Getting started with QuoteCloud

Repeat orders on agreed prices, signed in a minute

Last month's order, duplicated with the account's agreed discounts, quantities the buyer adjusts, and a signature that sends it to dispatch.

For repeat trade buyers, last month's order becomes this month's starting point: Zapier's Duplicate or Revise Document action copies it, or an assistant connected through MCP can be set up to prepare it from the account's history. Quantity editing lets the buyer change cartons; the agreed discounts stay; the signed order can pass to your order system.

A drawing of two order sheets, October's as a dashed outline and November's copy lying over it with the changed line marked, beside a pallet with two layers of cartons as last month and ten extra cartons of cups on top. Callouts: 1 October's order TT-SO-4398, 2 November's copy, 3 plus 10 cartons of cups, 4 the same Partner discounts. Beside it, two cards from a fictional wholesaler: October's signed order (87 cartons, 2 pallets) behind November's: cups 30 to 40 cartons less 15%, lids 20 less 12%, boxes 25 less 13%, bags 12 less 15%, signed by Sofia Marchetti on 30-day terms, $5,273.95.

This month's order, last month's prices

Pinecrest Café Group orders packaging for six cafés every month. November's order starts as a copy of October's, with the same Partner discounts on every line, so Sofia only changes what's different: ten more cartons of cups for the Riverside kitchen.

Quantity editing is on for the product lines. Try it: the line amounts and the total move, the discounts don't. Pinecrest is on 30-day account terms, so there's nothing to pay on signing.

  • Copied from last month's signed order
  • Agreed discounts stay in the Discount column
  • The buyer changes cartons, never prices

The buyer's history, with fictional figures. Nothing in QuoteCloud reorders or repeats by itself: each order is a new document, copied from the last one through Zapier's Duplicate or Revise Document action, or prepared by an order assistant, then signed by the buyer.

A change of plan in a comment, not a phone call

“Can the boxes come a day early?” Sofia asks inside the order, and Priti replies in the same thread: the boxes go on Wednesday's run with the bags. The question, the answer and the signed order stay together.

Delivery notes sit in the order as well, so the dispatch team sees the run, the dock and the loading order without another email.

Why reorders stop being admin

What changes for the sales desk once repeat orders run through QuoteCloud.

  • Start from the last order

Zapier's Duplicate or Revise Document action copies last month's order, ready for this month's quantities.

  • Or ask the assistant

“Same as last month plus ten cups” can be turned into a draft by an assistant set up through MCP.

  • Prices that don't drift

The account's agreed discounts travel with the copy, line by line.

  • The buyer edits quantities

Quantity editing with any value or preset steps; your prices stay fixed.

  • Your route, your choice

A draft for a rep by default. A narrow rule for repeat accounts under a set value is an option you can set up.

  • Signed, then handed on

A Zapier step on Recipient Signed Document passes the order to your order system.

Set up repeat orders in five steps

From one signed order to a monthly routine your buyers can do in a minute.

  1. Build the order template

Catalogue lines, the Discount column, delivery notes and a signature.

  2. Turn on quantity editing

On the product lines, with any value or preset carton steps.

  3. Copy last month's order

Duplicate or Revise Document through Zapier, or an assistant prepares it.

  4. Choose the route

A rep checks and sends, or a narrow rule you set up sends repeat orders under a value cap.

  5. Hand it on

On Recipient Signed Document, a Zapier step passes the order to your order system.

Questions about repeat orders

Can QuoteCloud send a standing order every month?

No. QuoteCloud doesn't run standing, automatic or recurring orders. Each month's order is a new document: copied from the last one with Zapier's Duplicate or Revise Document action, or prepared by an assistant through MCP, then sent and signed. That keeps every order a deliberate, signed document.

Do the agreed discounts carry over to the copy?

Yes. A copy keeps its lines, including each line's value in the Discount column, so the buyer sees list price, their discount and the net. If an account's terms change, update the discount on the lines before you send.

Can the buyer change quantities but not prices?

Yes. Turn on quantity editing for the lines you choose, with any value or preset steps. The buyer changes how many cartons they want and the totals update; prices from your catalogue stay as you set them.

Can repeat orders go straight to the buyer?

Only if you set that up. Your automation can use the Send Document action, so you might let a repeat account on agreed pricing under a set value go straight to eSignature. Without that rule, every order is a draft for a person to check.

How does a signed order reach our warehouse?

Through your own systems. A Zapier step on the Recipient Signed Document trigger, or Make or the API, can pass the signed order to your order or ERP system. QuoteCloud doesn't hold stock, pick or ship.
