Getting started with QuoteCloud

Quote from a Zendesk Sell deal on the move

Finish the site visit, move the deal to your quote stage on the Sell mobile app, and the draft is waiting in QuoteCloud, with the deal's details in it and a task to check and send it.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up. Zendesk Sell's Deal Enters New Stage starts it; Find Contact gets the client's email; QuoteCloud's Find or Create Contact, Create Document and Add Document Recipient draft the quote from your template; Create Task tells the rep it's ready to check and send.

Two overlapping panels with sample data. Behind, Harrowfield Fire & Security's draft proposal HF-SP-0436 for Orchard Lane Childcare: data items filled from the Zendesk Sell deal (deal ID 48213, 14 Orchard Lane, designer Marcus Teo) and the price table, $12,313.40 including tax. In front, an illustration of the deal at the Quote stage, with a task added by a Zap: check and send HF-SP-0436.

Why quote from the deal on the move?

Marcus Teo designs security systems for Harrowfield Fire & Security, and most of his week is spent walking sites. At Orchard Lane Childcare on Monday morning he counted eight cameras and three door readers with the centre director, Priya Desai.

Without a Zap, that quote waits for a desk: he retypes the contact, the site and the deal into a proposal that night. With one, he moves the deal to Quote in the Sell mobile app before he leaves the car park, and the draft is in QuoteCloud a minute later, filled from the deal, with a task telling him it's ready.

  • Deal Enters New Stage starts the Zap; the template gives the layout, wording and price table.
  • The rep checks the prices and sends: a Zap never ticks options or chooses content blocks.
  • When Priya opens it, a task to call her lands in Marcus's list.

How do I create a quote from a Zendesk Sell deal?

Five steps and an optional sixth. Every name is the exact event you pick in Zapier.

The same job can be built in Make, bring your own: a scenario that watches the deal with Make's own Zendesk Sell modules and calls QuoteCloud's API through Make's built-in OAuth connection.

Marcus moves the Orchard Lane deal to Quote at 11:52 am. At 11:53 HF-SP-0436 is a draft in QuoteCloud with Priya as the recipient, and Marcus has a task due at 3:00 pm: check and send it.

Result

The quote is drafted from the deal before the rep is back at a desk, with nothing retyped, and still checked by the rep before it goes.

Variations on this recipe

  • Send it straight away

Create Document has an Auto Send Document option with the recipient's email, a subject and a body. Use it only for quotes whose prices never need a rep's check.

  • Quote a lead before it's a deal

Zendesk Sell's New Lead trigger can start the same Zap for enquiries you quote straight away; Find or Create Contact takes the lead's email and name.

  • One template per kind of job

Add Paths by Zapier on the deal's pipeline or a tag, so service agreements and new installs each draft from their own template.

  • Build it in Make instead

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Zendesk Sell modules. No ready-made QuoteCloud app on Make.

Quote from your next site visit

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and build the quote Zap with a test deal.

Build the quote Zap in five steps

  1. Prepare the template

Add data items for the deal ID and anything else the Zap fills, such as the site address, to your QuoteCloud template.

  2. Pick the stage

In Zapier, choose Zendesk Sell's Deal Enters New Stage and set the pipeline and the stage your reps move deals to for a quote.

  3. Find the client

Add Find Contact on the deal's contact ID, then QuoteCloud's Find or Create Contact on the email.

  4. Draft and address it

Add Create Document with the deal's name as the title and the data items mapped, then Add Document Recipient with the contact.

  5. Tell the rep, then test

Add Create Task for the deal's owner, move a test deal with an @example.com contact to the stage, check the draft, then switch the Zap on.

Questions about quoting on the move

Can a Zendesk Sell deal create a QuoteCloud quote automatically?

Yes, with a Zap. Zendesk Sell's Deal Enters New Stage or New Deal starts it, and QuoteCloud's Create Document drafts the quote from your template with the deal's details in data items. Add Document Recipient adds the client, found or created first with Find or Create Contact.

Can the Zap copy the deal's products into the price table?

No. Zendesk Sell's Zapier app has no search that returns a deal's products, so the price table comes from your template and the rep's edits. Create Document can add price-table rows from values you map, but a Zap never ticks options or chooses content blocks.

Should the Zap send the quote by itself?

Usually not for site work. Create Document has an Auto Send Document option, but a rep normally checks quantities and prices from the visit first. A Create Task step puts 'check and send' in the rep's Zendesk Sell list instead, so the quote still goes out the same day.

Does the quote Zap carry a QuoteCloud fee?

Yes. Each document created through Zapier or the API carries a fee of US$2.00, $1.80 or $1.60 by volume, and QuoteCloud's Zapier app is on the Essentials plan and up. Finding contacts and creating tasks in Zendesk Sell don't create documents.
