Getting started with QuoteCloud

From website enquiry to event proposal in minutes

Guests choose on your website; your automation sends their answers to QuoteCloud, and a proposal for their event comes back from your template for that occasion, ready to sign and pay.

Connect your website's function enquiry form or booking system to QuoteCloud through the GraphQL/REST API, Zapier or Make.com. The automation chooses the template for the event type, fills its data items with the guest's answers and adds the chosen package and add-ons as price-table rows. QuoteCloud returns a branded proposal as a link, PDF or email; a signature can update the booking.

An illustration of three enquiries on a fictional venue's website, Tidewell Pavilion, taking turns: a wedding for Hannah (96 guests, sit-down, Saturday 13 March 2027), a work function for Daniel (150 guests, cocktail-style) and Sophie's 40th (65 guests). Each chooses a template and sends data items through Zapier (first name, event date, guest count, space) and comes back as a branded proposal with those details highlighted, the total and the deposit.

A demo with a fictional venue: nothing is sent, stored or charged. The choice of template, space, package and minimum spend is the venue's own rule, run in its website or its Zapier or Make automation; QuoteCloud creates the document from the template it is given, fills the data items and adds the price-table rows. API, Zapier and Make: Essentials and up; documents created through the API or Zapier carry a per-document creation fee.

Every question on the form has a place in the proposal

What each answer becomes once it reaches QuoteCloud: the template the document is created from, a data item, a quantity or a price-table row. The rules in the middle column live in your website or automation.

Data items are QuoteCloud's merge fields (Text, Number, Dropdown or Date), set up globally or for one template. The form is your website's own, or your booking system's: QuoteCloud does not read your website. Its Forms block is a different thing, a form inside a document (Business plan).

What it takes, what it costs, what you get back

The connection is built once. After that, each enquiry sent through the API or Zapier costs a document creation fee instead of someone's time.

An example from the published prices, in USD, not a quote. The fee applies to documents created through the API or Zapier: from 1,001 to 5,000 a month it is US$1.80 each, above that US$1.60. Approval workflows and the native CRM and accounting integrations need Business; a Zap can approve or reject a workflow step with the Approve or Reject action.

3What you get back

  • Every enquiry answered with a proposal for that event, not a PDF pack and a "we'll be in touch"
  • The right packages, prices, space and terms every time, from templates you approved
  • Your team picks up a proposal the guest has already opened, instead of starting an email
  • Signed and deposit paid on the same page, and the booking updated by the automation
  • The same templates for enquiries that come in by phone or email

How a venue implements QuoteCloud

Connecting your enquiry form, step by step

The same six steps whether your team builds a Zap or your web agency calls the API.

  1. Build the templates

One per occasion, each with its own welcome text and blocks, and data items for the name, date, guest count, space and the guest's note.

  2. List the fields

Write down every question on the form and where it lands, like the field map above.

  3. Choose the route

A Zapier or Make automation with no code, or the GraphQL/REST API from your website.

  4. Write the rules

Which template for which occasion, which space for the numbers, which minimum spend for the day, and which package and add-on rows to add with what quantity.

  5. Test with sample enquiries

Send a wedding, a 40th and a work function through and check each proposal.

  6. Go live

Switch the form on and add the signed trigger: confirm the booking, tell the team.

Website-to-proposal questions, answered

Can our website enquiry form create a QuoteCloud proposal?

Yes, with an integration. The form sends the guest's answers through the QuoteCloud API, or a Zapier or Make.com automation, into a template with data items, and QuoteCloud returns the finished proposal as a web link, PDF or email. Your website or automation decides which template to create from and sends the price-table rows: the chosen package with the guest count as its quantity, and each add-on as its own row. Available from the Essentials plan; documents created through the API or Zapier carry a per-document creation fee.

Does QuoteCloud read our website or choose the package itself?

No. QuoteCloud creates the proposal from the template it is sent, fills its data items and adds the price-table rows. The rules, such as which template for a wedding, which space holds 96 seated guests or which minimum spend applies on a Saturday, live in your website, your booking system or your Zapier or Make automation. The venue's website or automation chooses the event-type template and sends the details and price lines; the template supplies the styled, event-specific wording. Your team can change any proposal before or after it is sent.

What are data items?

Data items are QuoteCloud's merge fields: placeholders in a template, of type Text, Number, Dropdown or Date, set up globally or for one template. When a document is created through the API, Zapier or Make, the values you send, such as first name, event date, guest count and the guest's note, appear wherever those data items are placed.

Is the QuoteCloud Forms block our enquiry form?

No. The enquiry form is on your own website or booking system. QuoteCloud's Forms block, on the Business plan, is a form inside a document, for example to collect details from a guest after they open the proposal. Either way, the website form sends its answers to QuoteCloud through the API, Zapier or Make.

Does AI write the proposal from the enquiry?

No. The proposal comes from the event-type template your team designed and the data items and price rows the website sends, and the guest's note is placed as they wrote it. On the Business plan, the AI Co-Worker can help your team draft or tailor wording inside the editor, and its suggestions stay flagged until a person accepts, edits or rejects them.

What does it cost to create proposals through the API, Zapier or Make?

The API, Zapier and Make are included from the Essentials plan (US$39 per user per month). Each document created through the API or Zapier has a fee: US$2.00 each for up to 1,000 a month, US$1.80 from 1,001 to 5,000 and US$1.60 above that. Zapier and Make have their own plans and prices.

Who sets up the connection?

Your own web developer or agency can connect the form with the API, or your team can build a Zapier or Make automation without code. QuoteCloud also offers consultancy and integration setup through its professional services team. One template conversion is free during the trial on Essentials, Business and Enterprise.

What happens when the guest signs?

Each signer signs online with no account, and the deposit is paid straight after through Stripe or PayPal as a percentage or a fixed amount; the proposal is marked Paid. A Zapier trigger such as Recipient Signed Document or Document Payment Event can then confirm the booking in your system, add the date to a calendar or tell your functions team in Slack.
