Getting started with QuoteCloud

Renewals and QBRs drafted by your AI assistant

Connected through QuoteCloud's MCP service, your assistant drafts from your CRM and usage data; your account executive reviews, approves and sends.

QuoteCloud's MCP service, on Essentials and up, lets an AI assistant work with QuoteCloud. It can be set up to find a client, create a renewal order form or QBR report from your template and add price-book lines, using CRM and usage data it is allowed to read. It creates drafts: approvals still apply and a person sends.

An engineered isometric drawing for a fictional software vendor, Plinthwork. On one plinth stand an abstract rack under a CRM account record (1) and a rack under a usage panel (2) whose six bars show active users rising past the 120 licensed seats, the bars over the licence in aqua. Aqua routes run from both through open gates with a tick into a dark cube, the AI assistant connected through QuoteCloud's MCP service (3), and from the cube through another open gate up to the renewal order form PW-R-2291 in QuoteCloud, a draft with a review flag in its header (4). Two dashed routes from the cube stop at closed gates (5): one to an outbox, one to an approval tile, because sending and approving stay with people. A circular detail enlarges the closed send gate. Beside it, Theo's request: draft Mossbank's renewal from the last 30 days of usage, with the 12% they asked for over 24 months and Plinthwork's seat rule. A card lists what the assistant is allowed to do: read the CRM account, read the usage summary and create a draft from the template, but not send it or approve the discount. The status steps from reading the account and usage to a draft created and waiting for Theo's review and Hollis's approval.

From assembling renewals to reviewing them

What your account executives and customer success managers do today, and what changes once an assistant drafts from your data.

The jobAssembled by handDrafted, then reviewed
The account Contacts, renewal date and notes copied out of the CRM into last year's PDF. Your assistant can be set up to find the account and read only the fields you allow.
Usage Someone exports usage, counts active users and works out the seats. It reads your usage summary and applies your own seat rule, written into its instructions.
The document Last year's order form duplicated and every line fixed by hand. A draft from your renewal template, with lines and prices from your price book.
Discounts Agreed in a chat thread; nobody checks the limit. Over your limit, the draft waits In Review for an approver (approval workflow, Business).
Sending Whoever finishes it sends it, checked or not. Your account executive reviews the draft and sends it. Nothing goes out without a person.
Quarterly reviews A slide deck built the night before, the expansion quoted weeks later. A QBR report drafted from the same data, expansion lines included, for your CSM to check.

The draft Theo opens: Mossbank's renewal

Mossbank licenses 120 seats; 134 people used Plinthwork in the last 30 days. Asked for a draft, the assistant can be set up to read that from your usage data, apply Plinthwork's rule (active users plus 4%, up to the next 5: 140 seats) and create the renewal order form from the template, with the 12% the CRM notes say Dana asked for.

Theo reads the summary, which is flagged until he has checked it, then the seats and lines. Because 12% is over Plinthwork's 10% limit, the draft waits In Review until Hollis approves it. Only then can Theo send it.

  • Discount over the limit: In Review until approved

Clear boundaries, set by your revenue team

QuoteCloud's own articles on MCP recommend deciding what an assistant may read and create, and keeping sending, discounts and contract wording with people. This is how Plinthwork set its renewal assistant up.

Allowed to read

The minimum it needs
  • The account in your CRMThrough the assistant's own connection to your CRM: contacts, renewal date, plan and notes. Only the fields you allow.
  • Your usage summaryActive users, modules and API calls from your own usage data. QuoteCloud shows the figures; it doesn't measure them.
  • Your templates and price bookThrough QuoteCloud's MCP service: the renewal order form, the QBR report and your product library.

Allowed to create

Drafts only
  • A draft from your templateA renewal order form or a QBR report, saved as a draft in QuoteCloud.
  • Lines from your price bookSeats, add-ons and options at your catalogue prices, with the discount the customer asked for.
  • A summary sectionWritten from the account's data and flagged, so a person checks every sentence before it goes out.

Kept for people

Never the assistant's job
  • SendingYour account executive or CSM reviews the draft and sends it.
  • Approving discountsOver your limit, the draft waits In Review for an approver (approval workflow, Business).
  • Contract wordingSubscription and data terms stay in locked blocks from your template (content locking, Business).
  • SigningYour customer signs online; a certificate of authenticity is attached.

The life of every document it creates

  1. Draft created
  2. Reviewed by your AE or CSM
  3. Approved, if over your limit
  4. Sent by a person
  5. Signed by the customer

The quarterly review, drafted from the same data

Priyanka runs Mossbank's quarterly review. Her assistant can be set up to create the QBR report from Plinthwork's template: a summary of the quarter, usage and adoption, and the expansion lines her recommendations point to, priced from the price book.

She rewrites what she'd say differently, checks the figures against the usage data and sends it. Dana ticks the extra seats and signs in the same document.

  • Recommendations written by your CSM

What to prepare before you connect an assistant

An assistant drafts well only from good templates, a clean price book and rules written down. Most of the work is the same as any QuoteCloud implementation.

  • Your templates

A renewal order form and a QBR report with seat and term editing on the lines, locked terms and the sections your team always writes.

  • Your price book

Plans, add-ons and services in the product catalogue, with costs hidden from customers. The assistant prices from it, not from memory.

  • Your approval rules

A discount percentage and a total value that send a document In Review, and who approves each. Approval workflow is on Business.

  • Your seat rule

How many seats to propose from active users, written into the assistant's instructions, so every draft starts the same way.

  • Its access

Which CRM fields and which usage summary the assistant may read, through its own connections. Give it the minimum it needs.

  • MCP, API or Zapier?

The API, Zapier or Make suit fixed flows, such as a CRM stage creating a document (API and Zapier documents carry a per-document fee). MCP suits a person asking for a draft.

Set up an assistant to draft renewals in five steps

Revenue operations sets it up once; account executives and CSMs then review drafts instead of assembling them.

  1. Build the templates

Your renewal order form and QBR report, with seat and term editing on the lines.

  2. Load the price book and rules

Plans and add-ons in the catalogue; approval rules on discount and total value.

  3. Connect the assistant

To QuoteCloud's MCP service, and to your CRM and usage data through its own connections, read-only.

  4. Write its instructions

Your seat rule, which template to use and what to put in the summary. Drafts only.

  5. Review, approve, send

Your team checks each draft, approvers clear discounts over the limit, a person sends.

AI assistant and MCP questions, answered

What is QuoteCloud's MCP service?

MCP (Model Context Protocol) is a standard way for AI applications to connect to tools and data. QuoteCloud's MCP service lets an AI assistant work with QuoteCloud: it can be set up to find a client, create a document from your template, add lines from your price book or write a section, as a draft for a person to review.

Which QuoteCloud plan includes the MCP service?

The MCP service is on Essentials and up, alongside the API, Zapier and the Spreadsheet block. The approval workflow that holds discounts over your limit, content locking for your terms and the AI Co-Worker in the editor are on the Business plan. Essentials and Business start with a 14-day free trial, no credit card needed.

Can the AI assistant send a renewal quote by itself?

Set it up so it can't. The assistant creates a draft in QuoteCloud; your account executive or customer success manager reviews it and sends it. Nothing goes to the customer without a person, and the customer signs online with a certificate of authenticity attached.

Do discount approvals still apply to drafts the assistant creates?

Yes. A draft is an ordinary QuoteCloud document, so your approval rules apply: a discount over your limit or a large total value puts it In Review until your approvers agree, and only then can it be sent. The approval workflow is on the Business plan.

Where does the assistant get our usage data?

From your own systems, through the assistant's own connection, and only the summary you allow it to read. QuoteCloud doesn't measure or meter usage, provision accounts or bill subscriptions: it shows the figures in the document and takes a deposit or full payment on signing if you ask for one.

Should we use MCP, the API or Zapier for renewals?

Use the API, Zapier or Make for fixed flows, such as a CRM stage that creates a renewal from a template with custom data items and price lines; API and Zapier documents carry a per-document fee. Use the MCP service when a person asks an assistant for a draft and reviews what it produces.
