Test and troubleshoot the Excel Zaps
Test every Zap on a copy of the workbook with fictional data, then use the fixes below for the problems Excel teams hit most.
- 5/5 on G2
- 4.2 on Capterra
- Building QuoteCloud since 2013
Copy the workbook, point each Zap at the copy and run it with a fictional quote sent to an @example.com address. Check every mapped column, then switch the Zap to the real workbook. Most problems are storage (OneDrive for Business or the default SharePoint site), a missing table, or a Ref that Find Row can't match.

How do I test the Excel Zaps?
- 1
Copy the workbook
Save a copy beside the real one, in OneDrive for Business or SharePoint, and point every Zap step at the copy.
- 2
Use fictional data
Create a test quote for a fictional client at an @example.com address, or add a fictional request row.
- 3
Run each Zap's test
In Zapier, test each step: the trigger's data, Find Row's match, then the row Add Row to Table or Update Row wrote.
- 4
Walk the quote through
Send, sign and pay the test quote, and check the row after each step: status, total, signed date, deposit.
- 5
Switch to the real workbook
Re-select the real workbook in each step, turn the Zaps on and delete the copy.
The usual problems, and the fix
The workbook isn't listed
It's stored somewhere Zapier can't reach. Move it to OneDrive for Business, the default SharePoint site or a Group Drive; personal OneDrive and other SharePoint sites aren't supported.
The table isn't listed
The range isn't an Excel table. Select it, insert a table with headers and reload the fields in Zapier. Add Row to Table and New Row in Table need one.
Find Row finds nothing
The Ref value doesn't match exactly. Format the column as text, remove stray spaces, and check the trigger passes the reference, not the title.
Rows arrive a few minutes late
That's normal. Zapier checks on a schedule set by your Zapier plan, so expect minutes, not seconds.
The same quote has two rows
Two Zaps both add rows, or a duplicated document fired Document Created. Keep one Add Row Zap; let the others use Find Row or Find or Create Row.
Totals don't add up
The values landed as text. Format the column as a number and map the plain numeric value, without a $ sign.
What a good test leaves behind
In the copy of Corbel's register, the test quote has one row, added by the Document Created Zap, with its reference, client, estimator and total in the right columns.
After the send and signature, the same row, not a new one, shows Sent then Signed, and the Deposit column holds the test payment.
- One row per document.
- Numbers that sum, dates that filter.
- No halted runs in the Zap history.

Why keep test data fictional?
Test quotes go to real inboxes if you let them, and test rows end up in real reports. A fictional client at an @example.com address and a copy of the workbook keep both out of sight.
If you're testing the quotes-from-rows Zap, remember that each document it creates carries the per-document fee, so test with a handful of rows, not the whole list.
- Delete test rows from the copy before you switch workbooks.
- Archive test documents in QuoteCloud when you're done.
Troubleshooting questions
Why can't Zapier find my Excel workbook?
Because of where it's stored. Zapier's Excel app works with workbooks in OneDrive for Business, a SharePoint site or a Group Drive, and lists folders in the default SharePoint site only. Move the file there, or to a group's drive, then reload the Workbook field in Zapier.
Why does Find Row say no row was found?
The lookup value doesn't match the Ref column exactly. Check that the trigger passes the document's reference, that the column is formatted as text, and that there are no extra spaces. For documents created before the register Zap, use Find or Create Row.
Why do new rows take a few minutes to appear?
Zapier checks for new QuoteCloud events and new Excel rows on a schedule that depends on your Zapier plan, so updates arrive within minutes rather than instantly. If a Zap hasn't run after that, check its history in Zapier for a halted or errored step.
Will testing the Zaps cost anything in QuoteCloud?
Only if the Zap creates documents. Tests of the register and payment Zaps add or update rows and carry no QuoteCloud fee. Testing the quotes-from-rows Zap creates documents, and each carries the per-document fee of US$2.00, $1.80 or $1.60 by volume.
