QuoteCloud turns enquiries from your website or team into branded event proposals with per-head packages and extras, signed online with the deposit paid through Stripe or PayPal. Website connections use the API, Zapier or Make from Essentials. It doesn't bill balances, check availability, read your website by itself or write proposals with AI on its own.
Website enquiries and automation
Can our website enquiry form create a proposal automatically?
Yes, with an integration. Your website form or booking system sends the guest's answers through the QuoteCloud GraphQL/REST API, or a Zapier or Make.com automation: it chooses the template, fills its data items and adds the chosen package and add-ons as price-table rows. QuoteCloud returns the finished proposal as a web link, PDF or email. API, Zapier and Make are on Essentials and above; documents created through the API or Zapier carry a per-document creation fee.
Where do the rules live that choose the template, space and quantities?
In your website or your automation, never in QuoteCloud. Your form, Make scenario, Zap or developer's code decides which template suits the occasion, which space fits the numbers and which minimum spend applies to the day, then sends those values. The venue's website or automation chooses the event-type template and sends the details and price lines; the template supplies the styled, event-specific wording. QuoteCloud creates the document from that template, fills its data items and adds the price-table rows, with the guest count as the qty on per-head rows. It does not tick optional items or choose content blocks.
Can the proposal be styled differently for a wedding, a 40th and a work function?
Yes. Keep one template per occasion, each with its own cover photo, welcome text, packages and run sheet, and share blocks such as booking terms from the content library. Your automation creates each enquiry's proposal from the right template, data items fill in the guest's name, date, numbers and space, and the chosen package and add-ons arrive as price-table rows. The template supplies the styled, event-specific wording.
Can the guest's own words appear in the proposal?
Yes. A note from your enquiry form, such as a request for a surprise speech at 9 pm, can be sent as a data item and placed in the proposal exactly as the guest wrote it, for example in a 'From your enquiry' block. QuoteCloud does not rewrite it, and your team can reply in a comment.
How quickly does the guest receive the proposal?
As soon as your automation creates it. QuoteCloud returns the document as a live web link, a PDF or an email when the request arrives, so your website can show the link on its thank-you page or the guest can receive it in their inbox. The guest opens it in any browser, with no account needed.
Packages and pricing per head
Can prices follow the number of guests?
Yes. Per-head lines in a price table take the guest count as their quantity, set by your team or sent by your automation as the qty on each row it adds. You can let the guest change quantities with quantity editing, and the subtotal, tax, total and deposit recalculate as they do. Price tables and the product catalogue are on Essentials and above.
Can guests choose between packages?
Yes. Offer packages such as three reception menus as a single-choice group, so the guest picks one and the total follows. Extras like a welcome cocktail, late-night grazing or a photo booth can be optional rows they tick themselves, or a multiple-choice group.
Can we keep our package prices in one place?
Yes. The product catalogue holds your packages, beverages, hire items and extras with their prices, categories and an Active, Draft or Inactive status, and you can import them from a CSV file. Templates and proposals pull lines from it, so a price change is made once. Costs and margins can be kept hidden from the guest.
Can we show a bar tab or a discount?
Yes. A bar tab can be a line with a pre-set limit and a note about how it is reviewed on the night, and a discount can be its own line or a Discount column. On Business, the approval workflow can hold a proposal with a discount above your threshold until a manager approves it.

QuoteCloud implementation for venues
Minimum spend and deposits
How do deposits work?
Set the deposit in the proposal as a percentage or a fixed amount. The guest pays it through Stripe or PayPal straight after signing, on the same page, and the document is marked Paid. You can also ask for full payment on signing. Payments need a connected gateway and are on Essentials and above.
Does QuoteCloud enforce our minimum spend?
No. A minimum spend is your venue's rule, so state it in the proposal as content, for example beside the food and beverage lines, and your website automation can add a minimum spend balance line when a selection falls short. QuoteCloud calculates the lines it is given; it does not check them against a minimum.
Does QuoteCloud bill the balance after the deposit?
No. QuoteCloud takes the deposit, or the full amount, when the proposal is signed. Set out the balance and its due date in the proposal as a payment schedule, and invoice it from your own system with the final numbers. There are no instalments or automatic balance billing in QuoteCloud.
Can each venue in our group use its own Stripe account?
Yes. Each team in QuoteCloud can connect its own Stripe account, so deposits for each venue are paid into that venue's account. PayPal is also available as a gateway. QuoteCloud does not store card details; payments are handled by the gateway.
Signing and approvals
Can both partners, or a company and its approver, sign?
Yes. A proposal can have several signers, each with their own signature block, and no account is needed to sign. eSignatures are legally binding and eIDAS compliant, included on every plan, and the signed document carries an audit trail and a certificate of authenticity.
Can a guest sign in person at the venue?
Yes. A guest can sign on your device during a site visit, for example on a tablet in the function room, as well as online from the link you send. You can also require a one-time passcode sent to the signer's email before they sign.
Can a manager approve discounts before a proposal is sent?
Yes, on the Business plan. The approval workflow puts a proposal In Review when it meets a trigger such as a discount percentage or a total value, and it can only be sent once the named approvers approve it. The approval is recorded in the document's history.
How long is the date held?
That is your rule, and the proposal can say it, for example 'date held for 7 days'. Proposals can carry an expiry date, and the Expiring Soon filter shows the ones nearing it. QuoteCloud does not hold dates in a booking calendar; your booking system does.
Will we know when a guest opens the proposal?
Yes. QuoteCloud tracks when a proposal is opened and viewed, and records extras added, signing and payment in the document's activity. Those events can also start a Zap through QuoteCloud's Zapier triggers, such as Recipient First Viewed Document, Recipient Signed Document or Document Payment Event: for example a message in your functions team's Slack or Microsoft Teams channel, or an update to the booking.

Integrations: CRM, accounts, calendar and payments
Does QuoteCloud connect to our booking system?
Through Zapier, Make.com or the QuoteCloud API, from the Essentials plan. There is no named booking-system integration: a new enquiry or booking can create a proposal from a template with its fields mapped to data items and its package and add-ons added as price-table rows, and events such as signing can update the booking. API and Zapier documents have per-document creation fees.
Which CRMs work with QuoteCloud?
Pipedrive connects directly on Business, with document status on the deal. HubSpot and Zoho CRM connect through Zapier, using deal and contact details in documents and passing their status back. Salesforce connects through Zapier or the Salesforce Sync add-on. Other CRMs can use Zapier, Make or the API.
Does QuoteCloud work with Xero or QuickBooks?
Yes. Native Xero and QuickBooks Online integrations are on the Business plan. On Essentials, they connect through Zapier, where a signed proposal can create an invoice with the same line items, tax and contact, and a new contact can be created in your accounts. FreshBooks also connects through Zapier.
Does it add bookings to Google Calendar?
Through Zapier, one way: when a proposal is signed, a Zap can add the event to a Google Calendar. QuoteCloud does not read your calendar or check availability, so keep availability in your booking system and check it before the proposal is created.
Is the Forms block a website enquiry form?
No. The Forms block, on the Business plan, is a form inside a QuoteCloud document that the recipient fills in as part of the proposal. Your website's enquiry form is your own, and it sends its answers to QuoteCloud through the API, Zapier or Make.
Implementation and set-up
Who builds the connection to our website?
Your own web developer or agency can build it with the API, or your team can set it up in Zapier or Make without code. QuoteCloud offers consultancy and integration setup for Zapier, custom APIs and other platforms as professional services, and Enterprise plans include implementation support and an account manager.
Will you convert our existing function pack?
Yes. During a trial of Essentials or Business, and on Enterprise, QuoteCloud converts one of your existing templates for free, such as your wedding or function pack, so you start with your own content in QuoteCloud. Further template conversions are a paid add-on, billed per template.
What training is included?
Paid plans include a complimentary 45-minute virtual training and Q&A session for your team, and more 60-minute sessions are available as a paid add-on. The QuoteCloud user guide has hundreds of step-by-step guides for building templates, price tables, data items and payments.
What does a typical set-up involve?
Usually: one template per occasion, your packages and extras in the product catalogue, booking terms and the payment schedule in the content library, Stripe or PayPal connected for deposits, then the website or booking-system connection and a training session for the functions team. Timings depend on your team and your developer.
What QuoteCloud doesn't do
Does QuoteCloud send payment reminders or take instalments?
No. QuoteCloud takes a deposit or the full amount when the proposal is signed. It does not run instalment plans, send payment reminders or bill the balance automatically. Show the balance and its due date in the proposal as a payment schedule, and invoice it from your own system.
Does QuoteCloud read our website by itself?
No. QuoteCloud does not crawl or understand your website. Your website form, booking system or automation sends the guest's choices to QuoteCloud through the API, Zapier or Make, along with the template to use. Without that connection, your team creates proposals from templates in the editor.
Does AI write our event proposals automatically?
No. Proposals come from your templates and the data items and price rows your website or team provides. On the Business plan, the AI Co-Worker can help staff draft or tailor wording inside the editor, and its suggestions stay flagged until a person accepts, edits or rejects them.
Can several of us edit a proposal at the same time?
No, there is no real-time co-editing in QuoteCloud. Your team and the guest can leave comments on a proposal and reply to each other there, and on the Business plan version history keeps earlier versions while the approval workflow records who approved a proposal before it was sent.
Does QuoteCloud check availability or manage seating?
No. QuoteCloud is not a booking calendar, seating-plan or ticketing system, and it has no capacity or minimum-spend rules of its own. Keep availability and room bookings in your booking system; your automation can check them before it creates the proposal.
Security and your guests' data
Where is our guests' data stored?
QuoteCloud is hosted on Amazon Web Services, with personal information stored on servers in the USA. Documents are protected with 256-bit encryption, every signed document has a unique ID, audit trail and certificate, and QuoteCloud is GDPR compliant. For a security questionnaire, talk to the QuoteCloud team.
Are card details stored in QuoteCloud?
No. Deposits are paid through the gateway you connect, Stripe or PayPal, straight after the guest signs. QuoteCloud does not store credit card details, and QuoteCloud staff cannot access them. The proposal is marked Paid when the deposit or full payment goes through, and your gateway account holds the payment record.
How do we control what our team can see and change?
Custom user roles and teams, from Essentials, control who can use the content library and who can add or edit its blocks. On Business, content locking keeps booking terms non-editable and the approval workflow holds discounted proposals. Enterprise adds single sign-on and IP range filtering.
Plans and pricing
How much does QuoteCloud cost for a venue?
Plans are per user per month in US dollars: Free ($0, 2 documents a month), Starter $14.95, Essentials $39 and Business $59, with Enterprise priced to suit. Price tables, templates, payments and the API, Zapier and Make start on Essentials; approvals, content locking and native CRM and accounting integrations are on Business.
What are the per-document fees for automation?
Documents created through the API or Zapier carry a monthly per-document creation fee on top of the subscription: US$2.00 each for 1 to 1,000, US$1.80 each for 1,001 to 5,000 and US$1.60 each above 5,000. For higher volumes, Enterprise can be priced per seat or per document.
Is there a free trial?
Yes. QuoteCloud has a free plan and a 14-day free trial of Essentials or Business with no credit card required. During the trial QuoteCloud converts one of your existing templates for free, and paid plans include a 45-minute training session.
Can event planners and caterers use QuoteCloud too?
Yes. Planners group venue, catering, styling and entertainment lines with their planning fee in one proposal, and caterers price menus per head with staff hours, hire and travel. Both send in bulk on Essentials and above, with volume-based costs, and collect a deposit on signing.
