Getting started with QuoteCloud

Recruitment proposal and terms software FAQ

Straight answers to what recruitment agencies ask before they move their terms and proposals to QuoteCloud.

QuoteCloud is proposal, terms and eSignature software for recruitment agencies. This FAQ covers fee bands and retained stages, rate cards with hidden margins, several signers and discount approvals, annual terms reviews, candidate data, integrations with your ATS, CRM and accounts, pricing and the free trial.

Fees and terms of business

Can I set different fee percentages by salary band?

Yes. Put your fee scale in your terms of business, for example 15% under $100,000 rising to 22% from $200,000, each a percentage of first-year base salary. It's a table block in your template, and on the Business plan you can lock it so no consultant changes it by accident.

Can a client choose contingent, exclusive or retained terms?

Yes. Set the options out in your terms, or as a single-choice group in a price table, and the client picks one before signing. The percentages and conditions are your own; QuoteCloud shows them, records the client's choice and collects the signatures.

Can the client pay a retained engagement fee when they sign?

Yes. Set a payment on signing as a percentage or a fixed amount, paid through Stripe or PayPal on Essentials and up. In a retained search that's the engagement fee. The shortlist and placement fees are invoiced by your agency when each stage is reached; QuoteCloud doesn't bill them.

How do I offer a replacement guarantee or a rebate?

Write it once as a block in your terms: a free replacement within a period, or a sliding rebate scale. Save it in the content library, lock it on Business, and let the client choose per role. The periods and percentages are your own; QuoteCloud doesn't calculate or pay rebates.

Can I give one client a discount on our standard fees?

Yes. Use the Discount column on the fee lines, as a percentage or a fixed amount. On the Business plan, an approval workflow can hold any document with a discount over your limit In Review until a director approves it. The client sees the discounted fee in their own copy of the terms.

Temp, contract and RPO

How do I show a charge rate without showing our margin?

Put the pay rate and on-costs in a Cost column and the charge rate as the price. Costs and margins are hidden from the client, so they see the role and the hourly charge rate while your team sees the rest. The figures are yours: QuoteCloud doesn't calculate minimum pay rates or on-costs.

Does QuoteCloud handle timesheets or weekly invoicing?

No. Timesheets, pay runs and weekly invoices stay in your payroll or back-office system. QuoteCloud carries the rate card the client signs, with the charge rates and terms your invoices then follow. Give each rate card an expiry date so next year's charge rates go to the client for review in good time.

Can a rate card show rates per hour, per shift or per day?

Yes. Every price-table line has its own unit and note, so a nursing rate card can list each role by shift at an hourly rate, and a technology rate card can use day rates. Give each rate card an expiry date for the yearly review.

Can I quote an RPO programme with a monthly fee?

Yes. Put the set-up fee as one-off rows beside a repeating monthly programme fee, and take part of the set-up fee on signing through Stripe or PayPal. The monthly fee is set out in the proposal and invoiced by your agency each month; QuoteCloud doesn't bill recurring fees.

Signers and approvals

Can the hiring manager and procurement both sign?

Yes. Add several signers to one document, each with their own signature block. They sign in their own browser with no account, and you can see who has signed and who hasn't. Every signed document comes with a certificate of authenticity and an audit trail.

Are QuoteCloud eSignatures legally binding?

QuoteCloud eSignatures are legally binding and eIDAS compliant, with a certificate of authenticity and an audit trail for every signed document. An optional one-time passcode can confirm the signer before they sign. eSignatures are on every plan, including Free. Signers don't need a QuoteCloud account.

Can fee discounts need a director's approval before sending?

Yes, on the Business plan. An approval workflow can trigger on the discount percentage, the total value, the creator's team or role, the template or the customer. The document goes In Review and can't be sent until every approver has approved it.

Can a client sign in person at a meeting?

Yes. A client can sign on your device during a meeting, as well as online in their own browser. Either way the signature is recorded with the document's audit trail and certificate of authenticity. It works for any document, from terms of business to a rate card.

Candidates, data and integrations

Do QuoteCloud proposals include candidate CVs or match scores?

No. Client documents in QuoteCloud are candidate-free: terms, proposals and rate cards about the client, the roles and the fees. Shortlists go to the client separately, from your ATS, with each candidate's consent. QuoteCloud doesn't store, parse, match or score candidates.

Does QuoteCloud integrate with my ATS?

No ATS is natively integrated. Connect yours through Zapier or Make where it has a connector, or through the QuoteCloud API, from Essentials. An automation can create a document from a template, fill its data items and add fee rows, then act on events such as a signature.

Which CRMs and accounting systems connect?

HubSpot and Zoho connect through Zapier, and Pipedrive connects directly. Xero and QuickBooks connect natively on the Business plan, otherwise through Zapier. Placement invoices are raised in your accounting system, not in QuoteCloud.

Where is QuoteCloud data stored?

QuoteCloud is hosted on Amazon Web Services, with personal information stored on servers in the USA, and uses 256-bit encryption. It is GDPR compliant, and every signed document has a unique document ID and an audit trail. Card payments go through Stripe or PayPal, and QuoteCloud doesn't store card details.

Plans and the free trial

How much does QuoteCloud cost for a recruitment agency?

Plans are priced in USD per user per month: Free $0 for two documents a month, Starter $14.95, Essentials $39, Business $59 and Enterprise on request. Essentials covers price tables, payments on signing and bulk send; Business adds approvals, content locking and native integrations.

Is there a free trial?

Yes. Essentials and Business start with a 14-day free trial with no credit card. During the trial QuoteCloud converts one of your existing templates for free, such as your terms of business, and paid plans include a 45-minute training session. Use the trial to send real documents to real clients before you decide.

Which plan do I need for approvals and locked fee bands?

Business ($59 per user per month). It adds approval workflows, content locking, version history, Gantt charts and native CRM and accounting integrations to everything in Essentials. Essentials ($39) covers templates, price tables, payments on signing, expiry dates, bulk send, Zapier, Make and the API.

Are there per-document fees?

Only for documents created through the API or Zapier: US$2.00 each for up to 1,000 a month, US$1.80 from 1,001 to 5,000, and US$1.60 above that. Bulk send has volume-based costs. Zapier, Make and the API are on Essentials and up, and no per-document fee is published for Make.

What stays in your other systems

QuoteCloud is where client documents are written, agreed and signed. These jobs stay where they already live.

  • Invoices

Placement fees, timesheets and later retained stages are invoiced from your accounting or payroll system, not by QuoteCloud.

  • Candidates

CVs, shortlists, consent and candidate records stay in your ATS. QuoteCloud doesn't parse, match or score candidates.

  • Pay rates and on-costs

Minimum pay rates, payroll and on-cost calculations stay in your back office. Rates in QuoteCloud are your own figures.

  • Renewals

Nothing renews by itself: expiry dates show what's due, and your team sends the new terms.

  • Compliance checks

Registrations, licences and clearances are checked in your own process. QuoteCloud doesn't verify credentials.

  • Legal advice

Your terms are your own wording. QuoteCloud carries them and collects the signatures; it doesn't advise on employment law.
