Getting started with QuoteCloud

Create quotes from Dynamics 365 opportunities

A rep ticks Request quote on the opportunity. A Zap drafts the quote from your approved template, fills in the topic, account and owner, adds the contact as the recipient and writes the reference back to the opportunity.

Add a Request quote column to the Dynamics 365 opportunity, then build a Zap with QuoteCloud's Zapier app, on Essentials and up. Updated Opportunity starts it, a filter keeps only ticked opportunities without a quote, Create Document drafts the quote from your template and Update Opportunity writes its reference back. A person checks and sends it.

Two overlapping panels with sample data. Behind, Tessmore Engineering's RFQ response TE-Q-2431 for Quenda Robotics: data items filled from the opportunity (topic, account, opportunity ID, sales engineer) and a price table of 1,500 QR-310 brackets, fixtures, first article inspection and packing, $34,452.00 including tax. In front, an illustration of the Dynamics 365 opportunity with Request quote set to Yes and the QuoteCloud reference TE-Q-2431 written by a Zap.

Why start the quote from the opportunity?

Tessmore Engineering logs every RFQ as an opportunity in Dynamics 365. Sales engineer Anjali Desai used to copy the account, contact and part details into a quote by hand, in whatever version of the template was on her desktop.

Now she ticks Request quote on the opportunity. The Zap drafts TE-Q-2431 from the approved RFQ template, so the layout, terms and branding are the ones the business signed off, and estimator Callum Reid only prices the parts.

  • One explicit trigger: a Request quote column, not every edit to the opportunity.
  • The draft is never sent by the Zap: a person checks it, and the approval workflow can hold it.
  • The reference goes back to the opportunity, so later Zaps and people can find the quote.

How do I create a QuoteCloud quote from a Dynamics 365 opportunity?

Six steps. Every name is the exact event you pick in Zapier.

The same job can be built in Make, bring your own: a scenario that watches the opportunity with Make's own Dynamics 365 modules and calls QuoteCloud's API through Make's built-in OAuth connection.

Anjali ticks Request quote at 10:04 on Wednesday. At 10:05 TE-Q-2431 is a draft with Quenda Robotics, the opportunity ID and her name in its data items, Marcus Oyelaran as the recipient, and its reference on the opportunity.

Result

Every quote starts from the opportunity and the approved template, and the opportunity says which quote is its own.

TE-Q-2431: data items filled from the opportunity, a draft for Callum to price.

What the Zap fills, and what people still do

The Zap fills the template's data items, the title and the recipient. Create Document can also add price-table rows from fields you map, such as a part number, quantity and rate kept in opportunity columns.

It doesn't copy the opportunity's product lines into the price table, tick options or choose content blocks. Callum prices the brackets, Quenda ticks engraving if they want it, and Anjali sends.

  • Priced from your product library, so list prices stay in one place.

Variations on this recipe

  • Start on a pipeline stage instead

Filter on the opportunity's stage, such as Propose, instead of a Request quote column. Check the stage arrives in your test data first.

  • Start from a Dynamics quote

If your team builds quotes in Dynamics first, Updated Quote can start the Zap. Its product lines don't become price-table rows; your template's price table does the pricing.

  • Two templates, one Zap

Add Paths by Zapier on a column such as Business unit, with one Create Document per path: machined parts or sheet metal.

  • Build it in Make instead

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Dynamics 365 modules. No ready-made QuoteCloud app on Make.

Draft your first quote from Dynamics

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and build the quote Zap with a test opportunity.

Build the quote Zap in five steps

  1. Add the columns

Ask your Dynamics admin for Request quote (yes/no), QuoteCloud reference and QuoteCloud status on the Opportunity table.

  2. Start with Updated Opportunity

In Zapier, choose Microsoft Dynamics 365 CRM's Updated Opportunity and pull in a test opportunity with Request quote ticked.

  3. Filter it

Continue only if Request quote is true and QuoteCloud reference is empty.

  4. Draft the quote

Add Find Contact, then QuoteCloud's Find or Create Contact, Create Document with your template and Add Document Recipient.

  5. Write it back and test

Add Update Opportunity with the reference and Draft, run it on a test opportunity with an @example.com contact, then switch it on.

Questions about quotes from opportunities

Can QuoteCloud create a quote automatically from a Dynamics 365 opportunity?

Yes, through a Zap you build. Zapier's Updated Opportunity trigger starts it, a filter keeps only opportunities with Request quote ticked and no quote yet, and QuoteCloud's Create Document drafts the quote from your template. QuoteCloud's Zapier app is on the Essentials plan and up.

Why use a Request quote column instead of New Opportunity?

Because most opportunities aren't ready for a quote when they're created. A yes/no column the rep ticks is an explicit request, it's easy to filter on, and it works with Updated Opportunity. Filtering on QuoteCloud reference being empty also stops the Zap's own update from starting it twice.

Do the opportunity's products become price-table rows?

No. A Zap doesn't copy an opportunity's product lines into the price table. Create Document can add rows from fields you map, such as a part number, quantity and rate kept in columns, and your team prices the rest from the template or product library.

Does the quote Zap send the quote?

Not in this recipe. It creates a draft and adds the recipient, and a person checks and sends it from QuoteCloud. That's where QuoteCloud's approval workflow, on the Business plan, holds quotes over your limits until they're approved.

What does each quote the Zap creates cost?

Each document created through Zapier or the API carries a per-document fee of US$2.00, $1.80 or $1.60 by volume, on top of a QuoteCloud plan of Essentials or higher. The other Zaps on this site update Dynamics or post to Teams and don't create documents.
