Getting started with QuoteCloud

QuoteCloud implementation for MSPs and IT teams

Run it like a client go-live: your agreement converted, price book imported, SLA locked, approvals and the PSA hand-off in place, then a pilot and training.

A QuoteCloud implementation for an MSP covers the agreement and SOW templates (one converted free during the trial), the price book imported by CSV with column mapping, SLA and terms saved as locked blocks on Business, roles, teams and approvals, the CRM, accounting and PSA hand-off through native integrations or Zapier, and training for the team.

A sample go-live runbook for a fictional MSP, Quillfield IT, rolling out QuoteCloud. Nine tasks tick off in order, each with an owner: kick-off together in week 1; the agreement template converted by QuoteCloud, free during the trial; the 264-product price book imported by CSV; SLA and terms saved as locked blocks; roles, teams and template restrictions; an approval for agreements over $200,000; the CRM connected and the PSA hand-off Zap tested; the 45-minute training session from QuoteCloud; and a pilot with two reps. It ends live in week 5. Sample planning, not a promised timeline.

Five phases, run like any client go-live

You run implementations for clients every week. Here is QuoteCloud's, in the same shape: a sample plan for a 12-person MSP, with what you bring, what you get and how you know each phase is done.

  1. Phase 1, Week 1

    Discover

    You bring
Your current agreement, SOW and assessment documents, the price list, who approves what, and the systems a signed deal must reach.
    QuoteCloud gives you
A 14-day trial of Essentials or Business with no credit card, and one of your templates converted free during the trial.
    Done when
Owners are named, the first template is with QuoteCloud for conversion and the go-live date is set.
  2. Phase 2, Weeks 1–3

    Build

    You bring
The price book as a CSV with part number, sell, buy, billing and term columns, plus your SLA and terms wording.
    QuoteCloud gives you
CSV import with column mapping and validation, a company content library, content locking on Business, custom roles and unlimited teams.
    Done when
Products are imported, the SLA and terms are locked blocks, and each team sees only its templates.

    IT services templates
  3. Phase 3, Weeks 3–4

    Connect

    You bring
Your CRM, accounting software and PSA, and what each needs to know when an agreement is signed.
    QuoteCloud gives you
Native CRM and accounting integrations on Business; Zapier, Make and the API from Essentials; consultancy and integration set-up if you want help.
    Done when
A test agreement signed in the trial updates the CRM and creates a record in the PSA.
  4. Phase 4, Week 4

    Pilot and train

    You bring
Two reps, real deals and the managing director as approver.
    QuoteCloud gives you
The 45-minute training session included on paid plans; extra 60-minute sessions as a paid add-on.
    Done when
Pilot agreements have been sent, approved where the rules say so, and signed.
  5. Phase 5, Week 5 on

    Go live and hypercare

    You bring
The whole sales team, and one person who owns QuoteCloud questions for the first few weeks.
    QuoteCloud gives you
Email support on Essentials and Business, or premium 24×7 support with guaranteed SLAs as an add-on.
    Done when
Every new agreement goes out from QuoteCloud and the old Word template is retired.

Your price book in, column by column

Export the price list you already keep in your PSA or a spreadsheet, map each column to a catalogue field and import it. QuoteCloud checks the rows first, so the three with no cost are fixed before anyone quotes them.

Managed services, Microsoft 365 licences and hardware arrive with their SKU, category, price, cost and billing term. When a distributor's prices change, the same file updates them.

  • Column mapping: part number to SKU, buy price to cost, term to duration in months
  • Validation before anything is imported
  • Cost and margin stay in your team's view

Roles, teams and approvals before the first live deal

Set it up the way your business already works. Sales, projects and security are teams, each with the templates it sends. Roles decide who can change the price book and the content library.

Then write your approval policy once: agreements over $200,000 go to the managing director and finance, deep discounts to the managing director. A document In Review can't be sent until it is approved.

  • Custom user roles and unlimited teams (Essentials and up)
  • Template Restrictions per team
  • Approval triggers on discount percentage and total value (Business)

What changes once you're live

The value of the rollout, job by job, for sales, service delivery and finance.

The jobTodayWith QuoteCloud
Pricing an agreement A Word table and a spreadsheet of costs, retyped for every client. Rows from one price book, with cost and margin in the team view.
Service levels Copied from the last agreement, sometimes edited on the way. One locked SLA block in every agreement template.
Discounts and big deals Approved by email, if anyone remembers to ask. In Review until approved, by the rules you set.
Handing over to service The signed PDF retyped into the PSA and a message in chat. A Zap or the API creates the PSA record and posts to Teams.
Renewals A spreadsheet of end dates someone has to check. Expiry dates on every agreement and the Expiring Soon filter.
New sales hires Weeks of shadowing to learn which document to send. Their team's templates only, with the risky parts locked.

  • Enterprise (custom pricing): implementation support, a dedicated account manager, premium 24×7 support, single sign-on and IP range filtering.

Implementation questions from MSPs

How long does a QuoteCloud implementation take for an MSP?

It depends on your templates, price book and integrations, so QuoteCloud doesn't promise a timeline. Our sample plan for a 12-person MSP runs about five weeks: discover, build, connect, pilot and train, then go live. Much of it fits inside the 14-day trial, including the free conversion of one of your templates.

Can I import my price book from my PSA or a spreadsheet?

Yes. Export the price list as a CSV and import it into the product catalogue, mapping each column to a field such as SKU, name, category, price, cost, billing term and duration. QuoteCloud validates the rows before importing them. Re-import the same file when prices change. The catalogue is on Essentials and up.

What does the free template conversion include?

On Essentials, Business and Enterprise, QuoteCloud converts one of your existing document templates free during the 14-day trial, such as your managed services agreement. Additional conversions are a paid add-on, billed per template. Prices for add-ons aren't published, so ask the QuoteCloud team.

What training is included?

Paid plans include a complimentary 45-minute virtual training and Q&A session. Extra 60-minute sessions are available as a paid add-on, which suits MSPs onboarding new sales hires later. Between sessions, the user guide at support.quote.cloud has step-by-step guides for every feature, from the catalogue to approvals.

Can QuoteCloud set up the integration with my PSA for us?

Consultancy and integration set-up for Zapier, custom APIs and other platforms is available from QuoteCloud's professional services; contact sales for a quote. There is no native PSA integration, so the hand-off is built with Zapier or Make where your PSA has a connector, or with the QuoteCloud API.

Do we get a dedicated implementation manager?

Implementation support and a dedicated account manager are part of the Enterprise plan. On Essentials and Business you get the free template conversion, the 45-minute training session and email support during business hours, Monday to Friday, with onboarding services, professional services and premium support available as paid add-ons.
