Implementing QuoteCloud in a language services business
Your rate card rebuilt as a sheet, templates converted, payments connected, the assistant set up and project managers trained, in a sample four-week plan.

- Building QuoteCloud since 2013
A typical QuoteCloud rollout for a translation agency rebuilds the rate card as a Spreadsheet block, converts the quote, proposal, booking and certificate templates, connects Stripe or PayPal, sets up Zapier or your AI assistant through MCP, and trains project managers. One template conversion is free during the trial; onboarding and professional services are available.

The Pricing tab of a fictional agency's rate-card sheet, rebuilt as a QuoteCloud Spreadsheet block: one row per language pair from English into French, German, Japanese, Spanish (Latin America), Portuguese (Brazil) and Arabic, each with its rate per weighted word, the price for 8,517 weighted words at translation and editing, and the line description; the service level, rush and delivery estimate cells; the set-up line; and the quote total, $7,011.28, brought back from the price table with the price per source word. The selected cell, C2, shows its formula: the larger of the minimum charge and the weighted words times the rate, the level factor and the rush factor.

Six workstreams from rate card to first paid quote
A sample plan for a fictional agency with six project managers. Timings are planning, not a promise: yours depend on your rate card, your documents and your team.
-
Phase 1, Week 1
Rebuild the rate card as a sheet
- You bring
- The spreadsheet your project managers price from today, and three recent jobs to test it against.
- QuoteCloud gives you
- Import of the .xlsx into a Spreadsheet block with Analysis, Pricing and Rates tabs, using ordinary formulas such as SUMPRODUCT, MAX and XLOOKUP.
- Done when
- The sheet prices those three jobs to the cent, rush and minimums included.

Phase 2, Week 1
Connect cells to the language lines
- You bring
- The language pairs you quote most and how each line should read.
- QuoteCloud gives you
- Each pair's cell connected to a language line's description and unit price, and the price table total brought back into a cell.
- Done when
- Change the service level and every language line and the total follow.
-
Phase 3, Week 2
Convert the templates
- You bring
- Your current quote, localisation proposal, interpreting booking, framework agreement, delivery report and certificate.
- QuoteCloud gives you
- Templates built from real QuoteCloud ones, one conversion free during the trial, with your branding and wording.
- Done when
- Each document type can be created from its template in a minute.
-
Phase 4, Week 2
Connect payments
- You bring
- A Stripe or PayPal account and your deposit rules for new and regular clients.
- QuoteCloud gives you
- A percentage deposit, a fixed amount or full payment, taken as the client signs.
- Done when
- A test quote signed by your own team has had its deposit paid.
Payments: Essentials and up
Approvals, signing & payment -
Phase 5, Week 3
Rules, locked wording and connections
- You bring
- Your discount limits and approvers, your certificate wording, and your CRM and accounting set-up.
- QuoteCloud gives you
- Approval rules on total value or discount %, locked blocks (both Business), and Zapier, Pipedrive, Xero or QuickBooks connected the way each connects.
- Done when
- A quote over your limit waits In Review, and a signed test quote reaches your accounts.
-
Phase 6, Week 4
Train project managers, then the assistant
- You bring
- Your project managers, a few live jobs and, if you want it, the AI assistant your agency uses.
- QuoteCloud gives you
- A 45-minute training session on paid plans. Optionally, your AI assistant set up through QuoteCloud's MCP service to draft quotes for review.
- Done when
- Each project manager has sent a real quote; any draft from the assistant has been reviewed before sending.

Your rates, weights, minimums and wording stay yours: QuoteCloud runs the sheet and templates you set up. It doesn't count words, translate or certify.
One Rates tab, read by every quote
Most agencies' rate cards live in a spreadsheet already, with rates per pair, match-band weights and a few rules in someone's head. In week 1 they all go into one Rates tab: rates per weighted word, the weights, the minimum per language, words a day, the rush surcharge, the set-up fee and the factor for each service level.
Everything else reads from it. Change the Japanese rate here and the next Japanese line follows. Keep a copy of the template per framework client with their agreed rates.
- Rates, weights and rules in one tab
- Service-level factors and review days
- A template copy per framework client

The value of the rollout, job by job.
What stays in your own tools
A good rollout is clear about where QuoteCloud stops. Your translation tool still counts the words and holds your translation memory; your linguists still run their checks in their own tools; your project system still assigns the work; your accounting software still raises the invoices after the deposit.
QuoteCloud holds the documents between them: the quote priced from your rate card, the proposal, booking and agreement your clients sign and pay, and the delivery report and certificate at the end. If you set up an AI assistant through MCP, it drafts; your project managers review and send.

Implementation questions
How long does it take to roll out QuoteCloud in a translation agency?
A sample plan is about four weeks: the rate card as a sheet in week 1, templates and payments in week 2, approval rules, locked wording and connections in week 3, and training in week 4. Your timing depends on your rate card, your documents and your team.
Can we import our existing rate-card spreadsheet?
Yes. Import the .xlsx into a Spreadsheet block and its tabs, formulas and formats come with it. Check the results against a few recent jobs, then connect the cells that should price each language line. The Spreadsheet block is on Essentials and up.
Do we need the AI assistant to get started?
No. Most agencies start with the rate-card sheet, templates and payments. Setting up an AI assistant through QuoteCloud's MCP service can come later, once your quote and report templates are settled. Its documents are always drafts for a project manager to review.
What help is included?
One template conversion is free during the trial on Essentials, Business and Enterprise, and paid plans include a 45-minute training session. Onboarding services, professional services and premium support are available if you want more help.
