This page answers the questions accounting firms ask about QuoteCloud: engagement letters, fixed-fee packages, tax, advisory and grant work, R&D claims, onboarding and secure information, signing, re-engagement, Xero and QuickBooks, implementation, security and plans. QuoteCloud prepares, sends and gets your documents signed; it doesn't file, bill, check eligibility or give tax advice.
Engagement letters
Can QuoteCloud send engagement letters that every director signs?
Yes. Add a signature block for each director, partner or trustee and send the letter. Each person signs in their own browser with no QuoteCloud account, and the signed letter carries an audit trail and a certificate of authenticity. Until everyone has signed, the document shows as Signing; then it moves to Accepted.
What goes into an accounting engagement letter built in QuoteCloud?
Whatever your practice's letter says today: the scope of the engagement and what's quoted separately, your responsibilities and the client's, fees, limitation of liability, privacy and how the engagement ends, written in line with your professional body's engagement standards. QuoteCloud holds and sends your wording; it doesn't write or check it.
Can we stop staff changing our standard terms?
Yes, on the Business plan. Save each standard clause as a company block in the content library and lock it. Locked blocks can be dragged into any engagement letter but not edited there, and only admins or roles you permit can unlock them. Custom roles, from Essentials, decide who can change library content.
Pricing, packages and payments
Can clients choose between fixed-fee packages?
Yes. Set up packages such as Compliance, Growth and Advisory as a single-choice group, with optional add-ons the client ticks themselves. The price table totals follow the client's choices before they sign. Price tables, packages and optional items are on the Essentials plan and above.
Does QuoteCloud bill our monthly fees?
No. A proposal or agreement can show your monthly fees as repeating charges, so the client sees the cost of the year before signing, and the price table can take one payment on signing. You invoice the monthly fee from your accounting system as you do today.
Can we take an onboarding fee when the client signs?
Yes, on the Essentials plan and above. Connect Stripe or PayPal and set the payment on signing as a percentage of the total or a fixed amount. The client signs and pays on the same page, and the document is marked Paid. QuoteCloud doesn't take instalments or later payments.
Can a partner approve a discount before a proposal goes out?
Yes, on the Business plan. An approval workflow can be triggered by a discount percentage or the total value, among other conditions. The proposal waits In Review until the approvers you choose, such as anyone with a partner role, approve it; only then can it be sent.

Tax, bookkeeping and payroll
Can we quote tax returns, sales tax and bookkeeping as fixed fees?
Yes. Each service is a price-table line with a note, such as the company tax return, quarterly sales tax returns, payroll for up to ten staff, or weekly bookkeeping. Group them into packages, add optional extras such as a fringe benefits return, and show monthly amounts as repeating charges in the agreement.
Can we keep a services price book in QuoteCloud?
Yes. The product catalogue holds each service with a code, category, price, cost and status (Active, Draft or Inactive), and can be imported from a CSV file with column mapping. Costs and margins stay hidden from clients. Staff add services to a proposal from the catalogue instead of retyping prices. Essentials and up.
Can QuoteCloud prepare or file tax returns?
No. QuoteCloud is for the documents around the work: proposals, engagement letters, information requests and the client's signature. Returns, sales tax returns and financial statements are prepared in your tax and accounting software and filed through your usual channels. QuoteCloud doesn't connect to the tax authority or any government system.
Advisory, structures and succession
Can we price a virtual CFO retainer?
Yes. Set out the retainer as repeating charges, such as a monthly CFO meeting and management reporting, beside once-off work like a budget or a business plan. The client sees the monthly amount and the once-off total before signing. QuoteCloud shows the retainer in the agreement; you invoice it from your accounting system.
Can clients choose between options for a restructure or a sale?
Yes. Put each option, such as a new company, a trust or a different structure, in a single-choice group with its fee, and let the client choose before signing. Every director signs their own block. Your advice and the reasons for each option are your own content in the document.
Can partners see cost and margin without clients seeing them?
Yes. Price tables can carry cost and margin columns that are hidden from the client, so partners can check the margin on a fixed-fee package or an advisory proposal while the client only sees the price. The product catalogue keeps a cost for each service too.
Grants and R&D tax credits
Can we prepare government grant applications in QuoteCloud?
You can prepare the application documents as branded QuoteCloud documents: an information request with a Forms block (Business), a project summary, a budget schedule, milestones on a Gantt chart (Business), outcomes, risks and declarations the client signs, then export a PDF. You or your client submit it through the funder's own portal.
How do we price grant application work?
Send a grant engagement proposal: the scope of the application work, a fixed fee, or a lower fixed fee with a success fee as an option the client chooses, and a timetable on a Gantt chart (Business). The client signs it before work starts. The fees and terms are yours; QuoteCloud doesn't set them.
Can QuoteCloud help with R&D tax credit claims?
Yes, with the engagement. Send an R&D engagement that lists the activities you'll describe with the client's team, fixed fees for the registration and the claim, a payment on signing and what you can't promise. Any registration and the claim go through the program's own channels, by the program's own deadline.
Can the client sign the application's declarations?
Yes. Copy the declarations from the funder's own form into the document and add a signature block for each director who must sign. Once everyone has signed, export the document as a PDF (Starter and up) and attach it to the application in the funder's portal, if the program accepts it.

Onboarding and secure client information
How do we collect a new client's information?
Send an information request as a QuoteCloud document. A Forms block (Business plan) collects answers inside the document, beside a checklist of the files you need from the client. Your team can see what has been answered, and a Zapier trigger can turn submitted answers into a task in your practice system.
Where do tax ID numbers and identity documents go?
Not in a QuoteCloud document. Collect tax ID numbers, identity documents and bank details through your practice's own secure process or client portal, and say so in your privacy clause. The information request can tell the client where and how to send them.
Can we protect an information request or engagement?
Yes. Share documents through a password-protected link, and require a one-time passcode, sent to the signer by email, before they can sign. Signed documents carry an audit trail and a certificate of authenticity. Sections only your team should see can be marked Hide from Recipient.
Signing
Are QuoteCloud eSignatures legally binding?
QuoteCloud eSignatures are legally binding and eIDAS compliant. Each signed document carries an audit trail and a certificate of authenticity. eSignatures are included on every plan, including the free plan, and clients sign in their browser with no QuoteCloud account. Your own advisers can confirm what applies to a particular agreement.
Can directors or trustees sign in person?
Yes. A signer can sign on your device, for example a tablet at the annual meeting, as well as online in their own browser. Each director or trustee still has their own signature block, and the certificate of authenticity records every signature.
Can clients initial each page?
On uploaded PDFs, yes: initials and date fields can be placed on a PDF you upload for signing. Documents built in QuoteCloud use signature blocks, one per signer, with a certificate of authenticity and audit trail, rather than initials on each page.
Annual re-engagement
Do engagement letters renew automatically?
No. Give each letter an expiry date, find the ones coming up with the Expiring Soon filter and send next year's letter, individually or with bulk send on the Essentials plan and above. Each client signs the new letter; nothing renews or bills by itself.
Can we send next year's letters to every client at once?
Yes, with bulk send on the Essentials plan and above. Choose the updated template and your client list, and QuoteCloud creates and sends a personalised copy for each client, each signed and tracked on its own. Bulk send has volume-based costs. For bespoke letters, Revise Last Version on Business keeps last year's version in the history.
How do we see which clients haven't signed next year's letter?
The documents list shows each letter's status as clients act: Sent, Opened, Signing when some but not all signers have signed, and Accepted. Filter by several statuses at once and save it as a custom filter for the season. Following up is up to your team.
Xero, QuickBooks and integrations
Does QuoteCloud connect to Xero or QuickBooks?
Yes, through Zapier from the Essentials plan, or natively on the Business plan. The Xero and QuickBooks Online pages describe connecting through Zapier from the Essentials plan, so a signed engagement can create a contact or an invoice. FreshBooks connects through Zapier too. QuoteCloud doesn't describe it as a two-way sync.
Does QuoteCloud integrate with our practice management software?
QuoteCloud doesn't list a built-in integration with a named practice management system. If yours has a Zapier or Make connector, connect it through that, for example to add an onboarding job when an engagement is signed. Otherwise your developer can use the QuoteCloud API. Zapier, Make and the API are on Essentials and up.
Are there fees for documents created through Zapier or the API?
Yes. Documents created through the QuoteCloud API or Zapier carry a per-document creation fee: US$2.00 each for the first 1,000, $1.80 each from 1,001 to 5,000 and $1.60 each above that. No per-document fee is stated for Make. Check the pricing page for the current figures.
Implementation and set-up
How do we get started in a practice?
Start with one service line, usually the engagement letter and your fixed-fee proposal. Set up your services price book, build the templates with your terms as library blocks, then add the other lines. During the trial QuoteCloud converts one template for free, and paid plans include a 45-minute training session.
Can we import our services price list?
Yes. The product catalogue imports a CSV file: you map each column to a catalogue field, such as code, name, category, price and cost, and the import is validated before it's saved. Each service can then be added to a proposal from the catalogue. The product catalogue is on Essentials and up.
Who can help us set QuoteCloud up?
QuoteCloud offers paid onboarding services and professional services, for example to convert more of your templates or set up integrations. Enterprise plans include implementation support and an account manager. Every trial on Essentials, Business or Enterprise includes one free template conversion.
What QuoteCloud doesn't do
Does QuoteCloud bill clients, renew engagements or chase signatures?
No. QuoteCloud doesn't invoice your monthly fees, renew an engagement when it expires or send reminders by itself. It shows the fees in the agreement, takes one payment on signing if you set one, shows expiry dates and statuses, and sends what you choose to send. Billing stays in your accounting system.
Does QuoteCloud file returns or submit to government portals?
No. QuoteCloud doesn't file tax returns or sales tax returns, connect to the tax authority or the company regulator, submit grant applications to a funder's portal or register R&D activities. It prepares, sends and gets signatures on your documents and exports a PDF; you or your client file or submit through the official channels.
Does QuoteCloud check grant eligibility or guarantee outcomes?
No. QuoteCloud doesn't know grant program rules, check whether a client is eligible, calculate what they're entitled to or guarantee approval. Your firm reads the guidelines and advises the client; the funder assesses the application and decides. A budget schedule in QuoteCloud only totals the figures and rate you enter.
Does QuoteCloud give tax or accounting advice?
No. QuoteCloud has no tax rules built in and gives no tax, accounting or legal advice. The advice, scope wording, terms and fees in your documents are your firm's own. QuoteCloud builds, sends, tracks and gets signatures on them, exactly as your team writes them.
Can several of our team edit a proposal at the same time?
QuoteCloud doesn't offer real-time co-editing. Colleagues and clients can comment inside a document, and on the Business plan version history keeps earlier versions so you can see what changed. Plan who edits each letter, then use comments and approvals for review.
Security
Is client information secure in QuoteCloud?
Documents are hosted on Amazon Web Services with 256-bit encryption, QuoteCloud is GDPR compliant, eSignatures are eIDAS compliant and signed documents carry an audit trail and a certificate. You can password-protect links and require a one-time passcode to sign. Keep tax ID numbers and identity documents out of documents and collect them through your secure process.
Can we hide internal notes from clients?
Yes. Mark a section or container Hide from Recipient and it stays in the document for your team, shaded in the editor, but is never shown to the client. Use it for pricing guidance in a template or notes for the partner reviewing a proposal.
Can we control what each staff member can do?
Yes. Custom roles, from the Essentials plan, set what each person can do, including who can create or change content library items. Content locking on Business protects standard terms. Enterprise adds single sign-on and IP filtering for practices that need them.
Plans and pricing
Which plan does an accounting practice need?
Most practices start on Essentials (US$39 per user per month): price tables, the services catalogue, templates, payments on signing, bulk send and Zapier, Make and the API. Business (US$59) adds the Forms block, approval workflow, content locking, Gantt charts and version history, and native integrations.
Is there a free trial?
Yes. QuoteCloud has a 14-day free trial of Essentials or Business with no credit card required, and a free plan with two documents a month and eSignatures. During the trial QuoteCloud converts one of your existing templates, such as your engagement letter, for free on Essentials, Business and Enterprise.
How is QuoteCloud priced?
Per user per month, in US dollars: Free $0, Starter $14.95, Essentials $39 and Business $59, with custom Enterprise pricing. Bulk send has volume-based costs, and documents created through the API or Zapier carry a per-document creation fee. See the pricing page for current details.
