Getting started with QuoteCloud

HR & payroll proposal questions, answered

What payroll bureaus, outsourced HR providers and HR consultancies ask most about QuoteCloud.

This page answers the questions HR and payroll firms ask about QuoteCloud: pricing per employee from a spreadsheet inside the proposal, AI drafting through MCP, payments on signing, service agreements, renewals, integrations and which plan each feature needs. QuoteCloud doesn't run payroll or give legal advice.

Pricing, sheets and proposals

Can a proposal show a price per employee per month?

Yes. Bring the price table's monthly total back into a cell of your pricing sheet and divide it by the headcount. The figure updates as the client ticks or unticks HR modules. The Spreadsheet block is on Essentials and up; the formulas are your own.

Can we price weekly, fortnightly and monthly pay runs differently?

Yes, in your own sheet. Type the employees paid at each frequency into the Spreadsheet block, work out payslips a month with your formula and look up the rate for that volume on a Rates tab. Connected cells then set the processing line's description and unit price.

Does the sheet change the quantity on the price lines?

No. A cell can set a price line's description and unit price, and the price table total can come back into a cell, but quantities are set on the lines as usual. Headcount-priced lines are usually a quantity of one, priced by the sheet.

Can clients choose which HR services they want?

Yes. Put HR modules such as the advice line or leave admin in the price table as optional lines the client ticks; the totals and your per-employee figure follow. For bigger choices, offer service tiers as packages the client compares and picks.

Can a manager approve deep discounts before a proposal goes out?

Yes, on Business. Approval rules trigger on a discount percentage or a total value, for example any discount over 10%. The proposal sits In Review until an approver accepts it, and only then can it be sent.

Audits, packs, agreements and payments

Can an HR audit include a questionnaire the client fills in?

Yes. The Forms block puts a form inside the document, so the client answers your health-check questions where they read the report. It's on Essentials and up. Your consultant reviews the answers and writes the findings; QuoteCloud doesn't assess compliance.

Can the client pay a deposit on audit fixes?

Yes. Price the fixes as optional lines and take a deposit on signing, as a percentage or a fixed amount, through Stripe or PayPal on Essentials and up. The rest is invoiced by you. Instalment plans and payment reminders are not QuoteCloud features.

Can we lock our standard policy wording?

Yes, on Business. Save approved policies and clauses to your company content library and lock them: they can be added to a pack or agreement but not edited there. Content libraries themselves are on Essentials and up.

How many people can sign a service agreement?

As many as the agreement needs, for example the client's operations director and finance manager plus your managing director. Each signs online, and the signed document carries a certificate of authenticity. eSignatures are on every plan.

Can we send a rate change to all our clients at once?

Yes. Bulk send sends one template as personalised copies to many clients on Essentials and up, with volume-based costs. Each copy is tracked separately and each client signs their own. QuoteCloud doesn't change anyone's price without that signature.

AI drafting and integrations

Can an AI assistant draft our proposals?

With QuoteCloud's MCP service, on Essentials and up, an AI assistant can be set up to create a draft proposal or audit report from your template and the data you allow it to read. The draft waits for a consultant to review, approval rules still apply, and nothing is sent without a person.

Will the AI assistant see employee records?

Only what you allow it to read. Proposals and audits need headcounts, roles and findings, not employee names or pay details, so most firms keep those out of reach. How the assistant is set up and authorised is your decision.

What's the difference between the AI Co-Worker and MCP?

The AI Co-Worker, on Business, helps your staff inside the QuoteCloud editor, and its suggestions are flagged until accepted. QuoteCloud's MCP service, on Essentials and up, lets your own AI assistant work with QuoteCloud from outside, within the access you give it.

Which CRMs and accounting systems connect?

HubSpot and Zoho connect through Zapier, Pipedrive connects through Zapier or Make, and Xero and QuickBooks Online are native on Business, otherwise through Zapier. Zapier, Make and the API are on Essentials and up, with a fee per document created through the API or Zapier.

Can Zapier start an onboarding task when a client signs?

Yes. Recipient Signed, Document Payment Event and Form Submitted on Document are among QuoteCloud's Zapier triggers, so a signed proposal or a completed set-up questionnaire can create a task in your onboarding board or update the CRM.

What QuoteCloud does, and what stays with you

The line most HR and payroll firms ask about first.

  • QuoteCloud does

Holds your templates, pricing sheet and policy library; builds, sends and tracks your proposals, audit reports, packs and agreements; collects signatures with a certificate of authenticity; takes a payment on signing through Stripe or PayPal.

  • Your firm does

Runs payroll in your own payroll system and keeps employee records there; calculates pay and tax; gives HR and employment-law advice; invoices the monthly charges; decides what an AI assistant may read and reviews every draft.
