QuoteCloud prepares quotes, sales orders and agreements from your catalogue at each account's agreed discounts, through your team, your website or an AI assistant connected by MCP, then takes the signature and payment on signing. It doesn't run a store, hold stock or replace your ERP; it connects to them through Zapier, Make or the API.

Orders from your website and AI assistant
Is QuoteCloud a B2B e-commerce platform?
No. QuoteCloud is quoting, sales order, order form and eSignature software. Your website or store stays where it is; QuoteCloud produces the quote, sales order or agreement from your catalogue and takes the signature and, where you choose, payment on signing. It doesn't run a cart, hold stock levels or reserve inventory.
How does our website create a quote or sales order?
Through the API, Zapier or Make. When a buyer sends a request, your website or a Zap creates a document from your template, fills in its data items and adds price lines with quantities and discounts. The API, Zapier and Make are on Essentials and up; documents created through the API or Zapier carry a per-document fee.
What can an AI assistant do with QuoteCloud's MCP service?
QuoteCloud's MCP service lets an AI assistant work with QuoteCloud, on Essentials and up. An implementation can be set up to find the account, read the context you allow, create a document from your template, add catalogue lines and check approval rules. Pricing comes from your rules, not from the assistant inventing a quote.
Does the assistant send orders without anyone checking?
Not by default. Documents an assistant prepares are drafts for a person to review. Where your own rule allows it, such as a repeat account on agreed pricing under a set value, your setup can send the document for eSignature with the Send Document action. Approvals on the Business plan still apply.
Can buyers place repeat orders themselves?
They can ask for one, and your website or assistant can prepare it from their last order at their agreed pricing. With quantity editing turned on, the buyer adjusts cartons before signing. QuoteCloud doesn't place recurring orders by itself: each order is a new document the buyer signs.
Does the AI Co-Worker write our quotes?
No. The AI Co-Worker, on the Business plan, helps your staff in the editor, for example by drafting a section for them to review, and its output is flagged until a person accepts it. It doesn't write, price or send documents by itself, and your team stays responsible for what goes out.
What QuoteCloud is for a wholesaler, and what it isn't
Clear limits, so nobody promises a trade buyer something the software doesn't do.
It is: your quotes and sales orders
Quotes, sales orders, agreements and applications from your templates and catalogue, at each account's agreed discounts.
It is: signing and payment
eSignatures on every plan, and full payment or a deposit on signing through Stripe or PayPal on Essentials and up.
It is: ready for your website and assistant
Documents created through the API, Zapier, Make or QuoteCloud's MCP service, as drafts for a person by default.
It is: your own maths in the order
A Spreadsheet block for pallets and freight whose cells set a line's description and unit price.
It isn't: a store or cart
Your website or store stays where it is. QuoteCloud doesn't run a checkout, a cart or a marketplace.
It isn't: inventory, a warehouse or an ERP
No stock levels, availability checks, reservations, picking, shipping labels or carrier bookings. Your systems keep those.
It isn't: a credit checker
Applications are signed in QuoteCloud; your credit team decides the terms. No credit checks, scores or decisions.
It isn't: automatic billing
No recurring orders, instalments, payment reminders or auto-renewals. Each order is its own signed document.
Account pricing, breaks and freight
How do we show each trade account's agreed pricing?
Each price line can carry a discount in the Discount column, so the buyer sees list price, their discount and the net. Your team, website or assistant sets it from the account's agreed terms when the document is prepared. QuoteCloud doesn't work out account prices on its own; your terms decide them.
Can we offer quantity breaks and bundles?
Product Discounts and Product Bundling are on the Business plan. On any plan with price tables you can also put an agreed discount on each line in the Discount column, or offer pack sizes as options. Keep the break points in your own rules so the website or assistant applies them consistently.
Can large discounts wait for a manager's approval?
Yes, on the Business plan. The approval workflow can put a document In Review when its discount percentage or total value passes a limit you set, and it can't be sent until the approvers approve it, whoever or whatever prepared it.
Can QuoteCloud work out pallets and freight?
Your own maths can, inside the order. Build the calculator in a Spreadsheet block: cartons per product, cartons per pallet, pallets rounded up and the zone rate. Any cell can set a price line's description and unit price, and the price table total can come back into a cell. Spreadsheets are on Essentials and up.
Can an automation fill in the freight calculator?
Yes. A Zapier step can write values, such as the carton counts, into Spreadsheet block cells, and the sheet's formulas do the rest. Quantities stay on the price lines as usual: the sheet sets a line's description and unit price, not its quantity. Writing cells through the API isn't something we can confirm.
Do buyers see our costs and margins?
No. Products in the catalogue can carry a cost, and QuoteCloud shows your team the profit and margin on each line, but costs and margins are hidden from the customer. Buyers see prices, any discount on the line and the totals, whoever prepared the document.

Signing, payment and trade accounts
Can trade buyers change quantities before they sign?
Yes. Turn on quantity editing for a line, with any value or preset steps, and totals update as the buyer orders. You can relabel the Accept button as Order Now and show a confirmation message. Prices from your catalogue can't be changed by the buyer.
Can buyers pay when they sign the order?
Yes, on Essentials and up. Connect Stripe or PayPal and take full payment or a deposit, as a percentage or a fixed amount, when the buyer signs. Accounts on credit terms can simply sign, and you invoice them as usual. QuoteCloud doesn't send payment reminders or take instalments.
Can more than one person sign an order or agreement?
Yes. Add several signers, such as a procurement lead and a general manager, or both directors on a distributor agreement. Each signs from their own email without a QuoteCloud account, and the signed document carries a certificate of authenticity and an audit trail. QuoteCloud doesn't set a signing order.
How do new customers apply for a trade account?
Send them an application document with form fields for their business, delivery and accounts details, your trading terms and a signature. The Form Builder is on Essentials and up. QuoteCloud doesn't run credit checks: your credit team reads the signed application and decides the terms.
Do distributor agreements renew automatically?
No. Each agreement has an expiry date, and the Expiring Soon filter, on Essentials and up, lists documents that run out in the next 30 days. To continue, prepare a new agreement from your current template and both sides sign it again.
Systems, set-up and plans
Does QuoteCloud connect to our ERP or order system?
Through Zapier, Make or the API. A Zap can start when a buyer signs (Recipient Signed Document) or pays (Document Payment Event) and pass the order to your system. QuoteCloud doesn't sync stock or availability back, because it holds none.
Which CRM and accounting systems work with QuoteCloud?
Pipedrive connects through Zapier or Make; HubSpot and Zoho CRM connect through Zapier; Salesforce through Zapier or the Sync add-on. Xero and QuickBooks Online are native on the Business plan, otherwise they connect through Zapier. Other systems can be reached through Zapier, Make or the API.
How do we load our product catalogue?
Export your price file as a CSV and import it into the product catalogue, mapping each column to a field such as SKU, category, price, cost and notes. The import checks rows before they go in. Zapier's Create, Find and List Product actions can also keep products in step with your own system.
Which QuoteCloud plan does a wholesaler need?
Essentials and up covers the product catalogue, the Spreadsheet block, the Form Builder, the API, Zapier, Make, QuoteCloud's MCP service, payments on signing and bulk send. Business adds approval workflow, Product Discounts and Bundling, the AI Co-Worker, content locking and native CRM and accounting integrations. eSignatures are on every plan.
Can we try it before we commit?
Yes. Start a free 14-day trial with no credit card. Import your price file, build an order template and send yourself a test order. One template conversion is free during the trial if you'd like us to rebuild your current order form.
