

Lock the clauses (Business) and make it the template your team starts from.
Template questions
Does QuoteCloud have fire or security specific templates?
Not yet. The closest real templates are electrical services quotes, network installation proposals, service-level and service delivery agreements, a service contract, a project customer acceptance form and a bid proposal. Security and fire contractors start from one of these and add their own results, defect and pricing blocks.
Can you convert my existing inspection report or quote into a template?
Yes. One template conversion is free during the trial on the Essentials, Business and Enterprise plans: send us your current report, quote or agreement and we rebuild it as a QuoteCloud template. More conversions are available as a paid professional service.
Can I stop technicians changing the terms in a template?
Yes, on the Business plan. Content locking stops a block such as your terms, licence details or exclusions from being edited in documents made from the template. Technicians still fill in the site details, results and price lines.
Can I bring my device-count spreadsheet into a template?
Yes. Import your .xlsx into a Spreadsheet block, on Essentials and up. It works like Google Sheets, with formulas and tabs, and any cell can be connected to a price line's description and unit price, so the proposal prices itself from the counts. Quantities stay on the price line as usual.
Does a template make my report a compliance certificate?
No. A template sets out your report's layout and wording. The testing, the results and any certification under the standard that applies to the site are your licensed technicians'; QuoteCloud presents the document, tracks it and collects the signatures.
