Getting started with QuoteCloud

QuoteCloud and Stripe: frequently asked questions

Everything teams ask before they put a card payment on their quotes, grouped by connecting, paying, after the payment, and cost.

QuoteCloud connects to Stripe directly: each team connects its own Stripe account in Payment Settings, on the Essentials plan and up. Clients pay a deposit, a fixed amount or the full amount by card right after they sign, and the document is marked Paid. Zapier is optional, for passing payments on to other apps.

How does the Stripe connection work?

How does QuoteCloud connect to Stripe?

Directly, inside QuoteCloud. Each team connects its own Stripe account in Settings, Users & Roles, Teams, Edit, Payment Settings, with Continue Onboarding. No Zap is needed to take payments.

Is the Stripe connection the same as a Zapier integration?

No. Stripe is a direct connection: the payment happens inside the QuoteCloud document. QuoteCloud's Zapier app is separate and optional, for passing payments on to other apps after they're made.

Can each brand or team use its own Stripe account?

Yes. Payment settings are per team, so each team connects its own Stripe account and payments on its documents go there. That suits several brands or business units that bank separately.

Where do I set the amount the client pays?

In the $ (Payments) panel while editing a template or a document: the payment description, instructions, amount as a percentage or a fixed figure, and any discount. Templates carry the setting to every new document.

Deposits, full payments and the card

Can the client sign and pay in one step?

Yes. The payment request appears on the same page the moment they sign, and they pay by card there. Stripe processes the payment and the document is marked Paid.

Can I take a deposit instead of the full amount?

Yes. Set a percentage of the total or a fixed amount. A percentage is recalculated from the price table when the client ticks optional items or changes quantities before signing, so it always matches what they chose.

Which payment methods can clients use?

Debit and credit cards, processed by Stripe. Which card brands and any other methods are available depends on Stripe and your country, so check your Stripe account's settings.

Does QuoteCloud store card details?

No. Card details are entered with Stripe, which holds PCI Level 1 certification. QuoteCloud marks the document Paid; documents are protected with 256-bit encryption on Amazon Web Services.

Paid status, reminders and Zapier

How do I see which documents are paid?

When a payment is received the document's status changes to Paid automatically. On the dashboard, open Statuses, click Show more and choose Paid. The payment also appears in the document's history.

Does QuoteCloud send payment reminders?

Yes. QuoteCloud has automated payment reminders, set with a click, for the payment on a signed document. The balance after a deposit is on your own invoices, with your accounting app's reminders.

Which Zapier triggers fire on a payment?

Document Paid when a document is fully paid, Document Part Paid when it's partially paid, such as a deposit, and Document Payment Event when a payment is received, fails or is refunded. QuoteCloud's Zapier app is on Essentials and up.

Can a payment create an invoice in Xero or QuickBooks Online?

Yes, through a Zap. Xero and QuickBooks Online connect to QuoteCloud through Zapier or Make, not natively. A Zap on Document Part Paid or Document Paid can create the invoice and apply the payment.

Plans, fees and refunds

Which QuoteCloud plan do I need?

Essentials or higher. QuoteCloud Payments is on the Essentials, Business and Enterprise plans, not Free or Starter, and in the free 14-day trial with your own Stripe account.

What does Stripe charge for each payment?

Stripe's own fees, under your Stripe account's terms. They vary by country and provider, so check the pricing in your Stripe account.

How do refunds work?

You refund the client from your Stripe Dashboard, which opens from the team's Payment Settings tab. QuoteCloud's Document Payment Event trigger fires on a refund, so a Zap can log it or draft a credit note.

Do after-payment Zaps carry a per-document fee?

No. The fee of US$2.00, $1.80 or $1.60 by volume is for documents created through Zapier or the API. Zaps that start from a payment don't create QuoteCloud documents.
