Getting started with QuoteCloud

Fixed-fee accounting packages clients choose themselves

Good, better and best compliance packages, add-ons the client ticks, monthly fees set out in the agreement and an onboarding fee paid on signing.

QuoteCloud lets accountants offer fixed-fee packages as a single choice in a proposal, with add-ons the client ticks and the monthly fee set out in the agreement for the year. Prices come from your services catalogue, totals and tax calculate as they choose, and the onboarding fee is paid on signing. You invoice monthly fees from your accounting system.

A fictional practice's fixed-fee proposal for Hearth Lane Bakery playing on its own: the client opens it, ticks the cash-flow forecast add-on so the monthly fee rises from $760 to $940 plus tax, signs, and pays the $715.00 onboarding fee through Stripe.

Three packages, add-ons, one monthly figure

Compliance, Growth and Advisory sit side by side as a single choice, with your recommendation marked. Pick one and the package line and the totals follow. Tick an add-on and the monthly figure moves with it.

The onboarding fee is the once-off: it's paid by card on signing. The monthly fee is set out in the agreement, and you invoice it from your accounting system.

  • Packages as a single-choice group
  • Add-ons as optional rows the client ticks
  • Monthly and once-off amounts kept apart, plus tax
  • Onboarding fee paid through Stripe or PayPal on signing

Fixed, hourly, value or retainer, in one proposal

Moving off timesheets rarely happens all at once. Each way of pricing is a price-table line or block, so they can sit side by side.

  • Fixed-fee packages

Good, better and best as a single-choice group. Each package lists what's in it; the client picks one.

  • Hourly work

A line with the quantity in hours at your hourly rate, for work you can't fix yet, such as catching up prior years.

  • Value pricing

One line priced on the outcome, with the outcome written in the line's note.

    Advisory & virtual CFO
  • Monthly fees and retainers

Repeating charges show the monthly fee across the agreement. You invoice them; QuoteCloud never bills them.

  • Scope options

Optional rows for weekly bookkeeping or the fringe benefits return, and quantity editing for things like the number of staff on payroll.

  • Onboarding fee on signing

A percentage or a fixed amount, paid by card through Stripe or PayPal when the client signs.

Your fee schedule, with margins only the team sees

Every service lives once in the product catalogue: a code, a category, the client price, how it's shown (monthly, per quarter, once-off) and your cost. Client managers quote from it, so every client gets the same packages at the same prices.

Cost and margin stay with the team: clients see the price, never what it costs you to deliver.

  • Import your fee schedule from a CSV, with column mapping
  • Categories for compliance, advisory, grants and funds
  • Active, Draft and Inactive services
  • Role permissions decide who can change prices

What changes when packages live in QuoteCloud

The value of the implementation, job by job: what a practice does today, and what it does once the fee schedule and templates are set up.

The jobTodayWith QuoteCloud
Setting the fee A partner works out each fee from last year's timesheets, client by client. Packages and add-ons come from one services price book, priced the same by every client manager.
Showing the options One fee in a PDF, then emails about what else the practice could do. Three packages side by side, your recommendation marked, add-ons the client ticks.
Agreeing the monthly fee Back and forth about what the fee covers. The year's monthly fee set out in the agreement, questions answered in comments before anyone signs.
Getting the onboarding fee An invoice after the work has started. Paid by card through Stripe or PayPal when the client signs.
Engaging the client A proposal, then a separate engagement letter and a signing tool. Every director signs in the same document, with an audit trail. Need full terms? Send the engagement letter from the same fees.
Invoicing the year Monthly invoices set up by hand in your accounting system. Still invoiced from your accounting system. The signature can create the client in Xero through Zapier; native accounting integrations come with the Business plan.

Implementing QuoteCloud in a practice

Set up fixed-fee packages in five steps

Done once, during implementation. After that, each proposal takes minutes to prepare.

  1. Import your fee schedule

Upload your services as a CSV, map the columns, and add your cost to each one.

  2. Build three packages

Compliance, Growth and Advisory as a single-choice group, each listing what's included.

  3. Add the add-ons

Weekly bookkeeping, forecasts and the fringe benefits return as optional rows with monthly prices.

  4. Set the onboarding fee

The once-off line, paid on signing as a percentage or a fixed amount through Stripe or PayPal.

  5. Save it as a template

Every client manager sends the same packages, and the client fills in their own choices.

Fixed-fee package questions, answered

Does QuoteCloud bill our monthly fees?

No. The proposal sets out your monthly fees as repeating charges, so the client sees the cost of the year before signing. You invoice them from your accounting system as you do today. QuoteCloud takes one payment on signing, such as an onboarding fee, through Stripe or PayPal.

Can the client choose their own package?

Yes. Packages are a single-choice group in the proposal: the client picks Compliance, Growth or Advisory, ticks any add-ons, and the monthly figure and totals update as they choose. Your recommended package can be marked.

Can we keep our costs and margins private?

Yes. The product catalogue holds each service's price and your cost, and shows the margin to your team only. Clients see the price. Role permissions decide who can change catalogue prices.

Can we quote hourly work beside fixed fees?

Yes. Add a line with the quantity in hours at your hourly rate, beside the fixed packages, or price a single line on value with the outcome in its note. Each is a line in the same price table.

Can we take an onboarding fee when the client signs?

Yes, on Essentials and up. Set the payment on signing as a percentage or a fixed amount; the client pays by card through Stripe or PayPal on the same page as the signature, and the document is marked Paid.

Can a partner approve discounts on packages?

Yes, on the Business plan. An approval workflow can be triggered by a discount percentage or total value; the proposal waits In Review until the approvers you choose approve it, and only then can it be sent.
