QBR proposals that end in a signed plan
Your quarter in review, an IT roadmap and each recommendation priced as an option the client can choose and sign on the spot.

In QuoteCloud a quarterly business review can be a document the client acts on: your summary of the quarter, a roadmap as a Gantt chart on the Business plan, and each recommendation as an optional monthly or once-off row. The client ticks what they want, the totals update, and they sign; you add it to the agreement by variation.
A sample quarterly business review from a fictional MSP, Quillfield IT, for Thornbury & Webb, drawn as a roadmap ring over the next four quarters: security awareness training runs all year, a conditional access project in the first quarter, server detection and response and laptop replacements as dashed options, and an agreement review near the end. Beside it, five recommendations: security awareness training ($184 a month) and the conditional access project ($3,800 once-off) are ticked; server detection and response, the Complete tier and eight replacement laptops stay options. Chosen: +$184.00 a month and $3,800.00 once-off, signed by the managing partner.

MTMartin ThornburyCan the laptop replacements wait until after tax season?
QFHannah, Quillfield ITYes: we've moved them to the second quarter on the roadmap. Nothing to approve today.

Decision
A signature, not "we'll think about it"
The partners approve the recommendations they ticked, in the meeting or afterwards, and your team sees it the moment they do.
Every recommendation priced, none of them assumed
Each recommendation is an optional row, monthly or once-off, from your price book. Nothing is in the total until the client ticks it, so the review never reads like an invoice they didn't ask for.
Tick security training and the conditional access project, as Thornbury & Webb did, and the monthly and once-off totals follow. Leave the Complete tier unticked and it stays on the table for next quarter. Try it.
- Optional rows and multiple-choice groups, with default selections you set
- Monthly and once-off recommendations kept apart, each with its own total
- Cost and margin per recommendation hidden from the client

One review cycle, from data to signature
A sample quarterly cadence for a service delivery manager. The timings are an example, and every step is your team's, not something QuoteCloud schedules.
-
Phase 1, Two weeks before
Prepare
- Your team
- Ticket counts, patch status and warranty dates from your own PSA and monitoring tools.
- In QuoteCloud
- A QBR template for the client's tier: summary, roadmap and recommendation rows already in place. On Business, AI Co-Worker can help draft the summary for a person to edit or reject.
- Done when
- The service delivery manager has checked every figure.

Phase 2, Review day
Meet
- Your team
- The partners, and the review open on screen.
- In QuoteCloud
- The document itself as the agenda. Questions go into comments on the part they're about.
- Done when
- Every question has an answer in the document.
-
Phase 3, Same afternoon
Send
- Your team
- Any changes agreed in the room.
- In QuoteCloud
- One link to the review, and a notification when it's opened and how long it's read.
- Done when
- Both partners have it.
-
Phase 4, Within the week
Sign
- Your team
- Nothing: the partners choose.
- In QuoteCloud
- Optional rows they tick, totals that follow, and a signature with a certificate and audit trail.
- Done when
- The chosen recommendations are signed.
-
Phase 5, After signing
Follow through
- Your team
- The follow-up documents.
- In QuoteCloud
- A variation, a statement of work or a hardware quote for each recommendation chosen, each signed in its own right.
- Done when
- Each one is signed, and the next review is in your calendar.
QuoteCloud doesn't pull ticket, patch or device data from your PSA or RMM, and doesn't book the meeting.

The order and the references are Quillfield's own process. QuoteCloud adds nothing to an agreement by itself: each follow-up is a document the client signs.
QBR and upsell questions
Can a QBR be a document the client signs?
Yes. Build the quarterly business review in QuoteCloud as a document: your summary of the quarter, a roadmap, and each recommendation as an optional row with its price. The client ticks the recommendations they want, the totals update, and they sign online. eSignatures are on every plan; price tables on Essentials and above.
Does QuoteCloud pull ticket, patch or device data into the review?
No. QuoteCloud does not connect to PSA or RMM tools to import service data. Your team takes the figures from its own service desk and monitoring tools and writes them into the review. On Business, AI Co-Worker can help draft the summary text in the editor, and a person accepts, edits or rejects it.
How do I price recommendations as options?
Add each recommendation as an optional row from your price book: a repeating monthly row for a service, a one-off row for a project or hardware. Nothing is in the total until the client ticks it. You can also group a higher tier as a choice, and keep cost and margin hidden from the client.
Can I show an IT roadmap in the QBR?
Yes. On the Business plan add a Gantt chart with each recommendation as a bar across the coming quarters, optional items marked as such, and milestones such as the next agreement review. On other plans, a table or text block can set out the same plan.
What happens after the client signs the recommendations?
Your team sends the follow-up: a signed variation to the managed services agreement for monthly additions, a statement of work for a project, or a licence and hardware quote for devices. QuoteCloud does not change an agreement or create invoices by itself.
Can QuoteCloud schedule QBR meetings or remind clients?
QuoteCloud does not book meetings. It shows your team when the review is opened and how long it is read, so you know when to follow up. Schedule the QBR in your own calendar and follow up in your own process.
