- Building QuoteCloud since 2013
Commercial builders use QuoteCloud to send fit-out proposals and tender responses: a price table by trade package with preliminaries and options, a Gantt programme, licences, insurances and safety content kept locked in the content library, an approval step for large bids on Business, several signers and a PDF export for tender portals.
A sample fit-out proposal from a fictional builder, Corbel Building Co., for a dental surgery fit-out (CB-C-0412): the cover, and in front its contents ticking off one by one: company profile and methodology from the content library, the price by trade package, a 10-week programme, locked licences, insurances, safety and quality, and two signers. Last comes the approval status: In Review because the total value is over $250,000, approved by the construction manager and waiting for the director.

Priced by trade package, options kept apart
Preliminaries, strip-out, partitions and ceilings, joinery, services and finishes each get a section with its own subtotal, priced from your cost book. After-hours works and the acoustic upgrade sit apart as options the client ticks.
Your costs and margins stay in your team's view of the table, never the client's.
- Section headings with group subtotals and a note on every line
- Optional rows and single- or multiple-choice groups
- A 5% mobilisation payment on signing via Stripe

A bid over your threshold waits for sign-off
With the after-hours option, the Fernmoor Dental fit-out comes to $329,160 + tax. Corbel's approval rule is a total value over $250,000, so the proposal goes In Review until the construction manager and a director approve it.

Two sign-offs: yours, then the client's
Inside Corbel, the construction manager and a director approve the proposal before it can be sent. At Fernmoor Dental, both directors sign the same document, each in their own signature block, and the 5% mobilisation payment is taken on signing.
- Approval rules on total value or discount percentage
- Several signers on one document, no account needed
- Mobilisation payment by card via Stripe or PayPal (Essentials and up)

Fit-out and tender questions
Can QuoteCloud be used for commercial fit-out proposals?
Yes. Commercial builders send fit-out proposals and tender responses from QuoteCloud: a price table by trade package with preliminaries and options, a Gantt programme on the Business plan, methodology, safety and insurance content from the content library, several signers, and a payment on signing if you take one.
Does QuoteCloud connect to tender portals?
No. Export the finished response as a PDF, on Starter and above, and upload it to the portal yourself. Or send the client a link to the live document, where they can review it, choose options and sign.
Can we stop estimators editing insurance and safety wording?
Yes, on the Business plan. Content locking lets you lock blocks such as licences, insurances and safety wording so they go out as approved. Keep the approved versions in the content library, on Essentials and above, so every proposal starts from current content.
Can large bids need approval before they are sent?
Yes, on the Business plan. Set an approval rule on total value, for example over $250,000, or on discount percentage. The proposal goes In Review, and the named approvers approve or decline it before it can be sent.
Can we import a bill of quantities?
Not as a bill of quantities. You can import your rates and items into the product catalogue from a CSV file, with column mapping and validation, and build the price table from the catalogue. QuoteCloud does not import bills of quantities or take quantities off plans.
Can two directors sign the same proposal?
Yes. Add each director as a signer: each gets their own signature block, no account is needed, and the document shows who has signed. The signed document carries a certificate of authenticity and an audit trail. eSignatures are included on every plan.
