Order forms, plans and pricing

What is QuoteCloud for software and SaaS companies?

QuoteCloud is quoting, proposal and eSignature software. B2B software vendors use it to send order forms with plan tiers and seats the customer can change, implementation SOWs, renewal quotes and QBR reports, from their own templates and price book, with discount approvals on the Business plan and signatures collected online.

Can customers change seats and the contract term before signing?

Yes. Turn on quantity editing for a seat line and term editing for the price table, and the customer can change the number of seats and choose 12, 24 or 36 months in the order form. The monthly amount, total contract value and any payment on signing recalculate before they sign.

Can an order form show plan tiers the customer chooses from?

Yes. Put Starter, Growth and Scale in a single-choice group so the customer picks exactly one, add optional add-ons they can tick, and keep your list prices in the product library. Tiered or volume pricing rules that change the price automatically as seats rise aren't something we describe; price each tier as its own line.

Can we build ramp deals or usage calculators into the order form?

Yes. The Spreadsheet block, on Essentials and up, works like a familiar spreadsheet with formulas, tabs and .xlsx import. Connect any cell to a price line's description and unit price, and bring a price table total back into a cell. Quantities stay on the lines, and Zapier can write values into cells.

How much does QuoteCloud cost?

Plans are priced in US dollars per user per month: Free at $0 for 2 documents a month, Starter at $14.95, Essentials at $39 and Business at $59, with custom Enterprise pricing. Essentials and Business start with a 14-day free trial, no card needed. Documents created through the API or Zapier carry a per-document fee.

Renewals, QBRs and AI drafts

Does QuoteCloud renew subscriptions automatically?

No. Agreements don't renew by themselves in QuoteCloud. Each order form can carry an expiry date, and the Expiring Soon filter shows which agreements are close to it, so your team sends a renewal order form in time. Bulk send, on Essentials and up, sends one template as personalised copies to many customers.

Can renewal quotes use our usage data?

Yes, as your own figures. Seats used, module adoption and API calls can go into a renewal or QBR through custom data items, Zapier or an AI assistant connected through the MCP service. QuoteCloud shows the figures in the document; it doesn't measure usage or enforce seat counts.

Can a QBR report include an expansion quote?

Yes. Build the QBR as one QuoteCloud document: usage, adoption and your recommendations, then the expansion as optional price lines such as more seats, an API capacity pack or a workshop. The customer ticks what they want and signs in the same document, without a separate quote.

Can an AI assistant draft renewals and QBRs?

With QuoteCloud's MCP service, on Essentials and up, your AI assistant can be set up to find the client, create a document from your template and add lines from your price book, using data it's allowed to read. It creates a draft for your team to review; approvals still apply and a person sends it.

Does the AI write and send documents on its own?

No. An assistant connected through the MCP service creates drafts from your templates for a person to review, and nothing is sent without a person. In the editor, the AI Co-Worker on the Business plan helps staff, and its output stay flagged until someone accepts them.

Approvals, security and data terms

How do discount approvals work?

On the Business plan, an approval workflow starts when a document's discount percentage or total value passes your threshold. The document waits In Review until each required approver agrees, and only then can it be sent. The same rules apply to drafts created by Zapier, the API or an AI assistant.

Can we lock our subscription and data protection terms?

Yes. Save the terms as content library blocks and lock them on the Business plan. Reps can add locked blocks to any order form but can't edit them, so every customer gets the wording your legal team approved. Version history, also on Business, keeps earlier versions of each document.

Can we attach security questionnaires and policies?

Yes. Attach the customer's completed questionnaire, your sub-processor list, policies or agreements as files, on Essentials and up. Questions can come back as comments on the document, answered in the same thread. QuoteCloud sends and signs your statements; it doesn't verify them or give legal advice.

Can several people sign an order form?

Yes. Add every signer the deal needs, such as the customer's operations director and chief financial officer, and your own signatory. Each signs online without an account, optionally with a one-time passcode by email, and the signed document carries a certificate of authenticity and an audit trail.

Billing, integrations and rollout

Does QuoteCloud bill our subscriptions?

No. QuoteCloud shows the repeating charges in the order form your customer signs and can take a deposit or full payment on signing through Stripe or PayPal. Your own billing system invoices the subscription; pass it the signed values through Zapier, Make or the API where your system has a connector.

Which CRMs and accounting tools does QuoteCloud connect to?

HubSpot and Zoho CRM connect through Zapier, Pipedrive connects through Zapier or Make, and Salesforce through the Salesforce Sync add-on on Business or Zapier. Xero and QuickBooks Online are native on the Business plan, otherwise through Zapier. The API, Zapier and Make are on Essentials and up.

Can our CRM create order forms in QuoteCloud?

Yes. Through Zapier, Make or the API, a CRM event can create a document from your template, fill its custom data items and add price-table rows with label, note, price, quantity, term, tax, discount and cost. Automations don't tick options or choose content blocks; your team reviews and sends.

How long does a rollout take?

It depends on your templates, rules and systems. A sample plan for a 30-person revenue team runs about six weeks: price book and order form first, then renewal, SOW and QBR templates, approval rules, CRM and billing connections, an optional AI assistant and a short pilot. One template conversion is free during the trial.

What QuoteCloud does, and doesn't, do with subscriptions

The line between QuoteCloud and your billing system, stated up front.

  • Does: price and sign the order

Plans, seats, term, add-ons and discounts in an order form your customer adjusts and signs.

  • Does: take a payment on signing

A deposit or full payment through Stripe or PayPal, in the same step as the signature.

  • Does: show what's expiring

Expiry dates and the Expiring Soon filter, so your team sends each renewal in time.

  • Doesn't: bill the subscription

Repeating charges are shown in the agreement; your billing system invoices and collects them.

  • Doesn't: renew by itself

No auto-renewal, proration or true-ups: a renewal is a new order form a person sends.

  • Doesn't: meter or provision

Usage figures are your own data in the document; QuoteCloud doesn't measure usage, enforce seats or create accounts.
