Getting started with QuoteCloud

See quote activity on the Zoho CRM deal

QuoteCloud knows when a buyer first opens a proposal, leaves a comment or lets it expire. Zaps put each of those moments on the Zoho CRM deal, as a status field and a task for the owner, so follow-up happens while the buyer is still thinking about it.

Build Zaps with QuoteCloud's Zapier app, on Essentials and up. Recipient First Viewed Document, Document Comment Event, Document Expired and Document Lost each start a Zap that finds the deal with Zoho CRM's Find Module Entry, writes the status with Update Module Entry and adds a task for the owner with Create Module Entry in the Tasks module.

Two overlapping panels with sample data. Behind, the activity on Larkmoor Language Services' localisation quote LM-Q-1187: sent to Hana Sorensen on Monday 12 October, viewed on Tuesday at 9:40 am, a comment from Hana on Wednesday asking whether Japanese can start first. In front, an illustration of the Zoho CRM deal's timeline: QuoteCloud status Viewed, a task to call Hana, and a task to reply to her comment, each added by a Zap.

Why put quote activity on the Zoho CRM deal?

Larkmoor Language Services quotes large localisation jobs from QuoteCloud and runs its pipeline in Zoho CRM. Account manager Sam Adeyemi used to find out a quote had been read only when the client replied, and found out a quote had expired weeks later, in a pipeline review.

Now the deal tells him. When Hana Sorensen at Kestrel Robotics opens LM-Q-1187, the deal's QuoteCloud status turns Viewed and Sam has a task to call her the next day. When she asks in a comment whether Japanese can start first, he has a task to answer it.

  • Each moment is its own Zap, so you choose which ones are worth a task.
  • A custom QuoteCloud status field on the deal makes list views and reports possible in Zoho CRM.
  • Tasks go to the deal's owner, so nobody has to pass the news along.

What happens when the buyer opens the proposal?

The first view is the best time to call. Every name is the exact event you pick in Zapier.

Hana opens the quote at 9:40 on Tuesday morning. At 9:41 the Kestrel Robotics deal reads Viewed, with the time, and Sam has a task due Wednesday: call Hana about LM-Q-1187.

Result

Sam calls while the quote is fresh in Hana's mind, instead of guessing whether it has been read.

Larkmoor's safety-card quote for Halvorsen Marine, LM-Q-1162, expired at midnight on Monday 12 October. By Monday morning the deal said so and Sam had a task to call Petter Lund. The project had been delayed, not lost, so Sam sent a fresh copy with new dates.

Result

Expired proposals come back to the owner as a task, not a surprise in the next pipeline review.

The expired deal, as the owner sees it

The Halvorsen Marine deal keeps its stage: the Zap writes Expired to the QuoteCloud status field and adds a task, and the owner decides what happens next.

If the buyer has said no, a separate Zap on QuoteCloud's Document Lost can move the deal to Closed Lost instead.

More moments worth a Zap

Each is a different QuoteCloud trigger with the same Find Module Entry and a Zoho CRM step.

  • A comment on the proposal

Document Comment Event, then Create Module Entry in Tasks: reply to the comment, due today, for the deal's owner.

  • A lost proposal

Document Lost, then Update Module Entry with the stage Closed Lost, so the pipeline stops counting it.

  • Tag hot deals

Zoho CRM's Add Tag on the first view, so a list view shows every deal whose proposal is being read today.

  • Build it in Make instead

Bring your own: connect Make to QuoteCloud with Make's built-in OAuth and write to deals and tasks with Make's own Zoho CRM modules. No ready-made QuoteCloud app on Make.

Build the first-view Zap in four steps

  1. Add the deal fields

In Zoho CRM, add custom fields for QuoteCloud status and First viewed to the Deals module.

  2. Start with the first view

In Zapier, choose QuoteCloud's Recipient First Viewed Document, then Zoho CRM's Find Module Entry on the deal name.

  3. Write the status, add the task

Add Update Module Entry for the two fields, then Create Module Entry in the Tasks module for the deal's owner.

  4. Test, then turn it on

Open a test proposal sent to an @example.com address, check the deal and the task, then switch the Zap on.

Questions about quote activity

Can Zoho CRM show when a client opens a QuoteCloud proposal?

Yes, through a Zap. QuoteCloud's Recipient First Viewed Document trigger fires when a recipient first opens the document; the Zap finds the deal with Find Module Entry and writes the view to a custom field with Update Module Entry. There's no native view tracking inside Zoho CRM.

Can a Zap add a follow-up task in Zoho CRM?

Yes. Zoho CRM's Create Module Entry action creates an entry in the Tasks module. Map a subject such as the document reference, a due date and the deal the Zap found, so the task appears for the deal's owner.

What happens to the Zoho CRM deal when a proposal expires?

Whatever your Zap does. On QuoteCloud's Document Expired trigger, the recipe on this page writes Expired to a status field and adds a follow-up task, and leaves the stage alone, because an expired proposal often just needs new dates.

Do these Zaps carry the per-document fee?

No. The per-document fee applies to documents created through Zapier or the API. These Zaps only read QuoteCloud events and update Zoho CRM, though each step uses a task on your Zapier plan. QuoteCloud's Zapier app is on Essentials and up.
