Good, better, best systems with running costs
Put three systems side by side with your running-cost estimates, warranty and noise, explain rebates and finance in your own words, and let the customer choose.

- Building QuoteCloud since 2013
QuoteCloud lets HVAC businesses offer good, better and best systems as a single-choice group in the quote: the customer picks one and the price, tax and deposit update. Running-cost estimates, warranties, rebate and finance information are the business's own content in the document; QuoteCloud has no energy calculator, rebate or finance integration.
Three pages of a sample ducted system quote from a fictional business, Halden Climate Co., for Claire and Tom Hadley, fanned out and taking turns at the front: the cover; the three systems, ducted 12.5 kW at $10,450 with an estimated running cost of $1,180 a year, ducted 14 kW at $12,380 (recommended, $990 a year) and a premium 14 kW with the quietest outdoor unit at $15,240 ($910 a year); and an information block on energy rebates, paying over time through a finance provider and how the running-cost estimates were made.
System quote
Ducted heat pump air conditioning, 4 zones
Prepared for Claire & Tom Hadley · Thu 16 Oct 2026 · Valid 30 days
Heating and cooling for the whole house from one ducted system, with the living areas, main bedroom, kids' rooms and the upstairs retreat as four zones you control separately. Three systems to choose from, sized from Tuesday's survey.
Choose your system
Rebates & finance Information only
- Energy rebatesSome state and local schemes offer rebates on efficient heating and cooling. Each scheme sets its own rules and amounts; we'll give you the system details and paperwork you need to apply.
- Paying over timePrefer to spread the cost? Ask us about the finance provider we refer customers to. Applications, approval and repayments are between you and the provider.
- Running-cost estimatesThe yearly figures beside each system are our estimates from your survey and typical use. Your costs depend on your tariff and how you use the system.
Halden's information, not an offer of credit or a rebate approval.
How the options read in the quote
Claire and Tom Hadley's ducted quote, page by page: why there are three systems, what separates them, the information they asked about and the price their choice produces.

The choice becomes the price
The chosen system is the first line, then installation and the extras, tax and the 20% deposit to book the install.

The upgrade is the customer's choice
Choose the premium system and the system line, tax, total and deposit change in front of you. Go back to the 12.5 kW and they drop again.
Nobody has to ask for a second quote to see the difference, and nobody is talked into it: the three prices and running costs sit side by side and the customer decides.
- Three systems as a single-choice group, the recommended one marked
- Installation extras as optional rows under the system
- The deposit recalculates with every choice

Rebates and finance, explained, never promised
A text block in your template explains the rebate schemes customers may apply for, the finance provider you refer them to and how your running-cost estimates were worked out.
It's your information, in your words. QuoteCloud has no rebate, finance or energy-calculation integration: customers apply to the scheme or provider themselves, and your estimates stay estimates.
- Save the wording once in the content library (Essentials and up)
- Lock the block so the disclaimer isn't edited (content locking: Business)
- Customers ask questions in comments on the quote

Scope, warranty & exclusions
- Two days on site; power off for about two hours on day two.
- Includes commissioning, a handover of the controller and a commissioning report.
- Excludes ceiling repairs beyond the new outlets and any switchboard upgrade.
- 5-year workmanship warranty; equipment warranty as set out by the manufacturer.
CHClaire HadleyCan the main bedroom run on its own at night?
HCRosa, HaldenYes. Zone 2 has its own schedule on the controller and the app.
What goes in each option
Three systems the customer can tell apart in a minute, and the information that makes the comparison fair.
Good: sized right
The system that does the job the survey found, with a wall controller and your standard warranty. It sets the floor the other two are measured against.
Better: lower running cost
Higher efficiency and app control, with your yearly running-cost estimate beside it, so the extra price reads against the difference in bills.
Best: quietest, most control
A quiet outdoor unit and a sensor in every zone, for the customer worried about the bedroom window or the neighbour's fence.
Your running-cost basis
One sentence under the options says how the yearly figures were estimated: tariff, hours of use, the survey. Your estimate, never a guarantee.
Warranty and first-year service
Workmanship and equipment warranty by option, and a first-year service plan as an optional row the customer can add.
Rebates stay out of the price
Point to the information block rather than deducting a rebate in the price table: the customer applies, and the scheme decides.

Sample quote · HC-5108
The better system, chosen, not sold.
Three systems side by side, the difference in running cost and noise in your words, and one click to choose. The customer reads the comparison and decides.
When a repair is no longer worth it
An eleven-year-old system with a refrigerant leak is a replacement conversation. The technician says so in the repair quote's notes, and the office sends a replacement quote with the same three options.
Maintenance agreements nearing their end show in the Expiring Soon filter: the other good moment to offer an upgrade, from the same options template.
- One options template for new installs and replacements
- The customer's question answered in a comment
- Expiry dates on agreements, no automatic renewals
Notes from the technician
- Indoor unit and controller are working normally.
- The oil at the service valves points to a small refrigerant leak: fix it while the system is open.
- Your system is 11 years old. If you'd rather replace it, we'll quote that separately.
NPNina PetrovicWill it be cooling again tonight?
HCLeon, HaldenYes, about three hours with the leak repair.
Set up good, better, best once

- 1
Choose your three systems
Decide what good, better and best mean for you: capacity, efficiency, noise and controls.
- 2
Add them to the price book
Each system as a price book item with its price and your hidden cost.
- 3
Build the option group
Put the three systems in a single-choice group in the template and mark the one you usually recommend.
- 4
Write the comparison once
Running-cost basis, warranty, rebate and finance wording as saved content blocks.
- 5
Send and see the choice
The customer chooses, signs and pays the deposit. The signed quote records the system they picked.
System options questions
Can customers choose between three HVAC systems in one quote?
Yes. Put the systems in a single-choice group in the price table, with what's included and your running-cost estimate under each. The customer picks one, and the system line, tax, total and deposit update straight away. Installation extras sit below as optional rows. Price tables are on Essentials and up.
Does QuoteCloud calculate running costs or rebates?
No. Running-cost estimates, rebate details and finance information are your own content in the quote. QuoteCloud presents them in your template; it has no energy calculator and no rebate or finance integration, and it doesn't check whether a customer qualifies for a scheme.
Can I explain finance options in an HVAC quote?
Yes, as information. A text block can name the finance provider you refer customers to and explain that applications, approval and repayments are between the customer and that provider. QuoteCloud doesn't offer credit or connect to a finance provider, and payments in QuoteCloud are a deposit or full payment on signing.
Can the rebate and running-cost wording be the same on every quote?
Yes. Save the wording as a block in the content library, on Essentials and up, and add it to your quote templates. On the Business plan you can lock the block, so the disclaimer and running-cost basis read the same on every quote your team sends.
Will I know which system the customer chose?
Yes. The signed quote records the option the customer chose, and document tracking shows when the quote is opened, signed and paid. QuoteCloud can also send alerts for document updates and actions to Slack or Microsoft Teams. If they ask a question first, it arrives as a comment on the quote.
Can I use the same options for a replacement quote?
Yes. A replacement for an ageing or failed system starts from the same options template. Agreements with an expiry date show in the Expiring Soon filter, which is a good time to send one; QuoteCloud doesn't send replacement quotes or renew agreements by itself.
