Getting started with QuoteCloud

Your catalogue in, signed orders out to your systems

Import the price file by CSV, keep costs and margins private, and pass signed orders to your CRM, accounting and order system.

QuoteCloud's product catalogue imports your price file by CSV with column mapping and validation: SKUs, categories, prices, hidden costs and pack notes. Pipedrive connects through Zapier or Make; HubSpot and Zoho CRM through Zapier; Xero and QuickBooks Online are native on Business, otherwise Zapier. Stores, ERPs and order systems connect through Zapier, Make or the API.

QuoteCloud's product catalogue importing a fictional wholesaler's price file, trade-price-list-2027.csv, 214 rows. Each CSV column is mapped to a catalogue field, with the first row's value: item_code to SKU (TT-CUP12), description to Name (12 oz double-wall hot cup, kraft), range to Category (Cups & lids), trade_price to Price (68.00), landed_cost to Cost (41.20) and pack_note to the price line note (500 per carton). Validation: 211 rows ready to import; 3 rows have no category and import as Draft. Costs import as hidden cost: buyers see prices, never costs or margins.

One price book behind every quote and order

Tanbark's 214 products came in from the same CSV its ERP exports: SKUs, ranges as categories, trade prices, landed costs as hidden cost and pack sizes as the line note. The three rows without a range came in as Draft, to wait for Dev to give them a category.

Every quote, sales order and distributor price list now takes its lines from this catalogue, whether Priti adds them, the website does or an assistant prepares the draft. Buyers see the price and the pack size; the cost and margin stay with your team.

  • SKU, category, price, unit and pack note
  • Cost, profit and margin, hidden from buyers

Signed orders out to the system that ships them

When Sofia signed Pinecrest's order, Zapier's Recipient Signed Document trigger fired. One Zap created the order in Tanbark's order system for Lukas's dispatch team, another added a row to the order register in Google Sheets, and the invoice went to Xero (native on Business, otherwise through Zapier).

For orders paid on signing, the Document Payment Event trigger does the same once the payment lands. Nobody retypes a line, and dispatch works from what the buyer actually signed.

  • Actions: Send Document, Generate PDF Link, Update Status

What connects where

The short version for your systems team.

  • Your website or store

Orders and enquiries create a document from your template through the API, Zapier or Make, with price lines, quantities and discounts set at creation.

  • Your AI assistant

With QuoteCloud's MCP service (Essentials and up), an assistant can be set up to find the account and prepare a draft from your catalogue.

  • Your ERP or order system

Signed and paid orders handed on through Zapier, Make or the API. Nothing syncs stock back: QuoteCloud holds none.

  • Your CRM

Pipedrive connects through Zapier or Make; HubSpot and Zoho CRM through Zapier; Salesforce through Zapier or the Sync add-on.

  • Your accounting

Xero and QuickBooks Online: native on Business, otherwise through Zapier.

  • Payments

Stripe or PayPal for full payment or a deposit when the buyer signs. Accounts on terms simply sign.

  • Keeping prices current

Re-import the price file by CSV, or use Zapier's Create, Find and List Product actions from your own system.

  • The document creation fee

Documents created through the API or Zapier cost US$2.00, $1.80 or $1.60 each, by monthly volume. None is stated for Make.

Questions about catalogues and integrations

Can we import our product catalogue from a spreadsheet or ERP export?

Yes. Export your price file as a CSV and import it into QuoteCloud's product catalogue. You map each column to a field, such as SKU, name, category, price, cost and notes, and the import checks the rows before they go in. The product catalogue is on Essentials and up.

Do buyers see our costs and margins?

No. Each product in the catalogue can carry a cost, and QuoteCloud calculates profit and margin for your team, but costs and margins are hidden from the customer. Buyers see the price, any discount on the line and the total, so you can share quotes freely without exposing what you pay.

Does QuoteCloud sync stock levels with our ERP?

No. QuoteCloud isn't an inventory, warehouse or ERP system: it holds no stock levels, checks no availability and reserves nothing. It prepares and signs the quote or order. Your ERP or order system stays the record for stock, and signed orders can be passed to it through Zapier, Make or the API.

How do signed orders reach our order system?

Through Zapier, Make or the API. A Zap can start on the Recipient Signed Document or Document Payment Event trigger and create the order in your system, add a row to a Google Sheets register or notify your team. Xero and QuickBooks Online are native on Business, otherwise they connect through Zapier.

Which CRMs does QuoteCloud work with?

Pipedrive connects through Zapier or Make. HubSpot and Zoho CRM connect through Zapier, and Salesforce through Zapier or the Sync add-on. Zapier is on Essentials and up. For other CRMs, Zapier, Make or the API can pass signed orders and form answers across, for example when the Recipient Signed Document trigger fires.

Is there a fee for documents our website creates?

Documents created through the API or Zapier carry a document creation fee: US$2.00, $1.80 or $1.60 each, depending on your monthly volume. No fee is stated for Make. Plan for it when you decide which requests your website should turn into documents and which your sales desk should prepare.
