Getting started with QuoteCloud

Construction quoting questions, answered

Straight answers for builders, renovators, trades and fit-out companies, including what QuoteCloud deliberately doesn't do.

QuoteCloud is quoting, proposal and eSignature software for builders, renovators, subcontractors and fit-out companies. These answers cover staged estimates and PC sums, variations, contracts, deposits and progress claims, approvals and roles, Xero and job-system integrations, implementation, security, plans and pricing, and the things QuoteCloud does not do, such as billing progress claims.

Estimates, stages and allowances

What is QuoteCloud for construction companies?

QuoteCloud is quoting, proposal and eSignature software for builders, renovators, trade subcontractors and commercial fit-out companies. You build estimates and contracts from templates, price labour, materials and subcontract work from a product catalogue, add plans, photos and a build schedule, and clients sign online and can pay a deposit, all in one document.

Can an estimate be priced by stage or by trade?

Yes. Price tables take a section heading for each stage or trade package, such as site works, base, frame and lock-up, with a subtotal under each group, tax added in the totals and a note on every line. Lines come from your catalogue or are typed in for one job. Price tables are on Essentials and above.

How do we show PC sums and provisional sums?

Mark them in the line name or note, such as 'PC sum' for the tiles or 'Provisional sum' for rock excavation, and list them again in a table block that explains what each allowance covers. QuoteCloud shows the allowances; it doesn't reconcile them. A difference at selection time goes into a signed variation.

Can owners choose upgrades in the estimate?

Yes. Add upgrades such as a skylight, better flooring or an extra air-conditioning zone as optional rows. Owners tick the ones they want in the document, and the totals and the deposit update before they sign. A single-choice group works for picking one of several finishes.

Can we price from our own rates and keep our margin private?

Yes. Import your labour, material and subcontract rates into the product catalogue from a CSV, with a cost price beside each sell price. The team sees cost and margin; the client sees only the price. The product catalogue is on Essentials and above, and role permissions decide who can change it.

Can we include plans, site photos and a build schedule?

Yes. Add drawings as PDF pages or images, put site photos in a gallery and mark them up with the built-in image editor; image blocks are on Starter and above. A Gantt chart block shows the build schedule with tasks, durations and milestones on the Business plan.

Can we use QuoteCloud for tenders and commercial fit-outs?

Yes, for the proposal you send. Price a fit-out by trade package with preliminaries and options, add your programme as a Gantt chart, attach your compliance content and have several directors sign. QuoteCloud doesn't connect to tender portals; download the PDF or send the link as the tender asks.

Variations and changes

How do variations work in QuoteCloud?

Send each variation as its own document from a variation template: the change as contracted beside the change as varied, its price, the revised contract sum and any effect on time. The owner signs it online or in person on your phone or tablet before the work starts. There is no separate variation module; a variation is a signed document.

Can the owner sign a variation on site?

Yes. Open the document's signing view on your phone or tablet and hand it to the owner. They sign in person and both owners can be sent a copy with the certificate of authenticity. Signing in person works on every plan, as do online signatures.

Can we change an estimate after it has been sent?

Yes. Revise Last Version creates a new revision marked Revised and keeps the earlier one in the document history, so the owners always sign the latest estimate. Version history is on the Business plan. Once the contract is signed, record changes as variations instead.

Can a variation take a payment?

Yes. A signed variation is a document like any other, so it can take a payment on signing through Stripe or PayPal, as a percentage or a fixed amount, from Essentials. Many builders instead add approved variations to the next progress claim, invoiced from their accounting software.

Can large variations need approval first?

Yes, on the Business plan. An approval workflow can hold a document In Review when its total value or discount percentage passes a limit you set, so a construction manager or director approves the variation before it goes to the owner.

Contracts, deposits and progress claims

Can owners pay a deposit when they sign?

Yes, from the Essentials plan. Connect Stripe or PayPal, then set the payment in the document as a percentage of the total or a fixed amount. The owner pays straight after signing and the document is marked Paid. A payment gateway is required, and gateway availability and fees vary by region and provider.

Does QuoteCloud send or collect progress claims?

No. QuoteCloud takes the deposit or a full payment when the document is signed. Set out the stage payment schedule in the contract as content, then invoice each progress claim from your accounting software as stages are reached. Signed documents can reach Xero or QuickBooks natively on Business, or through Zapier or Make.

Can two owners or two directors sign the same contract?

Yes. A document can have several signers, each with their own signature block, and nobody needs an account to sign. Each signer can sign in their own browser, or in person on your phone or tablet. The signed document carries a certificate of authenticity and an audit trail.

Can the contract show the full payment schedule?

Yes, as contract content: a table from the deposit to practical completion with each stage's share and amount. Only the deposit is paid in QuoteCloud, on signing; each later row is your own progress claim. QuoteCloud doesn't schedule, send or chase those claims.

Does QuoteCloud make our contract compliant with building laws?

No. QuoteCloud sends, signs and records the contract you write; it doesn't give legal advice or check your terms against any building, warranty or payment laws. Have your contract wording, deposit amounts and insurance requirements checked by your own adviser, then lock that wording in QuoteCloud.

Which payment gateways can we use?

Stripe and PayPal. Connect your own account in QuoteCloud's settings and choose it per document. QuoteCloud doesn't store card details; the payment is handled by the gateway. Gateway fees, payout times and availability depend on Stripe or PayPal and your region.

Approvals, roles and control

What can trigger an approval?

On the Business plan, an approval workflow can trigger on the document's discount percentage or total value, such as a discount above 5% or any proposal over $250,000. The document goes In Review, and every required approver approves or declines it before it can be sent.

Can an approval trigger on our margin?

No, margin isn't a confirmed approval trigger. Set the rule on discount percentage or total value instead. Costs and margins are kept in your team's view of the price table and the catalogue, so the construction manager can check them while the document is In Review.

Can we lock our licence, insurances and contract terms?

Yes, on the Business plan. Save them as Company blocks in the content library and switch the lock on. Locked blocks can be added to any document but not edited there, and only admins or permitted users can unlock them. Keeping the details current is up to you.

Can estimators, supervisors and the office have different permissions?

Yes. Custom user roles and teams are available from Essentials. Roles decide who can create, change or delete content library blocks, who can use the library at all, and who can change the product catalogue, so estimators price from the cost book without editing it.

Can we see when the owners open the estimate?

Yes. Document tracking shows when an estimate is sent, opened and signed, and owners can ask questions in comments inside the document. The office sees where every estimate stands without ringing the owners first. Document tracking is on Essentials and above.

Accounting, job systems and integrations

Does QuoteCloud connect to Xero and QuickBooks?

Yes. The native Xero and QuickBooks Online integrations are on the Business plan, so a signed estimate can become an invoice with the same lines, quantities and tax. On Essentials, Zapier and Make can do the same, with a per-document fee for documents created through Zapier or the API.

Does QuoteCloud sync with simPRO or ServiceM8?

No, not as a two-way sync. Through Zapier, from Essentials, a signed estimate can create a job in simPRO with the client, site and sections, or a job in ServiceM8 with the contact, address and a description. Changes in the job system don't flow back to the estimate.

Can a signed estimate go into our calendar or job register?

Yes, through Zapier. A new or signed document can create a Google Calendar event, one way from QuoteCloud, add a row to a Google Sheets job register or file the signed contract in Microsoft OneDrive. Zapier is on the Essentials plan and above.

Does QuoteCloud connect to other construction software?

Directly, QuoteCloud connects natively to Xero, QuickBooks Online and CRMs such as HubSpot and Pipedrive on Business. For other job management or project tools, Zapier, Make and the QuoteCloud GraphQL/REST API, from Essentials, are the routes; check which actions your tool offers in Zapier or Make, or ask our team about integration set-up.

Is there an API for our own systems?

Yes. The QuoteCloud GraphQL/REST API, from Essentials, lets any system that makes HTTPS requests create documents from a template's data items and act when they are viewed or signed. API and Zapier documents carry per-document fees, from US$2.00 each for up to 1,000 a month.

Implementation and training

How do we get started?

Start a 14-day free trial of Essentials or Business, with no credit card. Import your cost book, send us your estimate or contract template to convert, lock your licence and insurances, set roles and approvals, and try it on one real job before the whole team switches.

Will QuoteCloud convert our existing template?

Yes. During the trial QuoteCloud converts one of your existing document templates for free on the Essentials, Business and Enterprise plans. Further conversions are a paid add-on, billed per template. Most builders start with the estimate they send most often.

What training is included?

Paid plans include a complimentary 45-minute virtual training and Q&A session for your estimators, supervisors and office. Extra 60-minute sessions are available as a paid add-on, and the QuoteCloud user guide has hundreds of step-by-step guides for every feature. Many builders book it once the cost book and templates are in.

Is there templates help for builders?

Yes. The library has construction templates for residential and general contractor proposals, home improvement and home repair contracts, a roofing proposal and a subcontractor agreement. There is no variation or progress-claim template in the library; build one from blocks or have yours converted.

What extra help can we buy for a bigger rollout?

Professional services cover more template conversions, extra training sessions and consultancy and set-up for Zapier, APIs and other platforms. Premium 24×7 support with guaranteed SLAs is a paid add-on. Enterprise includes implementation support and a dedicated account manager. Ask the team for prices.

What QuoteCloud doesn't do

Does QuoteCloud do quantity take-off from plans?

No. QuoteCloud doesn't measure plans or import CAD or BIM files. Do your take-off in your usual tool, then price the quantities in QuoteCloud from your cost book. The drafter's plans can go into the estimate as PDF pages or images so the owners see what the price covers.

Does QuoteCloud do job costing or reconcile allowances?

No. QuoteCloud prices, sends and records the estimate and keeps your cost and margin per line, but it doesn't track actual costs on site or reconcile PC and provisional sums. Handle those in your job or accounting system, and put any difference into a signed variation.

Does QuoteCloud bill instalments or send payment reminders?

No. QuoteCloud takes one payment on signing, a deposit or the full amount, through Stripe or PayPal. It doesn't set up instalments, bill stages automatically, send payment reminders or chase overdue claims. Raise each progress claim from your accounting software.

Can several people edit the same estimate at once?

Real-time co-editing isn't confirmed. Your team and the owners can leave comments in the document, and Revise Last Version keeps a clear history of each revision, with full version history on Business. Agree who edits an estimate before it goes out.

Does QuoteCloud renew contracts or set a signing order?

No. Documents can carry an expiry date and the Expiring Soon filter shows which are close, but nothing renews by itself. Several signers can each sign in their own signature block, and a fixed signing order is not a confirmed feature, so plan the order of signing with your clients.

Does QuoteCloud check our licence or insurance details?

No. Licence numbers, policies and certificates are your content; QuoteCloud shows them in your documents but doesn't verify them. Keep them in one locked company block on Business so the office updates them once and every estimate carries the current details.

Signing, security and records

Are eSignatures from QuoteCloud legally binding?

QuoteCloud eSignatures are legally binding and eIDAS compliant, and included on every plan. Owners can draw, type or upload a signature, and an optional one-time passcode can check the signer before they sign. Whether an electronic signature suits a particular contract is a question for your adviser.

What record do we get of a signed contract?

Every completed document includes a certificate of authenticity and an audit trail, and each document has a unique ID. The certificate records who signed and when, and the document history shows when it was sent, opened and revised. Keep it with the job as the record of what the owners agreed.

Where is our data stored and how is it protected?

QuoteCloud is hosted on Amazon Web Services, with personal information stored on servers in the USA. Documents are protected with 256-bit encryption, and QuoteCloud doesn't store card details: payments go through Stripe or PayPal. Enterprise adds single sign-on and IP range filtering.

Can we keep costs and margins away from the client?

Yes. Cost and margin columns stay in your team's view of the price table and the product catalogue and are never shown to the client. Sections and containers can also be hidden from the recipient, for internal notes the owners shouldn't see.

Plans and pricing

Which plan does a building company need?

Most need Essentials (US$39 per user per month) for price tables, the cost book, templates, deposits and Zapier. Business (US$59) adds approvals, content locking, Gantt build schedules, version history, custom branding and native Xero and QuickBooks. Enterprise has custom pricing.

Is there a free trial or a free plan?

Yes. Essentials and Business start with a 14-day free trial, no credit card required, with one free template conversion during the trial. The Free plan includes eSignatures for 2 documents a month and one user, which suits trying signing before you build estimates.

Are there extra costs beyond the plan?

Possibly. Documents created through Zapier or the API carry per-document fees, bulk sending has volume-based costs, and Stripe or PayPal charge their own fees. Extra template conversions, training sessions, premium support and storage above 500 MB per user are paid add-ons.

Who should we contact with other questions?

Book a demo with the QuoteCloud team to see your own estimate, contract or variation set up, or to ask about Enterprise pricing, integrations and implementation support. The user guide at support.quote.cloud covers every feature step by step. Support on Essentials and Business is by email in business hours, Monday to Friday.
