Wholesale quotes and sales orders your website can prepare
Your website or AI assistant turns a trade buyer's request into a quote or sales order from your catalogue, at their agreed pricing, with cartons, pallets and freight worked out, ready to sign and pay.

- Building QuoteCloud since 2013
QuoteCloud is quoting, sales order and eSignature software for wholesalers, distributors and B2B online stores. Connected through the API, Zapier or QuoteCloud's MCP service, your website or AI assistant prepares orders from your catalogue at each account's agreed discounts, as drafts for review or sent where your rules allow. Buyers sign and pay on signing.

A drawing of two pallets of kraft cartons, 1,200 by 1,000 millimetres, from a fictional wholesaler, Tanbark Trade Supply: pallet 1 is a full load of four layers, pallet 2 a part load, with an enlarged carton label showing the SKU and pack size. In front, sales order TT-SO-4471 for Pinecrest Café Group: Sofia Marchetti's request, 'Same as last month for Pinecrest please, plus 10 more cartons of the 12 oz cups', four catalogue lines at Partner pricing with their discounts (40 cartons of cups less 15%, $2,312.00; 20 cartons of lids less 12%, $739.20; 25 cartons of boxes less 13%, $1,174.50; 12 cartons of bags less 15%, $397.80), the freight line 'Delivery: 2 pallets to Riverside (Zone B)', $171.00, taken from the Freight tab, and a total of $5,273.95 inc tax. The steps light in turn: request read by the order assistant, lines at Partner pricing, 97 cartons to 2 pallets to the freight line, signed by Sofia.

A demo with a fictional business: nothing is sent, stored or charged. This is an example setup, not a QuoteCloud screen: with QuoteCloud's MCP service (Essentials and up), an AI assistant can be set up to find the account, create the document from your template and add catalogue lines; a Zapier step can write the carton counts into the order's Spreadsheet block. QuoteCloud isn't your store or stock system: it checks no stock levels and reserves nothing. Sending without a person happens only where your own rule allows it; approvals are Business.
What the assistant can be set up to do, and what stays with you
QuoteCloud's MCP service connects an AI assistant to QuoteCloud. These are the jobs an implementation can be set up for, as QuoteCloud's own articles describe them.
Recognise the account
Find the trade customer and read their agreed pricing and history from the data you let it read, so a repeat buyer isn't treated as a stranger.
Start from the right template
Create the draft from your sales order, volume quote or project quote template, with your wording, terms and branding already in it.
Add catalogue lines
Turn "same as last month plus ten cartons of cups" into lines from your product catalogue, at the account's agreed discounts.
Leave the judgement to people
Documents are drafts for a person to review by default. Your rep checks the deal instead of retyping it.
Keep your rules in charge
Pricing comes from the rules you already trust, and discount approvals still apply (Business). The assistant suggests; it doesn't approve.
Send only where you allow it
If your rule says a repeat order on agreed pricing can go straight to eSignature, your setup can send it. Everything else waits for a person.
Send your next trade quote from QuoteCloud
Free for 14 days, no credit card required. Send us your price file and your current quote or order form, and we'll convert one template for you during the trial.
Cartons in, pallets and a freight line out
Your pallet and freight maths lives in a Spreadsheet block inside the order. The Freight tab takes the cartons for each SKU, divides by cartons per pallet from your Rates tab, rounds up to whole pallets and prices the delivery for the zone.
Cell B9 sets the freight line's description and D9 its unit price. The price table total comes back into D10, so the order shows an average delivered cost per carton. A Zapier step can write the carton counts into the sheet; quantities stay on the price lines as usual.
- Cell → a line's description and unit price
- Price table total → a cell
- Formulas, tabs and .xlsx import, like a normal spreadsheet

Signed, paid, handed on
Buyers sign and pay on signing; a Zapier step can pass the signed order to your order system.

Questions wholesalers ask
Is QuoteCloud an e-commerce platform or a B2B store?
No. QuoteCloud is quoting, proposal, order form and eSignature software. Your website or store stays where it is; QuoteCloud produces the quote, sales order or contract from your catalogue and takes the signature and, where you choose, payment on signing. It doesn't run a cart, hold stock levels or reserve inventory.
Can our website or AI assistant create quotes and sales orders?
Yes. Through the API, Zapier or Make, your website can create a document from your template and add price lines. With QuoteCloud's MCP service, on Essentials and up, an AI assistant can be set up to find the account, create the draft and add catalogue lines. By default these are drafts for a person to review.
Can an order go straight to the customer for signature?
Only where you allow it. Your automation can use the Send Document action, so you might let a repeat order on agreed pricing under a set value go straight to eSignature, and keep new customers and large orders as drafts for a person. Approvals on discounts still apply on the Business plan.
How do we show each account's agreed pricing?
Each price line can carry a discount in the Discount column, so the buyer sees list price, their discount and the net. Your website or assistant sets it from the account's agreed terms when it prepares the order. Costs and margins stay hidden from the customer. Product discounts and bundling are on the Business plan.
Can QuoteCloud work out pallets and freight?
Your own maths can. Build the calculator in a Spreadsheet block inside the order: cartons per SKU, cartons per pallet, pallets rounded up and the zone rate. Any cell can set a price line's description and unit price, and the price table total can come back into a cell. Spreadsheets are on Essentials and up.
Can trade buyers change quantities and pay when they sign?
Yes. Turn on quantity editing for a line, with any value or preset steps, and the totals update as the buyer orders. You can relabel Accept as Order Now. Payment on signing, a deposit or the full amount, goes through Stripe or PayPal on Essentials and up; accounts on credit terms can simply sign.
Do big discounts need approval before an order goes out?
On the Business plan, the approval workflow can put a document In Review when the discount percentage or the total value passes a limit you set. It can't be sent until the approvers approve it, whether a rep or an assistant prepared it.
Does QuoteCloud connect to our CRM, accounting or order system?
Pipedrive connects through Zapier or Make; HubSpot and Zoho CRM connect through Zapier; Xero and QuickBooks Online are native on Business, otherwise through Zapier. Other order, ERP and store systems connect through Zapier, Make or the API, for example passing a signed order on when the Recipient Signed Document trigger fires.
