Getting started with QuoteCloud

Automate QuoteCloud with Zapier and Make

Create documents from any app, and let every view, signature and payment update the apps your team already runs. Zapier has a ready-made QuoteCloud app; Make is a bring-your-own build.

QuoteCloud's Zapier app, on the Essentials plan and up, has 21 triggers, 22 actions and 13 searches, so thousands of apps can create QuoteCloud documents and react when one is viewed, signed or paid. Make works too as a bring-your-own setup: Make's OAuth connection plus QuoteCloud's API. Documents a Zap or the API creates carry a per-document fee.

Illustration with sample data: on the left twelve app tiles (Google Sheets, Microsoft Excel, OneDrive, Slack, Microsoft Teams, HubSpot, Salesforce, Pipedrive, Xero, QuickBooks Online, Zoho CRM, monday.com), in the middle a route node with Zapier and Make, on the right QuoteCloud's office cleaning proposal PF-3204 from Pellucid Facility Services for Clare Whitcombe. Six jobs play in turn. 1, Create: a new Google Sheets row drafts the proposal (New Spreadsheet Row then Create Document). 2, Track: Clare opens it and Slack hears (Recipient First Viewed Document then Send Channel Message). 3, Close: Clare signs and the HubSpot deal is updated (Document Signing Complete then Update Deal). 4, Invoice: the same Zap creates an invoice in Xero (Create Sales Invoice). 5, File: the signed PDF is uploaded to OneDrive (Generate or Fetch Document PDF Link then Upload File). 6, Make: or a Make scenario reads an Excel row and calls QuoteCloud's API to create the next document. It ends with the proposal signed and every job done.

Zapier, Make or the API: which should you use?

All three reach the same QuoteCloud account from the Essentials plan. They differ in how much is ready-made and how much you build.

  • Zapier: ready-made QuoteCloud steps

Pick a trigger, map fields, test, turn it on. QuoteCloud's Zapier app has 21 triggers, 22 actions and 13 searches beside the Zapier apps of thousands of others. Use it when a recipe on this site fits.

    Connect Zapier, step by step
  • Make: bring your own

There's no ready-made QuoteCloud app on Make. You connect with Make's built-in OAuth connection and call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own modules for the other app. Use it when your team already builds in Make.

    How the Make set-up works
  • The API or MCP: your own systems

QuoteCloud's GraphQL/REST API suits in-house systems and high volumes; its MCP service lets AI assistants work with your QuoteCloud data. Both are on Essentials and up.

Each app has its own microsite with the full recipes, field maps and limits. A few to start; the gallery has them all.

  • HubSpot

    CRM

    Zapier & Make

    When
    HubSpot · Updated Deal Stage
    Then
    QuoteCloud · Create Document

Quotes drafted from deals, views and signatures logged on the deal, closed won on signature.

  • Xero

    Accounting

    Zapier & Make

    When
    QuoteCloud · Document Signing Complete
    Then
    Xero · Create Sales Invoice

The signed quote becomes an invoice in Xero, so nobody keys the job in twice.

  • Google Sheets

    Sheets, calendars & files

    Zapier & Make

    When
Google Sheets · New Spreadsheet Row
    Then
    QuoteCloud · Create Document

Rows that draft documents, and a quote log that updates as quotes are viewed, signed and paid.

  • Slack

    Team chat

    Zapier & Make

    When
QuoteCloud · Recipient First Viewed Document
    Then
    Slack · Send Channel Message

The team hears the moment a client opens, signs or pays.

  • Stripe

    Payments

    Direct · QuoteCloud Payments

    When
The client pays the deposit inside the document
    Then
QuoteCloud · Document Part Paid can start a Zap

A direct connection, no Zap needed to take the payment; Zaps can pass the payment on.

  • { }

    QuoteCloud API

    Build your own

    API · Essentials and up

    When
Your own system has a new order or enquiry
    Then
It creates the document through QuoteCloud's API

For in-house systems and volumes a Zap doesn't suit. Documents created this way carry the per-document fee.

What can QuoteCloud's Zapier app do?

Three kinds of step. Every one is listed, with its fields, in the reference.

  • 21 triggers start a Zap

A document created, viewed, signed, accepted, paid, part paid, expired or lost; a form submitted on a document; a comment; a delivery problem; a contact or product change.

    Every trigger
  • 22 actions change QuoteCloud

Create, send, duplicate or revise a document; add recipients; fetch the PDF link; update status, details and forecast; add images; manage contacts and products.

    What Create Document can fill
  • 13 searches find records

Find a document by number or by a custom field, find its status or the latest one in a status, find or create contacts and products, and list documents, contacts, products and comments.

    Searches that find nothing, fixed

What stays with people

Automation fills in and passes on. The decisions in a quote stay with your team and your client.

  • Your client chooses

A Zap never ticks optional items or packages. The client ticks the options they want, then signs and pays in the document.

  • Your template decides the content

A Zap doesn't choose content blocks. It starts from the template you pick and fills its data items, rows and image cells.

  • Your rep checks and sends

Create Document can send at once, but most teams leave drafts for a rep to check, then send from QuoteCloud or with Send Document.

Zapier and Make questions, answered

Does QuoteCloud work with Zapier?

Yes. QuoteCloud has its own Zapier app, on the Essentials plan and up, with 21 triggers, 22 actions and 13 searches. A QuoteCloud event such as a signature can run steps in another app, and an event in another app, such as a new sheet row, can create a QuoteCloud document.

Is there a QuoteCloud app on Make?

No, not a ready-made one. Make is a bring-your-own setup: you connect Make to QuoteCloud with Make's built-in OAuth connection, then call QuoteCloud's API or Zapier endpoints from your scenario, beside Make's own modules for the other app. API access is on Essentials and up.

Which QuoteCloud plan do I need to automate with Zapier or Make?

Essentials or higher. API and Zapier access are on QuoteCloud's Essentials plan and up. Documents created through Zapier or the API carry a per-document fee of US$2.00, $1.80 or $1.60 by volume. Zapier and Make bill their own plans separately.

Can a Zap fill the price table?

Yes, with rows you map. Create Document has line-item fields (label, notes, quantity, price, term, tax, discount, cost) for the price table you link with its Table API Link Id, and can replace the template's rows. It can't tick the client's options; the client does that in the document.

Can a Zap send the document as well as create it?

Yes. Create Document has an Auto Send Document option with the recipient emails, subject and body, and Send Document sends an existing document now (or schedules it, with Scheduled Document Send on Business). Many teams still leave drafts for a rep to check before sending.
