Getting started with QuoteCloud

What QuoteCloud with Microsoft Teams can and can't do

The Zaps carry QuoteCloud's news into Teams: posts, chats, approval requests, kickoffs and signed files. Here's where they stop, so nothing surprises you.

Through Zapier, QuoteCloud events can post to Teams channels, send one-on-one chats, request approvals and, with Outlook and OneDrive, book kickoff meetings and share signed PDFs. There's no direct connection, Teams' Zapier app has no meeting action, a declined review has no trigger, and quotes are edited and signed in QuoteCloud.

Two overlapping panels with sample data. Behind, Tessmore Engineering's quote TE-Q-2426, In Review for Gareth Lyle because it's over $15,000. In front, an illustrative team channel, Commercial › Quotes, with posts from Zaps when a fleet quote was sent and a café's recommendation was first viewed.

What can the Microsoft Teams Zaps do?

Each is a Zap you build and switch on, from a QuoteCloud event to a Microsoft 365 action.

  • Post to a team's channel

Sent, first viewed, signed, expired, lost and paid quotes, routed by team or region. Posts by team

  • Chat the owner

A one-on-one chat when a client opens a quote or comments. Chat the owner

  • Request approvals

Approval requests and approved notices from QuoteCloud's approval workflow (Business). Approvals

  • Book the kickoff

An online meeting in Outlook when every signer has signed. Kickoff meeting

  • Share the signed PDF

Filed in OneDrive in the same Zap, with a sharing link in the channel. Signed PDF & channel

  • Flag and mention

Set a post's importance and mention people with Teams' user tags, for the quotes that need it.

Zapier or Make: which route suits you?

Both reach the same QuoteCloud events. Neither is a direct connection.

  • Zapier

QuoteCloud's Zapier app with ready-made triggers and actions, beside Microsoft Teams' own Zapier app. Every recipe on this site. Essentials and up; Zapier's own plans apply.

    Connect it, step by step
  • Make, bring your own

Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Microsoft Teams modules. No ready-made QuoteCloud app on Make; you design each step.

Where does it stop?

Honest limits, so you can plan around them.

  • No direct connection

QuoteCloud has no direct Teams integration on any plan. Every job is a Zap or a Make scenario you build.

  • No Teams meeting action

Microsoft Teams' Zapier app can't create meetings. Outlook's Create Event books an online meeting instead.

  • No 'declined' trigger

QuoteCloud's Zapier triggers include review requested and accepted, not declined, so declines are seen in QuoteCloud.

  • Quotes stay in QuoteCloud

Teams shows news about a quote. Editing, signing, payments and engagement tracking stay in QuoteCloud.

  • Short-lived PDF links

QuoteCloud's PDF link expires, so a signed PDF must be uploaded to OneDrive in the same Zap, never posted as a link.

  • One post per event

Each event posts a new message. A post doesn't update itself when the quote moves on; the next event posts again.

What we haven't confirmed yet

These depend on your test data or your Microsoft 365 settings. Check them when you build, before you rely on them.

  • Which fields each QuoteCloud trigger carries, such as the document's owner, client and total.
  • That an online meeting from Outlook's Create Event is a Teams meeting in your organisation.
  • Whether the posting account can reach private channels in your setup.
  • The exact choices in Send Channel Message's Importance and OneDrive's Link Scope.
  • Whether documents created from a Make scenario carry QuoteCloud's per-document fee.

Questions about the limits

Can Microsoft Teams create or edit a QuoteCloud quote?

Not in the recipes on this site, which all run from QuoteCloud to Teams. Quotes are created, edited and signed in QuoteCloud. A Zap could start from a Teams trigger and use QuoteCloud's Create Document, which would carry the per-document fee.

Does a Teams post update when the quote changes?

No. Each QuoteCloud event posts a new message, so a quote that's sent, viewed and signed makes three posts. Replies under each post keep the team's conversation together.

Can engagement tracking be seen in Teams?

Partly. Teams shows the events you post, such as first viewed and signed. Fuller engagement tracking stays in QuoteCloud, where the dashboard shows every document's status.

Is Make as capable as Zapier here?

It reaches the same QuoteCloud events and actions through QuoteCloud's API, but it's bring-your-own: there's no ready-made QuoteCloud app on Make, so you build each step yourself beside Make's own Microsoft Teams modules.
