Getting started with QuoteCloud

Discount approvals before any telco deal goes out

Set the rule once: discounts past your threshold or deals above a value go to the right approver, and locked terms stay exactly as legal wrote them.

On the Business plan, QuoteCloud approval workflows hold a proposal In Review until the right people approve it, triggered by discount percentage, total value, the creator's team or role, the template or the customer. Content locking keeps company terms unchanged, and roles control who can edit the catalogue and libraries.

The sales director, Mark Ellison, has approved; the finance manager, Lena Ortiz, is still to approve, and every approver must approve before it can be sent. Decline and Approve buttons and the approval log sit below.

Write the discount policy once, as a workflow

In the workflow editor, from a blank canvas or a template. Once it is active, deals that match the rule wait for approval.

  1. Set the trigger

Trigger on Discount Percentage greater than 15%, or on total value, the creator's team or role, the template, a product folder or the customer. Combine conditions with AND or OR.

  2. Branch with a Switch

Add a Switch node to send each deal down its own path, for example a larger total value to a second approval level.

  3. Choose the approvers

Take approvers from a role such as sales director or finance, require all of them, and set what happens if none are found.

  4. Test, save, activate

Test the workflow, save it and set it Active. Deactivate, rename or duplicate it as your policy changes.

  5. Approve, then send

The rep requests approval and the proposal goes In Review. Approved, it is ready to send; declined, the rep updates it first.

  2. Why it is In Review

The discount passed 15%, so the workflow sent it to the sales director and the finance manager. Both must approve; one has.

Control who can change what

Approvals catch the exceptions. Roles, teams and locked content keep the everyday work inside the rules.

  • Custom user roles

Create roles for reps, pre-sales, sales managers and finance, each with its own permissions. From Essentials.

  • Teams and their products

Group users into teams and assign product categories to each, so the mobile team quotes mobile plans and the enterprise team quotes connectivity.

  • Catalogue and library permissions

Decide by role who can create, change or delete products and content library blocks.

  • Content locking

Lock terms, service levels and company content in the content library so reps can use them but not edit them. Business plan.

  • Version history

Revisions and version history show how a proposal changed between drafts, alongside each document's history timeline. Business plan.

  • Workflow templates

Start from Single-Step, Two-Level, Value Threshold, Discount Level or Client-Specific approval templates and adjust them. Business plan.

Terms and service levels nobody rewrites

Keep your agreement terms, service levels and moves, adds and changes clauses as blocks in the content library, then lock them. Reps drag locked blocks into a proposal, where they stay exactly as legal wrote them.

Only admins and roles with permission can unlock a block, and library access can be limited by role, so a large sales team sends the same wording every time.

  • Lock and unlock content library blocks
  • Locked blocks stay non-editable inside documents
  • Content library permissions set by role

Rolling deal control out to a sales team

Most telco deal desks already have a policy; it just lives in email. In an implementation, write it down as two or three workflows: one for discounts by level, one for deals above a total value, and a client-specific path for key accounts if you need one.

Then set up the roles and teams the workflows use, move legal terms and service levels into locked library blocks, and test each workflow with a sample proposal before you activate it. QuoteCloud's onboarding services can help, and the implementation guide covers the rest of the rollout.

  • Discount and value thresholds agreed with sales and finance
  • Approver roles and teams created before the workflows
  • Terms and service levels moved into locked blocks
  • Every workflow tested, then set Active

Approval and control questions

Can telco discounts need approval before a proposal is sent?

Yes, on the Business plan. An approval workflow can trigger on discount percentage, total value, the creator's team, role or email, the template, a product folder or the customer. A matching proposal goes In Review and can only be sent once the approvers have approved it.

Who can approve, and do all approvers have to agree?

In the workflow you choose how approvers are found, for example from a role such as sales director or finance manager, and set whether the document must be approved by all of them. Any rejection rejects the request, and you set a default action for when no approvers are found.

Can we send bigger deals to a second approver?

Yes. Add a Switch node to route deals by condition, for example a higher total value to a second approval level. QuoteCloud also has ready-made templates, including Two-Level Approval, Approval by Value Threshold and Approval by Discount Level. Each template can be adjusted to your own thresholds.

What does the approver see?

Approvers find the proposal in Workflow Review and open it with the Document Workflow panel, which shows why it was triggered, who has approved and Decline and Approve buttons. The workflow's activity log records the request and each decision. Approved proposals can then be opened and sent by the rep.

Can we stop reps editing our terms and service levels?

Yes, on the Business plan. Lock blocks in the content library and they stay non-editable when reps add them to a proposal. Only admins and roles with permission can unlock them, and content library permissions are set by role in Users, Teams & Roles.

Which plan do approvals and content locking need?

Approval workflows, content locking and version history are on the Business plan, US$59 per user per month, and Enterprise. Custom user roles are available from Essentials. Both Essentials and Business can be tried free for 14 days with no credit card.
