Quote status on the Dynamics 365 opportunity
Sales managers live in Dynamics 365 views and dashboards. Write each quote's status to a column on the opportunity and those views show which quotes have been opened, signed, left to expire or lost.

- Building QuoteCloud since 2013
Add a QuoteCloud status column to the Dynamics 365 opportunity, then build one Zap per event with QuoteCloud's Zapier app, on Essentials and up. Recipient First Viewed Document, Document Signing Complete, Document Expired and Document Lost each find the opportunity with Find Opportunity and set the column with Update Opportunity.

Why put the quote's status on the opportunity?
Northlatch Security's sales director reviews the pipeline every Monday from a Dynamics 365 view. Account manager Tobias Wren's quote for Brightfern Software, NL-Q-2641, was in QuoteCloud, so the view couldn't say whether Juno Adeyemi had even opened it.
Zapier's Dynamics 365 app updates records; it doesn't add notes or tasks. So the status goes where views and dashboards can use it: in columns on the opportunity.
- One column, QuoteCloud status, that a view can filter: Viewed, Signed, Expired, Lost.
- Two date columns, Last viewed and Signed on, for sorting and follow-up.
- The reading detail, such as time on each page, stays in QuoteCloud's document tracking.
How do I show that the quote was opened?
Every status Zap has the same shape: a QuoteCloud trigger, Find Opportunity, Update Opportunity.

Juno opens NL-Q-2641 at 8:02 on Tuesday. By 8:03 the opportunity says Viewed, and Monday's pipeline view sorts it with the other opened quotes.

Same shape, different trigger and value.
Signed
Document Signing Complete → Find Opportunity → Update Opportunity: QuoteCloud status Signed, Signed on the date. Several signers?
Expired

Lost
Document Lost → Find Opportunity → Update Opportunity: QuoteCloud status Lost. The owner decides whether to close the opportunity as lost.
Paid
If the quote takes a deposit through QuoteCloud Payments, Document Paid → Update Opportunity: QuoteCloud status Paid. Payments: Essentials and up.

Why one Zap per event, not one for every status?
QuoteCloud also has Document Status Changed, which fires on any change. One Zap with Paths by Zapier can then set the column for each status.
Separate Zaps are easier to read and test, and each trigger says exactly what happened. If you use Document Status Changed, check the status labels in your test data before you build the paths.

Variations on these Zaps
Move the probability too
Update Opportunity can also set a column such as Probability when the quote is viewed or signed, if your process uses it.
Tell someone as well
Add Microsoft Teams' Send Channel Message to any status Zap: Teams alerts.
Find by ID instead of topic
Keep the opportunity ID in a data item and search on it, if your test data shows QuoteCloud's trigger carries data items.
Build it in Make instead
Bring your own: Make's built-in OAuth connection to QuoteCloud and its API or Zapier endpoints, beside Make's own Dynamics 365 modules.
Put quote status in your pipeline views
QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and build the Viewed Zap with a test opportunity.
Build the status Zaps in five steps
- 1
Add the columns
QuoteCloud status (a choice), Last viewed and Signed on (dates) on the Opportunity table.
- 2
Match the titles
Make sure each document's title is the opportunity's topic, as the quote Zap does.
- 3
Build the Viewed Zap
Recipient First Viewed Document, Find Opportunity on the topic, Update Opportunity with Viewed and the date.
- 4
Copy it for each event
Duplicate the Zap for Document Signing Complete, Document Expired and Document Lost, changing the value.
- 5
Test each one
Open, sign, let expire and mark lost a test quote to an @example.com contact, checking the opportunity each time.
Questions about status on the opportunity
Can Dynamics 365 show when a QuoteCloud quote is opened or signed?
Yes, through Zaps you build. Recipient First Viewed Document and Document Signing Complete each find the opportunity with Find Opportunity and set your QuoteCloud status column with Update Opportunity. QuoteCloud's Zapier app is on the Essentials plan and up.
Why columns rather than notes on the timeline?
Zapier's Microsoft Dynamics 365 CRM app can create and update records such as opportunities, but it has no action for notes or tasks. Columns also work better in views, charts and dashboards. The detailed reading data stays in QuoteCloud's document tracking.
Do the status Zaps cost anything in QuoteCloud?
No. They read QuoteCloud events and update Dynamics; they don't create documents, so the per-document fee doesn't apply. Each step uses a task on your Zapier plan.
How does the Zap find the right opportunity?
With Find Opportunity on the opportunity's topic, which the quote Zap uses as the document's title. If your test data shows QuoteCloud's trigger carries the document's data items, you can search on the opportunity ID kept in a data item instead.
