Trade account applications, filled in and signed
Business, delivery and accounts details in form fields inside one document, your trading terms beside them, and the applicant's signature.

- Building QuoteCloud since 2013
QuoteCloud carries the trade account application as a document: form fields for the business, delivery and accounts details (Form Builder, Essentials and up), your trading terms, and the applicant's eSignature with a certificate of authenticity. The answers can be passed on with the Form Submitted on Document trigger in Zapier. Your credit team decides the terms.

The cover of a fictional trade account application, 'Open a trade account with Tanbark', reference TT-AC-0388, prepared for Tomasz Wren of Bellmount Bakery, behind a checklist titled 'Bellmount's application, what Hana receives'. Its items tick off one by one: business details typed into form fields; the delivery address, Unit 4, 22 Mill Lane, Northgate; an accounts contact email; the terms requested, 30 days after three paid orders; the trading terms read and signed by Tomasz Wren with a certificate of authenticity; and the answers passed on through Zapier's Form Submitted on Document trigger.

The application, the terms and the signature in one document
Tanbark's application is a QuoteCloud document, not a PDF to print. Tomasz types his trading name, registration number, delivery address and accounts contact into form fields inside it, picks the terms he'd like from a list, reads Tanbark's trading terms underneath and signs at the bottom.
Nothing is handwritten, so nothing is illegible. The signed application carries a certificate of authenticity and an audit trail, and Hana in credit and accounts has every answer in one place when she decides what terms to offer.

What the credit team gets, and what stays its call
QuoteCloud carries the application and the signature. The decision about credit is Tanbark's own.
One document, not three
Registration details, delivery and accounts contacts, and the trading terms travel together, so nothing arrives without the other pages.
Typed answers, a real signature
Form fields instead of handwriting, and a legally binding eSignature with a certificate of authenticity and audit trail.
The right person signs
Turn on the optional one-time passcode and the signer enters a code sent to their email before they can sign.
See where it's up to
Tracking shows when the application was opened and how long it was read, so you know whether to call or wait.
Credit stays your decision
QuoteCloud runs no credit checks and scores nobody. Hana reads the application, checks what she normally checks and sets the terms.
No card numbers in form fields
Keep payment out of the form. When a new account pays up front, it pays on signing its first order through Stripe or PayPal.
When Tomasz signs, the answers go where you keep accounts
Zapier's Form Submitted on Document trigger fires when the form inside a document is submitted. A Zap can pass the answers to your CRM, your accounting system or a register in Google Sheets, so nobody retypes a delivery address.
Until Hana confirms terms, Bellmount orders like any new customer: its first volume quote went out at list price and was paid in full on signing. That's what the trading terms say, so the application and the first order never contradict each other.

They fill it in and sign, on any device, without an account. Turn on the one-time passcode if you want it.
- 5
Pass it on and decide
A Zapier step sends the answers to your systems; your credit team sets the terms.
Questions about trade account applications
How do customers apply for a trade account in QuoteCloud?
You send them an application document. They type their business, delivery and accounts details into form fields inside it, read your trading terms and sign at the bottom, on any device and without creating an account. The form fields come from the Form Builder (the Forms block), which is on Essentials and up; eSignatures are on every plan.
Does QuoteCloud run credit checks or approve trade accounts?
No. QuoteCloud carries the application and the signature; it doesn't check credit, score applicants or decide terms. Your credit team reads the signed application, makes its usual checks and decides what to offer. Until then, new customers can simply pay for their orders on signing through Stripe or PayPal.
Can the answers go into our CRM or accounting system?
Yes, through Zapier. The Form Submitted on Document trigger fires when the form in a document is submitted, and a Zap can pass the answers on, for example as a new contact in your CRM, a customer in your accounting system or a row in a Google Sheets register. Zapier is on Essentials and up.
How do we know the right person signed the application?
Every signed document carries a certificate of authenticity and an audit trail. You can also turn on the optional one-time passcode: the signer enters a code sent to their email before they can sign. QuoteCloud doesn't verify identity documents, so ask for anything else your process needs separately.
Should we collect card or bank details in the application form?
No. Keep payment details out of form fields. If a new account pays up front, it pays when it signs its first order, through Stripe or PayPal, so card details go to the payment provider rather than into the document.
Is there a template for a trade account application?
QuoteCloud's template library has a New Customer Registration Form template. Start from it, add your form fields and trading terms, and save it as your own trade account application. One template conversion is free during the trial if you'd rather send us the form you use today.
