Getting started with QuoteCloud

Dynamics 365 to QuoteCloud field map

Every field the Zaps on this site read or write, which way it travels, where it lands and a sample value. Hand it to whoever adds the columns in Dynamics.

Into QuoteCloud go the opportunity's topic, ID, account and owner as data items, and the contact's name and email as the recipient. Back to Dynamics 365 go the QuoteCloud reference, a status, Last viewed, Signed on and Last signed by, written to custom columns on the opportunity, plus new contacts under their account.

Two overlapping panels with sample data. Behind, the data items of Tessmore Engineering's quote TE-Q-2431, each marked as coming from a Dynamics 365 field: opportunity topic, account, opportunity ID and owner. In front, an illustration of the Dynamics 365 opportunity with its QuoteCloud reference and QuoteCloud status columns updated by Zaps.

Which Dynamics 365 fields go where?

One group per Zap. Arrows show the direction; filled chips land in QuoteCloud, outlined ones in Dynamics 365 or Teams.

The one field every return Zap needs

Every Zap that writes back to Dynamics first has to find the opportunity. The simplest key is the topic: the quote Zap uses it as the document's title, and Find Opportunity searches on it.

So don't rename one without the other. If your test data shows QuoteCloud's triggers carry the document's data items, the opportunity ID data item is a surer key.

The columns to add in Dynamics 365

On the Opportunity table. Add only the ones your Zaps write.

  • Request quote

Yes/no. The rep's explicit request; the quote Zap filters on it.

  • QuoteCloud reference

Text. Written by the quote Zap; also its loop guard.

  • QuoteCloud status

Choice: Draft, Viewed, Partly signed, Signed, Expired, Lost. A choice keeps views and charts clean.

  • Last viewed

Date. Written by the Viewed Zap.

  • Signed on

Date. Written when signing is complete.

  • Last signed by

Text. Written for each signer by Recipient Signed Document.

Field types to watch

  • Dates

QuoteCloud's dates may arrive in a different format from the one a Dynamics date column expects. Check the test data, and use Zapier's Formatter if they don't match.

  • Lookups

Account, contact and owner are lookups in Dynamics. A trigger may give you an ID rather than a name; use Find Account or Find Contact when you need the name.

  • Money

Est. revenue is ex tax in the examples here. If you write QuoteCloud's total back, decide whether tax is in or out, and say so in the column name.

  • What never maps

Options the buyer ticks, content blocks and the opportunity's product lines: a Zap doesn't set them.

Field map questions

Which Dynamics 365 fields can go into a QuoteCloud quote?

Any field the trigger or a search returns: typically the topic, opportunity ID, account, owner and your own columns, mapped into the template's data items, plus the contact's name and email as the recipient. Create Document can also add price-table rows from fields you map.

Where does the quote's status go in Dynamics 365?

Into columns you add to the Opportunity table, such as QuoteCloud status, Last viewed and Signed on. Zapier's Dynamics 365 app updates records but has no action for notes or tasks, and columns work in views and dashboards.

Does QuoteCloud write the quote's total back to Est. revenue?

Only if you map it. The examples leave Est. revenue to the rep. If you write QuoteCloud's total back, decide whether it includes tax.

Can the opportunity's products fill the price table?

No. A Zap doesn't copy an opportunity's product lines into the price table, tick options or choose content blocks. Your template, product library and team do the pricing.
