Freight quotes priced by your own rate tables
Pallets, weights and the lane go into your rate calculator inside the quote; its cells price the linehaul and fuel lines, and the customer ticks accessorials and accepts online.

QuoteCloud is quoting and eSignature software for carriers, freight forwarders, 3PLs and couriers. Your rate calculator becomes a Spreadsheet block inside the quote: chargeable weight, zone rates and fuel surcharge set the price lines' descriptions and unit prices, and the total comes back into a cell. Customers tick accessorials and accept online.

A drawing of a fictional carrier's cross-dock, Wexmoor Freight & Logistics at Northgate: a warehouse with four dock doors and a 13.6 metre curtainsider backed onto door 3 with its curtain open on 22 pallet spaces, a prime mover in front and the road out to Port Ellery, 640 km, drawn as the live route. An enlarged detail shows one pallet, 1200 by 1000 by 1500 millimetres. In front, the lane quote card for Bramblewood Homewares takes turns through three loads: 6 pallets, 2,700 kg chargeable, $1,165.84 inc tax, $194.31 a pallet; 12 pallets, 4,320 kg, $1,820.45, $151.70 a pallet; and a full load of 22 pallets, 9,900 kg, $4,000.45, $181.84 a pallet. The linehaul and fuel lines take their description and unit price from cells in the lane calculator, and the total goes back into the sheet for the price per pallet.

A demo with a fictional carrier: nothing is sent, booked or charged. In QuoteCloud the calculator is a Spreadsheet block you build once in your lane quote template, with your own rates, cubic conversion, minimums and fuel surcharge, or import from your existing .xlsx. Any cell connects to a price line's description and unit price, and the quote total comes back into a cell. QuoteCloud runs the maths you set up: it doesn't fetch rates or fuel indexes, and it doesn't book, track or invoice the freight.
From a customer's request to an accepted quote in five steps
What happens between an email asking for a price and your pricing desk seeing the quote accepted.
- 1
Start from your lane template
Your lane quote template holds the cover, your conditions of carriage and the rate calculator.
- 2
Type in the request
Pallets, size, weight and lane go into the sheet's input cells, or Zapier writes them from your booking form.
- 3
The sheet prices it
Your formulas work out the chargeable weight, the zone rate or minimum and the fuel surcharge.
- 4
Cells set the lines
Connected cells write the linehaul and fuel lines' descriptions and unit prices; accessorials stay as lines to tick.
- 5
The customer accepts
They tick a tail-lift or a booked time, accept and sign online, and you get the certificate of authenticity.

Freight quote questions, answered
What is QuoteCloud for freight and logistics businesses?
QuoteCloud is quoting, proposal and eSignature software for road carriers, freight forwarders, 3PL and warehousing operators and couriers. You send lane and spot quotes, contract rate schedules, warehousing proposals and service reports from your own templates, priced from your own rates, and customers accept and sign online.
Can QuoteCloud work out chargeable weight?
Yes, with your own formulas. The Spreadsheet block is a full spreadsheet inside the quote, with formulas, tabs and .xlsx import, on Essentials and up. Your sheet works out cubic and actual weight, takes the greater, looks up your zone rate and minimum, and its cells set the linehaul and fuel lines' descriptions and unit prices.
Does QuoteCloud know current fuel surcharges or carrier rates?
No. Rates, cubic conversion factors, minimums, fuel surcharges and accessorials are your own figures, kept on a tab of your calculator or in your price list. QuoteCloud runs the maths you set up; it doesn't fetch rates or fuel indexes from anywhere.
Can an AI assistant draft our freight quotes?
With QuoteCloud's MCP service, on Essentials and up, an AI assistant you use can be set up to work with QuoteCloud: for example to draft a quote from a customer's request and your rate tables, or a quarterly report from shipment data. It creates drafts for your team to review; approval rules still apply and nothing is sent without a person.
Does QuoteCloud book, track or invoice freight?
No. QuoteCloud prepares, sends and records the quote, schedule or proposal and the customer's acceptance. Bookings, tracking, dispatch and invoicing stay in your transport management and accounting systems. Zapier, Make or the API can pass a signed quote's details on where your systems have a connector.
Can customers tick accessorials like a tail-lift?
Yes. Accessorials such as a tail-lift, a booked delivery time or hand unloading go in the price table as optional lines. The customer ticks what the delivery needs and the total recalculates before they accept.
How do we send next year's rates to every contract customer?
Give each signed schedule an expiry date and use the Expiring Soon filter to see which end next. Bulk send, on Essentials and up, sends one rate schedule template as a personalised copy for each customer, and document tracking shows who has opened it. Nothing renews or sends by itself.
Can discounts on a rate schedule need approval?
Yes, on the Business plan. Approval rules trigger on a discount percentage or a total value, so a schedule below your standard rate card waits In Review until your pricing lead or general manager approves it, and only then can it be sent.
