Getting started with QuoteCloud

Let Zoho CRM stages and blueprints drive documents

When a deal reaches your proposal stage, whether a rep moves it or a blueprint transition does, a Zap drafts the proposal from your QuoteCloud template. Its status comes back to the deal, where your team and your process can see it.

Zoho CRM's Updated Module Entry trigger on the Deals module fires when a deal changes, including a stage change made by a blueprint transition. A Filter by Zapier step keeps only the proposal stage, and QuoteCloud's Create Document drafts the proposal. Return Zaps write the proposal's status to a deal field. QuoteCloud's Zapier app is on Essentials and up.

Two overlapping panels with sample data. Behind, Wexmoor Freight & Logistics' draft contract rate proposal WF-Q-4870 for Bramblewood Homewares, its data items filled from the Zoho CRM deal: prepared for Sophie Lindqvist, Zoho deal ID 48769100023, account Bramblewood Homewares, account manager Ines Okoye, and two weekly lanes priced per pallet, $28,444.00 plus tax. In front, an illustration of the deal at the Proposal/Price Quote stage with its QuoteCloud status: draft ready.

Why let the stage, not a person, start the proposal?

Wexmoor Freight & Logistics runs its deals through a Zoho CRM blueprint: a deal can only reach Proposal/Price Quote when the pricing desk has approved the rates. Callan Mercer approves them with the blueprint's Rates approved transition. Until now, Ines Okoye then rebuilt the account, the lanes and the contact in a proposal by hand.

Zapier can't see a blueprint transition as an event of its own, but it sees what the transition does: it updates the deal's stage. Zoho CRM's Updated Module Entry trigger fires on that update, a filter keeps only the proposal stage, and QuoteCloud drafts the proposal from Wexmoor's contract rate template.

  • Your blueprint keeps deciding when a deal may move; the Zap only reacts to the move.
  • The draft waits for Ines to check the lanes and send it. Nothing reaches the client by itself unless you add Send Document.
  • A custom QuoteCloud status field on the deal shows where each proposal stands, written by return Zaps.

How does a stage change draft the proposal?

One trigger on any deal update, one filter on the stage. Every name is the exact event you pick in Zapier.

Updated Module Entry fires on any change to the deal, which is why the filter checks both the stage and the QuoteCloud status field. The field map lists every field.

Callan approves Bramblewood's rates at 10:13 am on Tuesday and the blueprint moves the deal to Proposal/Price Quote. At 10:14 the draft WF-Q-4870 is in QuoteCloud with both lanes priced from the template, Sophie added as the recipient, and the deal's QuoteCloud status reads Draft ready.

Result

The proposal is drafted the minute the blueprint allows it, and the deal shows it, without a second set of hands retyping the account.

When Sophie signs, the deal's QuoteCloud status reads Signed. Wexmoor's sales manager filters the pipeline on that field each Monday instead of asking who has heard back.

The deal always shows the proposal's latest status, from one Zap.

Variations for Zoho CRM teams

Small changes to the Zaps, each an extra step or a different trigger, and the Make route.

  • A different template per layout or pipeline

Use Paths by Zapier on the deal's layout, pipeline or type, with a Create Document step and its own template in each path.

  • Deal lost in Zoho CRM, proposal lost in QuoteCloud

Updated Module Entry filtered to Closed Lost, then QuoteCloud's Find Document by Field on the Zoho deal ID and Update Document Status.

  • Send small standard deals straight away

Add QuoteCloud's Send Document after Add Document Recipient, behind a filter on the deal's Amount.

  • Build it in Make instead

Bring your own: connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API from a scenario that watches deals with Make's own Zoho CRM modules. No ready-made QuoteCloud app on Make.

Build it with a free trial

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial, connect Zoho CRM in Zapier and move a test deal through your stages.

Build the stage Zap in five steps

  1. Add a QuoteCloud status field

In Zoho CRM, add a custom text field to the Deals module. The Zaps write the proposal's status to it, and the filter uses it to avoid a second draft.

  2. Start with Updated Module Entry

In Zapier, choose Zoho CRM's Updated Module Entry on the Deals module, then Filter by Zapier: Stage is your proposal stage and QuoteCloud status is empty.

  3. Read the contact

Add Find Module Entry in the Contacts module for the email, then QuoteCloud's Find or Create Contact.

  4. Create, then mark the deal

Add Create Document with the deal name as the title, Add Document Recipient, then Update Module Entry to set QuoteCloud status.

  5. Test with a test deal

Move a test deal through the blueprint transition, check the draft and the deal's field, edit the deal again to be sure no second draft appears, then switch it on.

Questions about stages and blueprints

Can a Zoho CRM blueprint transition start a Zap?

Indirectly, yes. Zoho CRM's Zapier app has no trigger for a blueprint transition itself, but a transition that changes the deal's stage updates the record, and Updated Module Entry fires on updates. A Filter by Zapier step on the stage then decides whether to draft the proposal. Test it with a test deal.

Why does the Zap need a filter?

Because Updated Module Entry fires whenever the deal changes, not only when it reaches your proposal stage. The filter continues only when the stage is the one you want and the QuoteCloud status field is still empty, so a later edit to the same deal doesn't draft a second proposal.

Can a Zap move the deal's stage in Zoho CRM?

Yes, with Update Module Entry, if your account lets the stage be changed that way. Where a blueprint controls the stage, check it in a test first; if it can't be changed, write the proposal's status to a custom field and keep the blueprint's own transitions for your team.

Does the stage Zap carry a fee?

Yes, for the document it creates: documents created through Zapier or the API carry US$2.00, $1.80 or $1.60 each by volume, and QuoteCloud's Zapier app is on Essentials and up. The status Zap only updates Zoho CRM, so it carries no QuoteCloud fee.
