This page answers the questions MSPs and IT service companies ask about QuoteCloud: how to price per user and per device on a term, send SOWs and assessments, resell licences and hardware with hidden margins, track renewals, set approvals, connect a CRM, accounting software or PSA, take payment on signing and keep documents secure.
Pricing and managed services agreements
What is QuoteCloud for IT services and MSPs?
QuoteCloud is quoting, proposal and eSignature software for managed service providers, IT support companies, Microsoft 365 partners, network integrators and security consultancies. You build managed services agreements, statements of work, assessment proposals and licence and hardware quotes from templates and a product catalogue, and clients choose options, sign online and can pay on signing.
Can I price managed services per user and per device?
Yes. Price tables support repeating price items with Term and Monthly columns beside one-off rows. Put your support tier on a per-user line, devices, servers and sites on their own lines, and offer the tiers as a single-choice group. Turn on quantity and term editing so clients can change users or pick 12, 24 or 36 months. Price tables are on Essentials and above.
Can the client choose the support tier and the term?
Yes. Offer your tiers, such as Essentials, Standard and Complete, as a single-choice group, and switch on term editing so the client picks 12, 24 or 36 months. Optional rows, such as managed detection and response or after-hours support, can be ticked. The monthly total, once-off total and total contract value recalculate on the page as they choose.
Can clients see the total contract value?
Yes. Repeating and one-off charges are totalled separately, so the client sees the monthly fee, the once-off onboarding and hardware, and the value over the term they choose. Change the term or a quantity and the totals recalculate on the page. Prices on repeating rows are shown ex tax in our samples; set tax columns to suit your region.
Can both partners or directors sign the agreement?
Yes. Add several signers, each with their own signature block. Each signs in their own browser with no QuoteCloud account, and the signed document carries a certificate of authenticity and an audit trail. eSignatures are included on every plan, including Free, and you can also have a client sign in person on your device.
Project SOWs and security assessments
Can I send project statements of work with milestones?
Yes. Use a price-table section per milestone with its subtotal, write assumptions and exclusions in text blocks, and add a Gantt chart of the project plan with milestones on the Business plan. Several signers can sign the SOW, and a share of the price can be paid on signing; later milestones are invoiced by you.
Can a security assessment offer optional tests?
Yes. Price the fixed scope as standard rows and add tests such as a phishing simulation or an external penetration test as optional rows the client can tick. The total updates as they choose, and they can pay a deposit, such as half the fee, by card when they sign. Start from the real Cybersecurity Proposal template.
How do clients sign off a completed milestone?
Send each sign-off as its own short document, such as one started from the Project Customer Acceptance Form template, and the client signs it online. QuoteCloud records the signature with a certificate and audit trail. Invoicing the milestone payment that follows is done from your PSA or accounting software, not by QuoteCloud.
Can the project plan show in the proposal?
Yes, on the Business plan. A Gantt chart block shows the phases of a migration or network refresh week by week, with milestones such as cut-over and hypercare, inside the statement of work the client signs. It is the plan you write for the client; QuoteCloud doesn't track project progress against it.
Licences, hardware and margins
Can I resell Microsoft 365 and hardware with a hidden margin?
Yes. Each product in the catalogue holds its SKU, category, price and cost, and recurring products hold a billing term and duration in months. QuoteCloud calculates profit and margin for your team, and costs and margins stay hidden from the client. Update prices from a distributor list by CSV import with column mapping.
Can licences and laptops go in the same quote?
Yes. Licences go on repeating rows with a monthly price and term, and laptops, docks and network gear go on one-off rows beside them in the same price table. The client sees a monthly total and a once-off total, and can pay the hardware, or a share of it, when they sign.
How do I update prices when my distributor changes them?
Export the distributor's price list or your own price book as a CSV and import it into the product catalogue, mapping each column to a field such as SKU, price or cost. QuoteCloud validates the rows before importing. Mark superseded models Inactive so they drop out of new quotes. QuoteCloud doesn't connect to live distributor price feeds.
Who in my team can see costs and change prices?
Custom user roles decide who can manage the product catalogue, and categories can be assigned to teams, so a projects team quotes from its own products. Costs and margins show in your team's view of a price table and never in the client's copy. Custom roles and the catalogue are on Essentials and up.

Implementation for MSPs
Renewals, true-ups and seat changes
How do I keep track of agreements coming up for renewal?
Give each agreement an expiry date and use the Expiring Soon filter on the documents dashboard to list the ones ending next. Send the next term as a new agreement from your renewal template, or bulk send it to many clients from Essentials. QuoteCloud does not renew agreements or raise prices automatically.
How do I add users or devices part-way through a term?
Send the change as its own signed document, such as a variation listing the extra users and devices at your current rates, or use Revise Last Version to send an updated agreement. The client signs it online like the original. QuoteCloud doesn't count users from your RMM or apply true-ups automatically; your team decides the change.
Can I send renewal offers to many clients at once?
Yes. Bulk send creates personalised copies of one template for a list of recipients and shows who has opened and accepted theirs. It is available on Essentials and up, with volume-based costs. Each client still signs their own agreement, with their own term and expiry date.
Can I copy last year's agreement for the next term?
Yes. Copy the signed agreement, change the term, prices and expiry date, and send it as the next term's agreement. Business also keeps version history, so you can see earlier versions of a document. Save the result as a template if every renewal should start the same way.
Approvals, templates and control
Can large agreements or deep discounts require approval?
Yes, on the Business plan. An approval workflow puts a document In Review when it meets a condition such as a discount percentage or a total value, and it can't be sent until the approvers approve it. Other conditions include the creator's team or role, the template, a product folder and the customer.
Can margin trigger an approval?
No. Margin is not an approval condition in QuoteCloud. Set your rules on discount percentage and total value instead. The approver can open the team view of the price table, where cost, margin and the deal margin show beside every row, before approving or declining.
Can I stop reps changing the SLA or the terms?
Yes, on the Business plan. Save the service-level schedule and the terms as company blocks in the content library and lock them. Reps can add locked blocks to an agreement but can't edit their wording. Library permissions by role decide who can add or edit blocks at all.
Can different teams use different templates?
Yes. Template Restrictions in a team's settings assigns specific templates to that team, so projects see statements of work and milestone sign-offs while sales see managed services agreements. Unlimited teams and custom user roles are on Essentials and up, so each team only sees what it sends.
PSA, CRM, accounting and the API
Does QuoteCloud integrate with my PSA, such as ConnectWise or Autotask?
There is no native PSA integration. Signed documents can reach a PSA or service desk through Zapier or Make where that tool has a connector, or through the QuoteCloud API, from Essentials; API and Zapier document creation has per-document fees. Native CRM and accounting integrations such as HubSpot, Salesforce, Xero and QuickBooks are on Business.
Can a signed agreement create an invoice in Xero or QuickBooks?
Yes. On the Business plan, the native Xero and QuickBooks integrations pass signed deals to your accounting software; on Essentials, a Zap triggered by Recipient Signed Document can create the invoice. Either way it is a one-off hand-off of the signed deal; recurring monthly invoices are still raised in your accounting or PSA system.
Does QuoteCloud connect to my RMM?
No. QuoteCloud doesn't read device counts or alerts from an RMM. Your reps enter users and devices in the agreement, or your own automation sends quantities when it creates a document through Zapier, Make or the API. Clients can change quantities themselves where you switch on quantity editing.
Is there an API for creating quotes?
Yes. From Essentials, the QuoteCloud API and Zapier can create a document from one of your templates, fill its data items and add price-table rows with labels, quantities and prices. Documents created this way cost US$2.00 each for the first 1,000 a month, less at higher volumes. Make is also supported.
Can my team get an alert in Microsoft Teams when a client signs?
Yes, through Zapier. A Zap that starts from Recipient Signed Document can post a message to a Microsoft Teams or Slack channel, so service delivery knows a new client is starting. Other triggers include Recipient First Viewed Document, Document Payment Event and Document Comment Event.

Signing and payments
Does QuoteCloud bill the monthly fees?
No. QuoteCloud prices the agreement, gets it signed and can take a payment on signing, such as onboarding or hardware, through Stripe or PayPal. The monthly fees are invoiced from your PSA, billing or accounting system. On the Business plan, native Xero and QuickBooks integrations, or Zapier from Essentials, pass signed deals to those tools.
Can clients pay onboarding or hardware when they sign?
Yes. Ask for a deposit as a percentage or a fixed amount, or the full amount, and the client pays by card through Stripe or PayPal on the same page as they sign. A payment gateway must be connected, and each team can connect its own Stripe account. Payments are on Essentials and up.
Are QuoteCloud eSignatures legally binding?
QuoteCloud eSignatures are legally binding and eIDAS compliant. Every signed document includes a certificate of authenticity and an audit trail, and you can require a one-time passcode sent to the signer's email before they sign. Signers draw, type or upload their signature and don't need a QuoteCloud account.
Can a client sign in person at a meeting?
Yes. Hand the client your laptop or tablet and they sign in person on your device, for example at the end of an onboarding meeting or a quarterly review. The document records the signature in the same way as online signing, with a certificate of authenticity and an audit trail.
Security, plans and the free trial
How does QuoteCloud protect our clients' documents?
QuoteCloud is hosted on Amazon Web Services with 256-bit encryption, and personal information is stored on servers in the USA. QuoteCloud is GDPR compliant, never stores card details (payments go through Stripe or PayPal), and every signed document carries a unique ID, a certificate of authenticity and an audit trail.
Does QuoteCloud support single sign-on?
Single sign-on and IP range filtering are part of the Enterprise plan, along with a custom URL, implementation support and a dedicated account manager. On every paid plan you can set custom user roles and teams, and Business adds content locking, approvals and version history.
Which plan does an MSP need?
Essentials, US$39 per user per month, covers per-user and per-device price tables, the product catalogue with hidden costs, templates, payments on signing, bulk send and Zapier, Make and the API. Business, US$59, adds approvals, content locking, Gantt charts, version history and native CRM and accounting integrations. Enterprise is custom priced.
Is there a free trial?
Yes. QuoteCloud has a free plan and a 14-day free trial of Essentials or Business with no credit card required. During the trial QuoteCloud converts one of your existing templates for free on the Essentials, Business and Enterprise plans, and paid plans include a 45-minute training session.
What QuoteCloud doesn't do
Does QuoteCloud replace my PSA?
No. QuoteCloud handles the sales documents: agreements, SOWs, assessments and quotes, signed online with a payment on signing. Tickets, time, contracts in service, and recurring billing stay in your PSA. A signed agreement can be handed to your PSA through Zapier or Make where it has a connector, or through the API.
Does QuoteCloud measure response times or SLAs?
No. Your service-level schedule is content in the agreement: the tiers, response targets and hours you write, which you can lock on Business. QuoteCloud sends it and records the client's signature. Measuring and reporting service levels happens in your PSA or service desk.
Can QuoteCloud take instalments or chase unpaid invoices?
No. QuoteCloud takes a deposit or the full amount when the client signs, by card through Stripe or PayPal. It doesn't split payments into instalments, run automatic recurring billing or chase overdue invoices. Monthly fees and later milestone payments are invoiced from your PSA or accounting software.
Does QuoteCloud renew agreements or apply price rises by itself?
No. Agreements carry an expiry date and the Expiring Soon filter shows which end next, but nothing renews, extends or reprices by itself. Your team sends the next term as a new agreement, one at a time or with bulk send, and the client signs it.
Does QuoteCloud pull live prices from distributors?
No. The product catalogue holds the prices and costs you import or enter. When a distributor's price list changes, import it again by CSV with column mapping. QuoteCloud doesn't connect to distributor price feeds, check stock or place orders with suppliers.
Does QuoteCloud provision Microsoft 365 licences?
No. QuoteCloud quotes licences as repeating rows and gets the agreement signed. Ordering and assigning the licences happens in your distributor's portal or Microsoft's admin tools, and device counts come from your own records or RMM, entered by your team or sent by your automation.
