Getting started with QuoteCloud

HVAC quoting questions, answered

What HVAC installers, service teams and mechanical contractors ask about QuoteCloud, answered with what it does and what it doesn't.

QuoteCloud is quote, proposal and eSignature software for HVAC businesses: system quotes with options, commercial proposals, maintenance agreements with repeating charges, repair quotes from site and commissioning reports, with deposits on signing. It isn't a field-service app, load calculator or billing system; it connects to them through Zapier or natively on Business.

Quoting residential installs

What is QuoteCloud for HVAC businesses?

QuoteCloud is quote, proposal and eSignature software that air-conditioning installers, heating and ventilation contractors, commercial mechanical services companies and HVAC service teams use for the documents they send. System quotes, commercial proposals, maintenance agreements, repair quotes and commissioning reports are built from the same templates and price book, then accepted and signed online.

Can an HVAC quote show zones and room-by-room sizing?

Yes. Add a table block that sets out each zone with its rooms, floor area, outlets and your sizing notes, beside survey photos and a floor plan image. The sizing is your designer's work: QuoteCloud doesn't calculate heat loads or select equipment, it presents your figures in a branded quote.

Can customers choose between good, better and best systems?

Yes. Put the systems in a single-choice group in the price table. The customer picks one and the system line, tax, total and any deposit recalculate on the page. Each option can carry a note, such as your running-cost estimate. Price tables are on Essentials and up.

Can customers tick installation extras themselves?

Yes. Add extras such as an extra pipe run by the metre, removal of the old unit, a condensate pump or a service platform as optional rows. The customer ticks the ones they want and the totals and deposit update. Quantities can be made editable by the customer too.

Can I add survey photos and mark them up?

Yes. Add photos of the roof space, the switchboard or the outdoor unit position in image and gallery blocks, and mark them up with the built-in image editor: crop, rotate, text, shapes, arrows, highlight and freehand. Image blocks and the image editor are on Starter and up.

Can I quote a split system in a few minutes on site?

Yes, from a short split-system template on a phone or tablet with an internet connection. Pick the systems and extras from your price book, add a photo, and the customer can sign on your device and pay the deposit before you leave. QuoteCloud runs in the browser; there's no offline mode.

Can customers ask questions about the quote?

Yes. Customers can leave comments on the document and your team replies in the same thread, so a question about a zone or a noisy outdoor unit is answered where the customer reads the quote. You're notified when the quote is opened, signed and paid.

Can both homeowners sign the quote?

Yes. Add several signers to the document, and each one signs online with a legally binding eSignature. You can also have a customer sign in person on your tablet. Every completed document gets a certificate of authenticity and an audit trail. eSignatures are on every plan, including Free.

Commercial proposals and plant

Can QuoteCloud handle commercial HVAC proposals?

Yes. A commercial proposal can list the existing plant and its condition, the new equipment by type and capacity, crane lifts, after-hours work as options, an installation programme and two or more signers at the client. The Gantt chart block for programmes is on the Business plan.

Can I include an equipment list or asset register?

Yes, as a table block: each unit with its tag, location, type, capacity and your notes on its condition. The same table can list the units covered by a maintenance agreement. It's your survey information presented in the document; QuoteCloud doesn't read data from equipment or building systems.

Can several people at the client sign a commercial proposal?

Yes. Add every signer, such as an asset manager and a finance director, and each signs online. The proposal shows who has signed and who is still to sign, and you are notified as each signature comes in.

Can our standard company content go into every tender?

Yes. Keep your company profile, licences, insurances, methodology and terms as blocks in the content library and drag them into each proposal. On the Business plan, lock the blocks that must not change. The content library is on Essentials and up.

Can I send a revised proposal after the client asks for changes?

Yes. Edit the proposal and send it again, or on the Business plan use version history to keep earlier versions. Clients can comment on the proposal to ask for changes, and you see when they open it again.

Every answer has a page that shows it

Each topic has its own page with a working sample document from a fictional business, Halden Climate Co.

Maintenance, repairs and reports

Can QuoteCloud handle HVAC maintenance agreements with monthly charges?

Yes. List every unit, set out the visit schedule and add the monthly charges as repeating price items with a term, then give the agreement an expiry date. QuoteCloud doesn't bill the monthly charges or renew agreements by itself: you invoice them, and the Expiring Soon filter shows which agreements to send again.

Can customers choose a service level?

Yes. Offer service levels, such as quarterly servicing, monthly checks or breakdown priority, as a single-choice group. The customer picks one and the monthly charge in the agreement follows. Each level lists what it includes, such as filter replacements. Price tables are on Essentials and up.

How do I know when maintenance agreements are about to expire?

Give each agreement an expiry date. The Expiring Soon filter in your documents list shows agreements nearing their end, so the office can send a new agreement in time. Nothing renews by itself, and QuoteCloud doesn't email customers about renewals for you.

Can I send a seasonal service offer to all my customers?

Yes, with bulk send on Essentials and up. Send one offer, such as a pre-winter heating service, to a list of customers, each receiving their own copy to accept and pay online. You see who has opened and accepted it. Bulk send has volume-based costs.

Can technicians quote repairs on site?

Yes. QuoteCloud runs in the browser on a phone or tablet with an internet connection. A technician can start from a repair template, add photos and mark them up, price the repair from the price book and have the customer sign and pay on the spot. There is no separate field-service app or offline mode.

Can we send commissioning and service visit reports from QuoteCloud?

Yes. A report is a QuoteCloud document built from tables, images and text: commissioning checks, readings, airflow by zone or a visit checklist, with the customer's eSignature at handover. QuoteCloud doesn't take readings or issue compliance certificates; attach your own certificate to the report as a PDF.

Can a report include a form the customer fills in?

Yes, on the Business plan. The Forms block puts questions inside a document, so a customer can answer a pre-visit questionnaire or confirm site access before signing. Your team still enters the readings and findings in the report itself.

Try it with your own HVAC quote

Free for 14 days, no credit card required. Send us your current template and we'll convert one for you during the trial.

Deposits, payments and approvals

Can I take a deposit when an HVAC quote is signed?

Yes. Set a deposit as a percentage or a fixed amount, or ask for full payment, and the customer pays by card through Stripe or with PayPal straight after signing. Payments are on Essentials and up and need your own Stripe or PayPal account. Later progress payments and final invoices come from your accounting system.

Can a repair be paid in full before the parts go in?

Yes. Set the payment to the full amount and the customer pays by card or PayPal right after signing the repair quote, on site or later from the email link. The document is then marked Paid. Payments are on Essentials and up.

Does QuoteCloud store card details?

No. Payments run through Stripe or PayPal, and QuoteCloud doesn't store card details. Transaction fees and payout times are set by your gateway. Each team in QuoteCloud can connect its own Stripe account, for example a separate one for a commercial division.

Can discounts over a limit need approval?

Yes, on the Business plan. Set an approval workflow on discount percentage, such as over 8%, or on total value, template, team, role or customer. A quote that meets the rule waits In Review until the named approvers approve it, and only then can it be sent.

Can customers see my costs and margins?

No. Each product in the price book can carry your cost beside its price, and the cost and margin are visible only to your team. Role permissions control who can change prices. The product catalogue is on Essentials and up.

Can I show prices with tax?

Yes. Price tables add tax at the rate you set, such as 10% (sales tax, VAT or tax as set on your account), and show subtotals, tax and the total. The deposit is calculated from the total. Line notes explain each item, such as a pipe run included up to 15 metres.

Integrations

Does QuoteCloud connect to ServiceM8, simPRO and Xero?

ServiceM8, simPRO and other field-service apps connect through Zapier, for example creating a job when a quote is signed. Xero and QuickBooks Online connect natively on the Business plan, or through Zapier. Zapier, Make and the QuoteCloud API are on Essentials, and documents created through the API or Zapier have per-document fees.

Which CRMs does QuoteCloud integrate with?

Native CRM integrations, including HubSpot, Salesforce and Pipedrive, are on the Business plan: create a proposal from a deal with its details filled in, and see the document's status on the record. Other CRMs, such as Zoho CRM, connect through Zapier.

Can install dates go into Google Calendar?

Yes, through Zapier. When a quote is signed, a Zap can create a calendar event with the customer and the job. It works one way, from QuoteCloud to the calendar: moving the event doesn't change the quote. Zapier is on Essentials and up.

Can the team get QuoteCloud alerts in Slack or Teams?

Yes. QuoteCloud sends notifications and alerts for document updates, comments and actions in QuoteCloud, Slack or Microsoft Teams, and shows the moment a client opens a quote. Your documents list shows each status, from Sent and Opened to Accepted and Paid, so the office knows which installs to book. For a message the moment a quote is signed or paid, connect the Zapier triggers Recipient Signed Document or Document Payment Event to Slack or Teams.

Is there an API?

Yes, on Essentials and up. The QuoteCloud API, Zapier and Make can create a document from your template, fill its data items and add price-table rows, so your website or job system can start a quote or agreement. Documents created through the API or Zapier cost US$2.00 each for up to 1,000 a month, less at higher volumes.

What QuoteCloud doesn't do

Does QuoteCloud do heat-load calculations?

No. QuoteCloud has no load-calculation or equipment-selection engine. Your designer sizes the system with your own method or software, and QuoteCloud presents the result in the quote: zones, rooms, areas, outlets and the capacity you recommend, in a table block beside your survey photos.

Is QuoteCloud a field-service app? Does it work offline?

No to both. QuoteCloud is for the documents: quotes, proposals, agreements and reports, signed and paid online. It runs in the browser on a phone, tablet or computer and needs an internet connection. Scheduling, dispatch and job cards stay in your field-service app, which connects through Zapier.

Does QuoteCloud bill maintenance agreements automatically?

No. Monthly charges are repeating price items set out in the agreement, and QuoteCloud takes a payment only on signing. Monthly invoices come from your accounting system, and QuoteCloud doesn't send payment reminders, take instalments or renew agreements by itself.

Is there a finance or rebate integration?

No. You can explain the rebates customers may apply for and the finance provider you refer them to in a text block, but QuoteCloud has no finance, buy-now-pay-later or rebate integration. Applications and approvals are between the customer and the scheme or provider.

Does QuoteCloud issue compliance certificates?

No. QuoteCloud doesn't issue compliance, refrigerant-handling or electrical certificates, and it doesn't take or verify readings. Your licensed technicians issue those. You can attach your certificate to a commissioning report as a PDF, and the customer signs the report at handover.

Does QuoteCloud sync two ways with my job app or accounts?

No two-way sync. Each integration is a hand-off you switch on: an event in QuoteCloud, such as a signature or payment, creates or updates a record in the other app. Changes made later in the other app don't flow back into the signed document.

Does QuoteCloud import supplier price feeds?

There's no supplier or wholesaler price-feed integration. Keep your price book up to date by importing a CSV of your supplier's prices with column mapping and validation, and mark superseded items Inactive. The product catalogue is on Essentials and up.

Can several people edit a quote at the same time?

Collaboration in QuoteCloud is through comments: your team and the customer comment on the document and reply in threads. Real-time co-editing isn't a confirmed feature, so plan for one person to edit a quote at a time and use comments for review.

Set-up, plans and training

Is there a free trial for HVAC businesses?

Yes. QuoteCloud has a free plan and a 14-day free trial of Essentials or Business with no credit card required. During the trial we convert one of your existing templates, such as a system quote or maintenance agreement, for free on the Essentials, Business and Enterprise plans.

How much does QuoteCloud cost?

In USD per user per month: Free $0 with 2 documents a month, Starter $14.95, Essentials $39, Business $59 and Enterprise with custom pricing. Price tables, the product catalogue, payments and Zapier start on Essentials; approvals, content locking, Gantt charts and native accounting and CRM integrations are on Business.

Does QuoteCloud have HVAC templates?

Yes. The template library has an HVAC Contract, an HVAC Proposal and an HVAC Maintenance Agreement, and HVAC businesses also adapt the Service-Level Agreement, Project Customer Acceptance Form, Equipment Rental Agreement and Home Repair Contract. Every template can be edited with your branding, wording and prices.

Can we import our price list?

Yes. Import products from a CSV file, map each column to a catalogue field and check the validation before importing. Each product can carry a SKU, category, price, unit and cost, and an Active, Draft or Inactive status. The product catalogue is on Essentials and up.

What help is there to set up QuoteCloud?

Paid plans include a 45-minute training session and one free template conversion during the trial. Extra conversions, extra 60-minute training sessions and set-up for Zapier and the API are available through professional services. Enterprise includes implementation support and a dedicated account manager.

Can sales, service and the office have different permissions?

Yes. Create custom roles and teams, set who can change the product catalogue and content library, and use Template Restrictions so each team sees its own templates, such as repair quotes for the service team. Custom roles and teams are on Essentials and up.

Signatures and security

Are QuoteCloud eSignatures legally binding?

Yes. QuoteCloud eSignatures are legally binding and eIDAS compliant. Customers draw, type or upload a signature without creating an account, and every completed document includes a certificate of authenticity and an audit trail. Optional one-time passcode verification by email can be added before signing.

Where is our data stored and how is it protected?

QuoteCloud is hosted on Amazon Web Services, with personal information stored on servers in the USA, and documents are protected with 256-bit encryption. QuoteCloud is GDPR compliant. Single sign-on and IP range filtering are available on the Enterprise plan.

Can I upload and send our existing PDF contract for signing?

Yes. Upload a PDF, place signature, initials, text and date fields on it and send it for eSignature. To add price tables, options and payment on signing, rebuild it as a QuoteCloud template or send it to us to convert during the trial.
