Getting started with QuoteCloud

What QuoteCloud with simPRO can and can't do

The plain answer before you build: what the Zaps between QuoteCloud and simPRO do, where they stop, how Zapier and Make compare, and what we haven't confirmed yet.

Through Zapier, QuoteCloud and simPRO can draft proposals from simPRO quotes, open simPRO service jobs at the right customer and site when documents are signed, attach the signed PDF, file variations and create leads for expired agreements. They can't create simPRO project jobs, mark simPRO quotes approved, map quote sections into job sections or keep the two apps in sync.

Two overlapping panels with sample data. Behind, Halden Climate Co.'s proposal HC-C-0731 with data items carried from simPRO quote 30418 and its price table, $241,150.00 plus tax. In front, an illustration of the simPRO service job 30455 a Zap opened from it: customer, site, order number and the signed PDF, but not the price table's lines.

What can the simPRO Zaps do?

Each one is a Zap you build with QuoteCloud's and simPRO's Zapier apps, on QuoteCloud's Essentials plan and up.

  • Draft proposals from simPRO quotes

Quote Updated, filtered on your finished stage, then Create Document with the quote's details in data items.

    Estimates to proposals
  • Open service jobs on signature

Document Signing Complete, then Find or Create Company Customer, Find or Create Site and Create Service Job.

    Tender to job
  • Attach the signed PDF to the job

Generate or Fetch Document PDF Link, then Attach File to Job, in the same Zap.

The signed PDF on the job
  • File variations on running jobs

Find Job on the contract's order number, then Attach File to Job for each signed variation.

    Variations
  • Book the next term, chase the lapsed

A signed renewal opens the first service job; an expired one becomes a simPRO lead with Create Lead.

    Maintenance renewals
  • Book every site of a portfolio

One agreement per site; each signature opens a job at that site, adding the site if it's new.

    Multi-site clients

Where do the Zaps stop?

Limits of simPRO's and QuoteCloud's Zapier apps as they are today, and what to do instead.

  • No simPRO project jobs

simPRO's Zapier app has Create Service Job only. Create projects in simPRO and let a Zap find them with Find Job.

  • No sections, lines or job value

Create Service Job takes no lines, sections, cost centres or value, so the job doesn't copy the price table. The signed PDF carries the approved scope.

  • No quote approval in simPRO

There's no action that updates a simPRO quote. Your team converts or approves it in simPRO after the client signs.

  • No contract renewal in simPRO

There's no action that creates or renews a customer contract. The office renews it in simPRO; the Zap books the first visit.

  • No sync

Each Zap runs one way, once, when its trigger fires. Later edits in simPRO don't change a signed document, and edits in QuoteCloud don't change the job.

  • No choices made for the client

A Zap never ticks options or chooses content blocks. Clients choose; your team edits drafts before sending.

Zapier or Make?

Both reach the same QuoteCloud events and actions. There's no direct simPRO connection inside QuoteCloud on any plan.

  • Zapier

QuoteCloud's Zapier app and simPRO's Zapier app, both ready-made, so every recipe here is point-and-click. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume. Zapier bills its own plans.

    Connect through Zapier
  • Make

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, called from scenarios you design, with Make's own tools for simPRO or simPRO's API. No ready-made QuoteCloud app on Make.

What we haven't confirmed yet

These depend on how simPRO's and QuoteCloud's Zapier apps behave with your data. Check them in your Zap's test data before you rely on them.

  • Which fields simPRO's Quote Updated trigger passes, such as the quote's total, stage and site.
  • Whether QuoteCloud's triggers include the document's custom data items in their test data.
  • Attach File to Job taking the short-lived PDF link as its file.
  • Whether documents created from a Make scenario carry the per-document fee, and which simPRO tools your Make account offers.
  • The fee for documents made by Duplicate or Revise Document.

Limits, answered

Does QuoteCloud sync with simPRO?

No. There's no sync and no direct simPRO connection. Each Zap runs one way, once, when its trigger fires: for example, a signed proposal opens a simPRO job. Later changes in either app don't flow to the other unless you build a Zap for that event.

Can the simPRO job match the approved quote line by line?

No. simPRO's Create Service Job on Zapier takes the customer, site, order number, name, description, notes, people and dates, not price-table lines, sections or cost centres. The client's approved choices are in the signed PDF the Zap attaches; cost the job in simPRO.

Can a Zap create a simPRO project?

No. simPRO's Zapier app creates service jobs only. Create the project in simPRO with the proposal's reference as its order number; Zaps can then find it with Find Job and attach signed documents to it.

Is simPRO connected differently from ServiceM8?

Both connect through Zapier or Make, with no direct connection. The difference is in each app's Zapier steps and in the work: simPRO's searches for customers, sites and jobs suit larger contractors with multi-site clients, tenders and maintenance contracts.

What happens to the signed document if the job changes?

Nothing. A signed QuoteCloud document stays as it was signed, with its certificate and audit trail. Changes to the work go out as a new document, such as a variation, which the client signs and a Zap files on the job.
