Getting started with QuoteCloud

Sign on site, and the Zendesk Sell deal is won

The client signs on the rep's tablet before the rep leaves. A minute later a Zap has moved the Zendesk Sell deal to won, noted who signed and given the office a task to book the job.

In QuoteCloud, Sign Document In Person lets each recipient sign on the sender's device. Then a Zap with QuoteCloud's Zapier app, on Essentials and up, does the rest: Document Signing Complete fires once every signer has signed, Zendesk Sell's Find Deal finds the deal, and Update Deal moves it to your won stage.

Two notes float beside it: the Zendesk Sell deal moved to Won by a Zap, and the deposit paid through Stripe. Sample data.

Why sign on site?

Nate Carrow sells solar and batteries for Tallowwood Solar & Storage at kitchen tables. On Tuesday evening he sized a 6.6 kW system and a 10 kWh battery with Jess and Arlo Penhaligon, and they were ready to go ahead before he'd packed his bag.

A quote emailed for later can sit for a week. Signed on his tablet, it's done at the table: both sign in person in QuoteCloud, pay the deposit, and the Zendesk Sell deal follows by itself. Nobody updates the pipeline from the car.

  • Signing in person is part of QuoteCloud, and eSignatures are on every plan.
  • Document Signing Complete waits for both signers before the deal moves.
  • The same Zap can open a ticket for the team that installs.

How does in-person signing work in QuoteCloud?

From the user guide. The document needs at least one recipient before it can be signed in person.

  1. Open the document's options

Click the ellipsis (...) beside the document and choose Sign Document In Person.

  2. Choose who is signing

Pick the recipient from the signer list and click Sign as. Hand over the tablet.

  3. Sign

The document opens in the viewer. The signer clicks Sign Document, then the Sign Here field.

  4. Draw, type or upload

The signer draws, types or uploads their signature and clicks Sign. Repeat for a second signer.

How do I move a Zendesk Sell deal to won when the quote is signed?

Three steps and two optional ones. Every name is the exact event you pick in Zapier.

The same job can be built in Make, bring your own: a scenario that takes QuoteCloud's signing event through Make's built-in OAuth connection and updates the deal with Make's own Zendesk Sell modules.

Jess and Arlo sign TS-2614 on Nate's tablet at 7:31 pm and pay the $2,186.25 deposit. At 7:32 the deal is at Won, a note says both signed in person, and Bree Okonkwo has a task for the morning: book the install with Jess.

Result

The deal is won before the rep leaves the driveway, and the next person has the job in their list.

The deal: Won, a note and a task for Bree, all added by the Zap a minute after the signatures.

Before the last signature

Until every signer has signed, the deal stays at Quote where the rep left it, and nothing in this Zap fires.

That's the difference between Document Signing Complete, which waits for everyone, and Recipient Signed Document, which fires for each signer and suits a note, not a stage change. If Arlo wants to sleep on it, Jess's signature alone doesn't win the deal.

Variations on this recipe

  • Note the deposit too

A Zap on QuoteCloud's Document Paid trigger can add a note to the deal when the deposit comes through. QuoteCloud Payments, with Stripe or PayPal, is on Essentials and up.

  • A note per signer

Recipient Signed Document fires for each signer: use it for a note on the deal, and keep Document Signing Complete for the stage change.

  • Hand the job to support

Add Generate or Fetch Document PDF Link and Zendesk Support's Create Ticket to the same Zap: hand-off to support.

  • Build it in Make instead

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Zendesk Sell modules. No ready-made QuoteCloud app on Make.

Close it at the table

eSignatures are on every QuoteCloud plan, and the Zapier app on Essentials and up. Start a free 14-day trial and sign a test quote on your own tablet.

Build the won Zap in five steps

  1. Match the names

Use the Zendesk Sell deal's name as the document's title, or keep the deal ID in a data item.

  2. Start with Document Signing Complete

In Zapier, choose QuoteCloud's Document Signing Complete trigger and test it with a fully signed test quote.

  3. Find the deal

Add Zendesk Sell's Find Deal on the deal's name, or on the Deal ID.

  4. Move it to won

Add Update Deal with the deal from Find Deal and your pipeline's won stage; add Create Note and Create Task if you want them.

  5. Test it in person

Sign a test quote in person on your own tablet as two @example.com recipients, check the test deal, then switch the Zap on.

Questions about signing on site

Can my client sign a QuoteCloud quote on my tablet?

Yes. Open the document's options, choose Sign Document In Person, pick the recipient and click Sign as. The signer draws, types or uploads a signature in the document viewer. The document needs at least one recipient first, and eSignatures are on every QuoteCloud plan.

Does signing in person update the Zendesk Sell deal?

Only through a Zap you build. QuoteCloud has no direct Zendesk Sell connection, so the deal moves when a Zap on Document Signing Complete finds it with Find Deal and runs Update Deal with your won stage. Test it once with a quote signed in person before you rely on it.

Should I use Document Signing Complete or Recipient Signed Document?

Use Document Signing Complete to move the deal to won: it fires once every signer has signed. Recipient Signed Document fires for each signer, so with two homeowners the deal would be won after the first. It's the right trigger for a note per signature.

Does the won Zap carry a QuoteCloud document fee?

No. It reads a signed document and updates Zendesk Sell; it doesn't create a document. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API. QuoteCloud's Zapier app is on the Essentials plan and up.
