With QuoteCloud an HR provider builds each client's policy pack from its content library, locks the wording it stands behind, tailors the rest, and sends the pack for comments and sign-off. The client reads it, comments, then signs off
Tomas gets one link instead of nine attachments. He reads the pack in the browser and asks in a comment whether the on-call policy can cover the weekend lab rota. Rafael answers in the thread and updates the tailored section; the locked policies don't move.
When both comments are resolved Tomas signs off the pack. The signature records that Halcyon accepted these documents, with a certificate of authenticity; it is not a compliance certificate, and QuoteCloud doesn't check any policy against your local employment obligations. That judgement stays with your consultants.

Next year's update is a revision, not a rebuild
When Halcyon passes 60 people or opens a second office, Rafael revises last year's pack instead of starting again: the tailored sections change, the locked policies come across as they are, and Tomas signs off the new version.
On Business, version history shows what changed between versions, and the signed version stays with its certificate of authenticity. Give the signed pack an expiry date and it shows in the Expiring Soon filter as its yearly review approaches (Essentials and up).

Policy pack questions
Can we reuse the same policies for every client?
Yes. Save each approved policy to your company content library and drag it into any client's pack. Content libraries are on Essentials and up, with folders, search and role-based access. On Business, lock the policies that must not change so they can be used in a document but not edited there.
Does QuoteCloud check our policies against employment law?
No. QuoteCloud holds, assembles and sends the policies you write and records the client's sign-off. Whether a policy meets your client's local employment obligations is your consultants' judgement. The sign-off records acceptance of the documents, not compliance.
Can the client ask for changes before signing off?
Yes. The client can comment on the pack and your consultant replies in the thread and updates the tailored sections. Comments are confirmed; simultaneous real-time editing by several people is not something we claim. When the comments are resolved, the client signs off with a certificate of authenticity.
How do we handle a policy update next year?
Revise last year's pack instead of rebuilding it: change the tailored sections, keep the locked policies, and send the new version for sign-off. Version history, which shows what changed between versions, is on the Business plan, as is content locking.
Can we charge for policy packs?
Yes. Put a price table in the pack for a one-off fee and take a payment on signing through Stripe or PayPal (Essentials and up), or add policy upkeep as an optional monthly line in your payroll proposal. Monthly charges are shown in the document and invoiced by you; QuoteCloud doesn't bill them.
