Getting started with QuoteCloud

See who has paid, on the QuoteCloud dashboard

When a card payment goes through, the document is marked Paid by itself. One filter shows every paid document, and each team's payments go to its own Stripe account.

When a Stripe payment on a QuoteCloud document is received, the document's status changes to Paid automatically. On the dashboard, open Statuses, click Show more and choose Paid to list every paid document. The payment also joins the document's history, beside each view and signature.

Why look in QuoteCloud, not in Stripe?

Lantern Quay Hotels sells group stays for three properties, and each one banks separately. The group sales manager used to open three Stripe accounts to work out which proposals had been paid.

Now she opens the dashboard. Every proposal whose payment has been received is on Paid, with the amount beside its total, whichever property's Stripe account it went to.

  • Paid is set by the payment itself: nobody updates it by hand.
  • The payment joins the document's history, next to its views and signatures.
  • Paid some other way? Update the status yourself from the document's menu.

Each property, its own Stripe account

Payment settings are set per team in QuoteCloud. Lantern Quay has a team for each property's group sales, and each team has connected its own Stripe account in its Payment Settings tab.

A proposal from the Harbourside team is paid into the Harbourside's account; the Coral's into the Coral's. The dashboard still shows them side by side.

  • Open Stripe Dashboard or Disconnect, from the same tab.
  • Suits several brands or business units that bank separately.

The payment, in the document's history

Open LQ-G-2741 and its history reads like the deal: opened by Ellen Varga, breakfast ticked, signed, deposit paid. The payment is recorded beside every view and signature, with the amount and how it was paid.

Result

One running log of payments for the whole group, with the QuoteCloud reference on every row.

More ways to keep an eye on payments

  • Signed, not paid

The Accepted filter is the short list of signed documents still waiting for payment: payment reminders.

  • Paid by bank transfer?

Use Update Document Status from the document's menu to set Paid yourself, so the dashboard stays right.

  • Tell the team as it lands

Document Paid or Document Part Paid can post in Slack or Microsoft Teams: after-payment Zaps.

Payment status questions

How do I know when a quote has been paid?

The document's status changes to Paid automatically when the payment is received, and the payment joins its history. On the dashboard, open Statuses, click Show more and choose Paid to see every paid document.

Can different teams use different Stripe accounts?

Yes. Payment settings are set per team: edit each team in Users & Roles, Teams, and connect its own Stripe account in the Payment Settings tab. Payments on that team's documents go to its account.

Can I mark a document Paid myself?

Yes. From the document's menu, choose Update Document Status and set it to Paid, for example when a client paid by bank transfer instead. Changing the status doesn't change the document.

Can payments be logged in a spreadsheet?

Yes, with a Zap. QuoteCloud's Document Payment Event trigger fires when a payment is received, fails or is refunded; Google Sheets' Create Spreadsheet Row adds it to a sheet. QuoteCloud's Zapier app is on Essentials and up.
