Getting started with QuoteCloud

Hand a signed Zendesk Sell deal to support

Sales closes the deal in Zendesk Sell; the team that installs, onboards or services works in Zendesk Support. One Zap on the signature moves the deal to won and opens their ticket, signed PDF attached.

Build one Zap with QuoteCloud's Zapier app, on Essentials and up. Document Signing Complete starts it; Zendesk Sell's Find Deal and Update Deal move the deal to won; Generate or Fetch Document PDF Link fetches the signed PDF; Zendesk Support's Create Ticket opens a ticket for the delivery team with the PDF attached.

Two overlapping panels with sample data. Behind, Harrowfield Fire & Security's proposal HF-SP-0436 for Orchard Lane Childcare, $12,313.40 including tax, signed in person by Priya Desai on Marcus Teo's tablet. In front, an illustration of a help-desk ticket created by a Zap: #3118, New install: Orchard Lane Childcare, group Installations, with HF-SP-0436 signed.pdf attached.

Why hand off with a Zap?

At Harrowfield Fire & Security, Marcus Teo sells the system and Wren Halloran books the technicians. Marcus works in Zendesk Sell; Wren and the service team work every install and fault as a Zendesk Support ticket.

The gap between them used to be an email with a PDF, sent when Marcus remembered. Now the signature does it: when Priya Desai signs HF-SP-0436 on Marcus's tablet, one Zap moves the deal to won and opens an Installations ticket with the signed proposal attached, before Marcus has left the site.

  • Zendesk Sell and Zendesk Support are separate Zapier apps: connect both in Zapier.
  • The PDF link is short-lived, so the ticket gets the file in the same Zap.
  • Quoting from support tickets, such as repairs and add-ons, is on the Zendesk Support site.

How do I open a Zendesk Support ticket when a quote is signed?

Five steps and an optional sixth, across three apps. Every name is the exact event you pick in Zapier.

The same job can be built in Make, bring your own: QuoteCloud's events and PDF link through Make's built-in OAuth connection, beside Make's own Zendesk Sell and Zendesk modules.

Priya signs at 9:24 am on Thursday. At 9:25 the Orchard Lane deal is won, ticket #3118 is waiting in the Installations group with HF-SP-0436 signed.pdf attached, and the deal's note says where the job went.

Result

The team that delivers has the signed scope the moment the deal closes, in the tool they already work in, without a sales email.

And the deal says where the job went

Zendesk Sell's Zapier app can't attach files to a deal, so the signed PDF goes where the work happens: the ticket. The optional Create Note step puts the ticket number on the deal instead.

Marcus, or his manager, opens the deal and sees it won, signed on site, and handed to Installations as #3118.

Variations on this recipe

  • File a copy as well

Upload the same PDF to Microsoft OneDrive or Google Drive in the same Zap, straight after the link is fetched.

  • Tell the team

Add a Microsoft Teams or Slack channel message, so the install team sees the win before they open the ticket.

  • Only some deals

Add Filter by Zapier on the document or the deal's pipeline, so only installs open an Installations ticket and service agreements go to another group.

  • Build it in Make instead

Bring your own: Make's built-in OAuth connection to QuoteCloud and QuoteCloud's API or Zapier endpoints, beside Make's own Zendesk Sell and Zendesk modules. No ready-made QuoteCloud app on Make.

Close in Sell, deliver from Support

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and build the hand-off Zap with a test deal and a test ticket group.

Build the hand-off Zap in five steps

  1. Connect three apps

In Zapier, connect QuoteCloud, Zendesk Sell and Zendesk Support. They're separate apps with separate sign-ins.

  2. Start with Document Signing Complete

Choose QuoteCloud's Document Signing Complete trigger and test it with a fully signed test quote.

  3. Win the deal

Add Zendesk Sell's Find Deal on the deal's name, then Update Deal with your won stage.

  4. Fetch the PDF and open the ticket

Add Generate or Fetch Document PDF Link, then Zendesk Support's Create Ticket with the PDF link as the attachment and an internal first comment.

  5. Test with a test group

Sign a test quote, check the test deal and a ticket in a test group with an @example.com requester, then switch the Zap on.

Questions about the hand-off

Can a signed quote open a Zendesk Support ticket?

Yes, through a Zap. QuoteCloud's Document Signing Complete trigger starts it, Generate or Fetch Document PDF Link fetches the signed PDF, and Zendesk Support's Create Ticket opens the ticket with the PDF as its attachment. The same Zap can move the Zendesk Sell deal to won first.

Why put the signed PDF on the ticket and not the deal?

Because Zendesk Sell's Zapier app has no action that attaches a file to a deal, and the delivery team works from the ticket anyway. Add Zendesk Sell's Create Note to record the ticket number on the deal, or file a copy in OneDrive or Google Drive in the same Zap.

Will the client get an email when the ticket is created?

That depends on your Zendesk Support triggers, not on QuoteCloud. Keep the first comment internal with Create Ticket's public setting, and test the Zap with an @example.com requester to see what your Zendesk account sends before you switch it on.

Do I need QuoteCloud's Zendesk Support integration as well?

Not for this Zap: it uses Zendesk Support's own Zapier app as one step. If your support team also quotes from tickets, for repairs, call-outs or add-ons, that's a separate set of Zaps, covered on QuoteCloud's Zendesk Support integration pages.
