Volume quotes from a website enquiry, by morning
A new buyer's bulk-buy enquiry becomes a quote in full cartons with freight on the right number of pallets, ready for your rep to check and send.

- Building QuoteCloud since 2013
QuoteCloud turns a website enquiry into a volume quote: your website or assistant creates the draft from your template with lines from your catalogue, quantities in full cartons and a freight line from your Spreadsheet block. Your rep checks and sends it; the buyer fills in delivery details, signs and pays on signing.

A drawing of one 1,200 by 1,000 millimetre pallet holding a fictional bakery's first order: 60 cartons in five layers, 25 cartons of SOS bags, 20 of takeaway boxes, 10 of hot cups and 5 of sip lids, with the delivery route to Northgate, Zone A. In front, the card: Tomasz Wren's 9:41 pm website enquiry for about 4,800 cups, 4,500 lids, 3,900 boxes and 12,200 bags; each turned into full cartons from the pack size (10 cartons of 500 cups, 5 of 1,000 lids, 20 of 200 boxes, 25 of 500 bags); 60 cartons on 1 pallet, delivery $90.00; total $3,338.50 at list price, paid on signing, as a draft for Priti to check.

From a 9:41 pm message to a quote Priti checks
Tomasz is opening a second bakery and asks on Tanbark's website for “a price on cups, lids, medium boxes and bags for the first month”. Overnight, the website's assistant prepares a draft from the volume quote template: four catalogue lines at list price, in full cartons, with one pallet of delivery to Northgate.
Form fields inside the quote collect what dispatch needs: the delivery address, receiving hours, his PO number and an accounts contact. Priti checks the draft at 7:52 am and sends it; Tomasz signs and pays the full amount on signing.

Cartons first, then pallets, then freight
Buyers ask in units; you sell in cartons. The assistant, or your own sheet, rounds each request up to full cartons from the pack size in the catalogue, and a Zapier step writes the cartons into the quote's Freight tab.
The sheet works out 60 cartons on one pallet, and two of its cells set the freight line's description and unit price. Nothing is sent until Priti has looked.

What makes a volume quote right first time
The details a new trade buyer checks before they commit, each one in the quote.
Pack sizes
Each line says how many per carton, so 10 cartons of cups reads as 5,000 cups.
Full cartons
Quantities in whole cartons, rounded up by your website, assistant or sheet before the quote is drafted.
Delivery on the page
A freight line from your own pallet and zone rates, not an extra email later.
Paid on signing
Full payment or a deposit through Stripe or PayPal, so a first order carries no credit risk.
Let the buyer adjust the cartons before signing
Turn on quantity editing for the product lines and Tomasz can trim the bags or add a carton of cups himself; the line amounts, total and payment update as he goes. Prices stay as quoted: buyers change quantities, never your prices.
The delivery line stays as Priti quoted it. If the cartons change a lot, she can revise the quote and the Freight tab works the pallets out again.

Questions about volume quotes
Can a website enquiry create a quote automatically?
Yes, as a draft. Through Zapier, Make or the API, a website form can create a document from your template and add price lines; with QuoteCloud's MCP service, on Essentials and up, an assistant can be set up to do the same. Someone on your team checks the draft and sends it.
Does QuoteCloud convert units into cartons?
Not by itself. Each catalogue product carries its pack size, and the rounding to full cartons is done by whatever prepares the quote: your website, your assistant, or a formula in a Spreadsheet block. The quote shows the cartons and the pack size on every line.
Can new customers pay before we deliver?
Yes. Payment on signing, the full amount or a deposit as a percentage or fixed amount, goes through Stripe or PayPal on Essentials and up. The buyer signs and pays in one step, and the payment shows in the document's activity.
How do we collect delivery and PO details?
Add form fields inside the quote with the Form Builder, on Essentials and up: delivery address, receiving hours, PO number and an accounts contact. The answers come back with the signed document, and the Form Submitted on Document trigger in Zapier can pass them on.
Can the buyer change quantities?
Yes. Turn on quantity editing for a line, with any value or preset steps. The buyer changes the cartons and the totals update; your prices stay fixed. The delivery line stays as quoted, so you can revise the quote if the order changes a lot.
