Getting started with QuoteCloud

Translation agency questions, answered

Word counts, rate cards, rush fees, minimums, AI assistants, certificates, interpreting and payment, answered from what QuoteCloud really does.

This page answers the questions translation agencies, localisation vendors and interpreting services ask about QuoteCloud: how word counts become prices, how rate cards, rush fees and minimums work in a Spreadsheet block, what an AI assistant can be set up to do through MCP, how certificates and delivery reports are issued, and how clients sign and pay.

Word counts, rate cards and pricing

Can QuoteCloud price a translation from word counts?

Yes, from the counts you bring in. Import the analysis your translation tool produces into a Spreadsheet block, apply your match-band weights, rates, rush percentage and minimum charge with ordinary formulas, and connect cells to each language line's description and unit price. QuoteCloud doesn't count words or analyse files itself.

What is the Spreadsheet block?

A full spreadsheet inside a QuoteCloud document, like Google Sheets: formulas such as SUM, SUMPRODUCT, ROUND, MAX, IF and XLOOKUP, several tabs with cross-tab references, number formats and .xlsx import. Any cell can be connected to a price line's description and unit price, and a price table total can be brought back into a cell. It's on Essentials and up.

How are fuzzy matches and repetitions priced?

By your own weights. Put the counts per match band in the sheet, multiply each band by your weight, such as 100% for new words and 25% for repetitions, and price the weighted total at each pair's rate. The weights are yours; QuoteCloud just runs the formulas.

Can we charge rush fees and minimum charges?

Yes. Your rush percentage and minimum charge per language are cells in your rate-card sheet. A rush cell raises each connected language price by your percentage, and a MAX formula applies your minimum when a short job comes in under it.

How do clients choose which languages they need?

Add every language you offer as an optional line and tick the ones the client asked for as the default selection. The client can tick or untick languages in the quote, and the subtotal, tax, total and deposit update before they sign. Quantities stay at one; the sheet sets each line's price.

AI assistants and QuoteCloud's MCP service

Can an AI assistant prepare our quotes?

QuoteCloud's MCP service, on Essentials and up, lets an AI assistant work with QuoteCloud. It can be set up to read the word counts your translation tool produces and draft a quote from your template and rate card, as a draft your project manager reviews and sends.

Can the assistant send quotes to clients by itself?

No. Set it up to create documents as drafts. A person reviews and sends each one, approval rules still apply, and the assistant reads only the clients, templates and rate cards you allow it to.

Does the AI translate or check our translations?

No. Neither QuoteCloud nor the assistant translates, counts words or runs quality checks here. It works with the documents around the job: the quote before and the delivery report after, both drafted for your team to review.

What is the difference between MCP and the AI Co-Worker?

The AI Co-Worker, on the Business plan, helps your staff write inside the QuoteCloud editor, and its output is flagged until accepted. The MCP service, on Essentials and up, lets an AI assistant your agency already uses work with QuoteCloud from outside, such as drafting a quote from an analysis.

Bookings, agreements, reports and certificates

Does QuoteCloud certify translations?

No. A certificate of translation is your agency's own statement. You lay it out once as a template, lock the wording on the Business plan, and have your translator sign it in QuoteCloud. The signed document carries QuoteCloud's certificate of authenticity for the signature, not for the translation.

What goes in a delivery report?

What your team delivered and did: the files per language, the steps such as translation and editing, the checks your people ran in their own tools, and the queries answered. The client acknowledges delivery with a signature. It's your record of the work, not a certification.

Can we confirm interpreting bookings in QuoteCloud?

Yes. An interpreting booking is a short document with the mode, languages, dates, venue and interpreter, day rates, preparation, travel and options, plus your minimum and cancellation terms. The client signs and pays a deposit. QuoteCloud doesn't schedule interpreters or track their hours.

Can a framework agreement hold a client's rate card?

Yes. Put the rates per pair and level, the weights, minimum and rush terms in a schedule, add your terms and an expiry date, and have both of the client's signers sign. The agreement shows under Expiring Soon as its date approaches; nothing renews by itself.

Approvals, signing and payment

How do clients pay?

Connect Stripe or PayPal on Essentials and up and set payment on signing as a percentage deposit, a fixed amount or the full total. The client pays as they sign. Later invoices, such as the balance on delivery, stay in your accounting software.

Can big discounts need a director's approval?

Yes, on the Business plan. Approval rules trigger on a discount percentage or on total value. A quote that passes a rule waits In Review and can't be sent until approved, including drafts made by an AI assistant.

Are QuoteCloud eSignatures legally binding?

QuoteCloud eSignatures are legally binding, and every signed document carries a certificate of authenticity and an audit trail. Several people can sign the same document without an account, and signers can also sign in person on your device.

Can we add a passcode for confidential documents?

Yes. Add an optional one-time passcode sent by email, so a signer must enter it before opening the document. Use it for confidential source material, legal documents and certificates.

Where QuoteCloud stops, so nobody over-promises

Clear limits, so your team never promises a client something the software doesn't do.

  • It doesn't translate

No machine translation and no translation memory. Your linguists and your translation tool do that work.

  • It doesn't count words

The counts come from your own tool's analysis, imported or written into the sheet.

  • It doesn't certify

Certificates are your statement. QuoteCloud's certificate of authenticity covers the signature only.

  • It doesn't roster

No interpreter scheduling, timesheets, reminders, instalments or automatic renewals.

Plans, set-up and integrations

Which plan do translation agencies need?

Essentials covers price tables, templates, the Spreadsheet block, payments, the Forms block, the API, Zapier, Make and the MCP service. Business adds approval workflows, Gantt charts, content locking, version history, the AI Co-Worker and native accounting integrations. eSignatures are on every plan, including Free.

Does QuoteCloud connect to our translation tool or CRM?

Import your translation tool's analysis as an .xlsx, or use Zapier, which can write values into sheet cells, Make, the API or MCP where your tools have a connector. HubSpot and Zoho connect through Zapier, Pipedrive through Zapier or Make, and Xero and QuickBooks natively on Business, otherwise through Zapier.

How do we get started?

Start a 14-day free trial with no credit card. Import your rate-card spreadsheet into a Spreadsheet block, convert your quote template, and connect Stripe or PayPal. One template conversion is free during the trial, and paid plans include a 45-minute training session.
