- Building QuoteCloud since 2013
HVAC businesses use QuoteCloud to quote ducted and multi-zone systems: a zone table with rooms, floor area, outlets and the designer's sizing notes, three systems as a single-choice group, installation extras as optional rows and a deposit on signing. The sizing is the business's own work; QuoteCloud presents it and calculates the price.
A sample ducted system quote by a fictional business, Halden Climate Co., for Claire and Tom Hadley, drawn as a section through the roof space: the indoor unit on a service platform, flexible ducts to a ceiling outlet in each of four zones, a return-air drop to the hall and refrigerant pipe down the outside wall to the outdoor unit. The zones light in turn. In front, the quote's zone table: zone 1 living and kitchen, 62 m², 3 outlets, 5.8 kW; zone 2 main bedroom, 24 m², 2 outlets, 2.4 kW; zone 3 kids' rooms, 28 m², 2 outlets, 2.6 kW; zone 4 retreat and study, 30 m², 2 outlets, 3.0 kW; 144 m² and 9 outlets in total, with the Ducted 14 kW system chosen.

Their house on the cover
A photo of the home, who it's for, the valid-until date and a two-line summary of what the system does for them. The cover comes from your ducted template; the designer changes the photo and the words.

Ducted heat pump air conditioning, 4 zones
Prepared for Claire & Tom Hadley · Thu 16 Oct 2026 · Valid 30 days
Heating and cooling for the whole house from one ducted system, with the living areas, main bedroom, kids' rooms and the upstairs retreat as four zones you control separately. Three systems to choose from, sized from Tuesday's survey.

Every zone, every room, and why 14 kW
A table block of zones with their rooms, floor area, outlets and the designer's sizing note, then the basis in plain words: not every zone runs flat out at once. Your figures from the survey; QuoteCloud lays them out, it doesn't calculate loads.

Three systems, one choice
12.5 kW, 14 kW or the quieter 14 kW premium as a single-choice group, each with its controller and your running-cost estimate. The choice sets the system line in the price table below it.

Rebates & finance Information only
- Energy rebatesSome state and local schemes offer rebates on efficient heating and cooling. Each scheme sets its own rules and amounts; we'll give you the system details and paperwork you need to apply.
- Paying over timePrefer to spread the cost? Ask us about the finance provider we refer customers to. Applications, approval and repayments are between you and the provider.
- Running-cost estimatesThe yearly figures beside each system are our estimates from your survey and typical use. Your costs depend on your tariff and how you use the system.
Halden's information, not an offer of credit or a rebate approval.

06 Owners ask
The night-time question, answered on the quote
Scope, warranty and exclusions in writing, and Claire's question about running the main bedroom at night, answered by Rosa in a comment on the same document instead of a phone call.
Scope, warranty & exclusions
- Two days on site; power off for about two hours on day two.
- Includes commissioning, a handover of the controller and a commissioning report.
- Excludes ceiling repairs beyond the new outlets and any switchboard upgrade.
- 5-year workmanship warranty; equipment warranty as set out by the manufacturer.
CHClaire HadleyCan the main bedroom run on its own at night?
HCRosa, HaldenYes. Zone 2 has its own schedule on the controller and the app.

Change the system, tick the extras, watch the deposit
Choose a different system above the price table and the system line, the total and the 20% deposit change with it. Untick the service platform, or add the condensate pump the survey says they may need, and everything recalculates before they sign.
The install is priced from your price book, the extras carry the survey's numbers in their notes (18 m of pipe, 3 m beyond the 15 m included), and your costs and margins never appear on the customer's copy.
- Single-choice group driving the system line
- Optional rows for pipe, removal, platform, pump and a first-year care plan
- Deposit as a percentage on signing, via Stripe or PayPal

What every ducted quote has to answer
The questions owners ask before they spend twenty thousand dollars, and the block in HC-5108 that answers each one.
Which rooms, which zone?
The zone table: every room in a zone, with its outlets and the designer's note on sun, insulation and how it's used.
Where does the air come back?
Return-air grilles in the ductwork line, and the return-air drop marked up on the roof-space photo.
How do we control it?
Controller and app per system in the options, the controller position in the survey photos, and night zoning answered in a comment.
Can you get into our roof?
Access, clearance and the platform for future servicing, shown in a marked-up photo and offered as an optional row.
Is our switchboard OK?
The dedicated circuit and isolator as their own line, and any switchboard upgrade listed under exclusions, so nobody is surprised.
What happens to the old system?
Removal and licensed refrigerant recovery as separate lines the owners can see, not buried in one install price.

Sample quote · HC-5108

The 20% deposit on the Ducted 14 kW system with three extras, paid through Stripe the moment Tom added the second signature.
What changes when every designer quotes from one template
The value of a ducted quote template set up in QuoteCloud, job by job. No statistics: just what moves.
From survey to a signed ducted quote
Five steps a designer repeats on every ducted job.
- 1
Survey the house
Measure the rooms, check the roof space and photograph it, the outdoor unit spot and the switchboard, as you do now.
- 2
Fill in the zones
Open your ducted template and enter each zone's rooms, area, outlets and your sizing notes in the zone table.
- 3
Offer three systems
Add the three systems from the price book as a single-choice group, then the install and the extras the survey found.
- 4
Add the photos
Drop in the survey photos and mark up the roof space in the image editor.
- 5
Send for two signatures
Add both owners as signers and send one link; they choose, sign and pay the deposit on signing.
Ducted quotes: questions answered
Can a ducted air conditioning quote show each zone?
Yes. A table block sets out each zone with its rooms, floor area, outlets and your sizing notes, beside survey photos and the price. The figures are your designer's: QuoteCloud doesn't calculate heat loads, size systems or select equipment.
Can I offer three ducted systems in one quote?
Yes. Put the systems in a single-choice group so the customer picks one; the system line, the total and the deposit update as they choose. Price tables with optional rows and choice groups are on Essentials and up.
Can both owners sign a ducted system quote?
Yes. Add both owners as signers. Each signs with a legally binding eSignature, and the deposit can be paid by card through Stripe or with PayPal once the quote is signed. Payments are on Essentials and up and need your own gateway account.
Can installation extras be optional?
Yes. Extra pipe per metre, removing the old unit, a roof-space platform or a condensate pump can be optional rows the customer ticks or unticks, with the survey's figures in each line's note. Totals recalculate as they change.
Does QuoteCloud book the install date?
No. The deposit is paid when the quote is signed, and your office books the install. A signed quote can create a job in simPRO or ServiceM8 through Zapier, or an event in Google Calendar one way.
