Getting started with QuoteCloud

Fund engagements and audit proposals

Fund administration and annual engagements both trustees sign, and audit and assurance proposals with clear scope and independence.

QuoteCloud helps fund administrators, accountants and auditors send annual engagements and audit proposals: the fund's accounts and return as fixed annual fees, trustee responsibilities, the independent audit arranged, optional items, an expiry date for next year and both trustees signing online.

A fictional practice's annual fund engagement for the Marlow Family Fund open in a tablet's signing view: the annual fixed fees, the terms band from 1 July 2026 to 30 June 2027 and the trustees' responsibilities scroll past, then Peter Marlow, trustee, signs and the button turns to Signed. Two chips: both trustees have signed, and the engagement expires on 30 June 2027.

Trustees, directors and members: who signs what

Every fund is set up a little differently. The engagement follows the fund, not the other way round.

  • Individual trustees

Add a signature block for each trustee. Each one signs online with no QuoteCloud account, and the certificate of authenticity and audit trail record both signatures.

  • A corporate trustee

Add a block for each director of the trustee company, with their role, so the engagement is accepted by everyone who acts for the fund.

  • A pension starting this year

Put the actuarial certificate and pension commencement documents in an optional section. The trustees tick what applies and the total updates before they sign.

  • Member details and tax ID numbers

Keep them out of the engagement and collect them through your secure process. Add a one-time passcode before signing, or a password-protected link, if you want one.

Next year's engagement, from the same list

Give every fund engagement an expiry date of 30 June. In May, the Expiring Soon filter lists them beside your other engagement letters, so no fund is missed.

Update your fund template with next year's fees and send a personalised copy to each fund with bulk send, or revise last year's engagement one fund at a time.

Set up your fund engagement once, send it every year

How a practice moves its annual fund engagements into QuoteCloud.

  1. Build the fund template

Your cover, the trustees' responsibilities, the independent audit clause and privacy terms, with the fund and trustee names as data items.

  2. Price the fund's year

Accounts, member statements, the annual return and the audit as fixed annual fees, with optional items for an actuarial certificate or a new pension.

  3. Add every signer

One signature block per trustee, or per director of a corporate trustee. No one needs a QuoteCloud account to sign.

  4. Set the expiry date

Use 30 June, the end of the fund's financial year, so the engagement shows on the Expiring Soon filter next May.

  5. Send and track

Send it, see when each trustee opens it, and the status moves to Signing and then Accepted as they sign.

Fund and audit engagement questions, answered

Can both fund trustees sign the engagement online?

Yes. Each trustee, or each director of a corporate trustee, gets their own signature block and signs in their own browser with no account needed. They can also sign in person on your device at the annual meeting. The signed engagement carries an audit trail and a certificate of authenticity.

How does the engagement describe the independent audit?

In your own words. In the sample, the fees list the independent audit as a line with a note, and the terms say an independent approved auditor is engaged on the trustees' behalf. QuoteCloud holds and sends the wording your firm writes; what it must say is for your firm and your professional obligations to decide.

Can audit and assurance firms send audit proposals in QuoteCloud?

Yes. Start from the Audit Proposal Template or your own letter, save your independence statement, responsibilities and terms as company blocks in the content library, and write the scope, timetable and fees for each engagement. On the Business plan those blocks can be locked so they aren't edited in a proposal.

Do trustees pay anything when they sign?

Only if you want them to. The sample fund engagement takes no payment. On the Essentials plan and above a document can take one payment on signing, as a percentage or a fixed amount, through Stripe or PayPal. QuoteCloud doesn't invoice or bill the annual fees; you do that from your accounting system.

How do we re-engage our fund clients each year?

Give each engagement an expiry date of 30 June. The Expiring Soon filter lists them in May; update the fund template with next year's fees and bulk send a personalised copy to each fund (Essentials and up, volume-based costs), or revise last year's engagement one fund at a time on Business. Nothing renews by itself.

Where do member details and tax ID numbers go?

Not in the engagement. Collect member details, tax ID numbers and identity documents through your practice's own secure process or portal, and say so in your privacy clause, as the sample does. You can also require a one-time passcode before signing or send the engagement through a password-protected link.

Does QuoteCloud file the fund's annual return?

No. QuoteCloud prepares, sends and collects signatures on your engagements and proposals. The fund's annual return is prepared and filed with your own tax and fund software, and QuoteCloud doesn't connect to the tax authority or any regulator's systems, or send anything to them for you.
