Getting started with QuoteCloud

Connect QuoteCloud to your ATS, CRM and accounts

Create terms from your ATS or CRM, and send signed terms and won roles back, through Zapier, Make or the API.

No ATS is natively integrated with QuoteCloud. Connect yours through Zapier or Make where it has a connector, or through the QuoteCloud API: create a document from a template with data items and fee rows, then act on events such as Recipient Signed Document. HubSpot and Zoho connect via Zapier, Pipedrive directly; Xero and QuickBooks are native on Business.

A sample retained search proposal from a fictional agency, Ashby Lane Recruitment, for Bellbrook Foods, behind a checklist of a sample Zapier flow that ticks off step by step: a new retained job in the agency's ATS, where it has a Zapier app; Create Document from the retained search template; the client, role and estimated salary filled as data items; the $66,000 search fee added as a row; Send Document to the CEO and chief people officer; Recipient Signed Document, then Document Payment Event; and the search updated in the ATS by the same Zap.

Your ATS stays the record. QuoteCloud is where terms get agreed.

What changes for consultants and finance once the two are connected.

The jobNot connectedConnected
Starting the document Client, role and salary retyped from the ATS into a Word file. A document created from your template, with the client, role and salary filled in as data items.
Pricing the role The fee worked out on a calculator and typed into the letter. Fee rows added when the document is created: label, note, price and quantity.
Recording the signature Someone remembers to update the job once the client signs. Recipient Signed Document starts the update in your ATS or CRM, where it has a connector.
Invoicing the placement Finance hears about the start date by chance. The signed terms and the client contact reach Xero or QuickBooks, and finance raises the placement invoice there.
Keeping the CRM current Deal stages moved by hand, if at all. HubSpot and Zoho through Zapier, Pipedrive directly: the deal shows what was sent, opened and signed.

What comes back when the client signs

Each step of a QuoteCloud document is an event your automation can act on: first viewed, signed, paid, status changed or a new comment.

Here the retained search is signed by both signers and the engagement fee is paid. Zapier, Make or your developer's code can then update the search in your ATS, record the client in your CRM and pass the signed terms to your accounts.

  • Triggers: Recipient First Viewed, Recipient Signed Document, Document Payment Event, Document Status Changed, Document Comment Event
  • Actions: Create Document, Send Document, Generate PDF Link, Update Document Status
  • The engagement fee paid via Stripe or PayPal on signing

Which systems connect, and how

How QuoteCloud connects to the systems recruitment agencies run, as described on each integration page.

  • Your ATS

No ATS is natively integrated. Connect yours through Zapier or Make where it has a connector, or build it on the QuoteCloud API.

  • HubSpot and Zoho

Through Zapier: build documents from deal and contact details, and log sent, viewed and signed on the deal. See HubSpot and Zoho.

  • Pipedrive

Connects directly: create a document from a deal, contact or organisation, with its status on the Pipedrive record. See Pipedrive.

  • Xero and QuickBooks

Native on Business, otherwise via Zapier. Placement invoices come from your accounting system. See Xero and QuickBooks.

  • Stripe and PayPal

Take a retained engagement fee or an RPO set-up fee on signing, as a percentage or a fixed amount. See online payments.

  • Zapier, Make and the API

On Essentials and up. Documents created through the API or Zapier carry a per-document fee; none is published for Make.

Three ways to connect your ATS

Pick the route that matches the people you have.

  • Your team, with Zapier or Make

If your ATS has a Zapier app or a Make connector, an operations lead can build the flow: the trigger, Create Document, then the signed status written back.

  • Your developer, with the API

Create documents from your ATS with data items and price rows, and act on QuoteCloud's events in your own code. Request examples on our pages are illustrative.

  • QuoteCloud professional services

Consultancy and integration set-up for Zapier, custom APIs and other platforms. Ask us for a price. See professional services.

ATS, CRM and accounts

Agree the terms once. Never retype them.

When the ATS starts the document and the signature updates the ATS, the fee the client agreed to is the fee everyone works from, from the consultant to finance.

Connect your ATS with Zapier

The usual order of work when your ATS has a Zapier app.

  1. Check your ATS's connectors

Look for a Zapier app or a Make connector. If there isn't one, plan the API route.

  2. Add data items to your template

Client, role, salary and anything else the ATS will send, placed where they belong in the document.

  3. Build the create step

Trigger on the ATS event, then Create Document from your template with the data items and fee rows.

  4. Send or review

Send it straight away with Send Document, or let the consultant check it and send it from QuoteCloud.

  5. Write the result back

Use Recipient Signed Document or Document Payment Event to update the job, the client and your accounts.

What connecting costs

Zapier, Make and the QuoteCloud API come with Essentials ($39 per user per month) and up. Documents created through the API or Zapier carry a fee by monthly volume; no fee is published for Make. Prices are in USD, from the pricing page.

  • 1 to 1,000 documents a month: US$2.00 each
  • 1,001 to 5,000 documents a month: US$1.80 each
  • 5,001 documents a month and over: US$1.60 each
  • Native CRM and accounting integrations: Business ($59 per user per month) and up

Integration questions

Does QuoteCloud integrate with my recruitment ATS?

No ATS is natively integrated. You can connect yours through Zapier or Make where your ATS has a connector, or through the QuoteCloud API, all from Essentials. The ATS can then start documents from your templates and receive the signed status back.

Does QuoteCloud connect to HubSpot, Zoho or Pipedrive?

Yes. HubSpot and Zoho connect through Zapier, so documents can be built from deal and contact details and the deal updated as they're sent, viewed and signed. Pipedrive connects directly: create a document from a deal, contact or organisation and see its status on the record.

Can QuoteCloud invoice our placements?

No. QuoteCloud doesn't raise invoices for placements, timesheets or later retained stages. It can take one payment when the client signs, such as a retained engagement fee, through Stripe or PayPal. Placement invoices come from your accounting system: Xero and QuickBooks connect natively on Business, otherwise through Zapier.

What can an automation fill in when it creates a document?

Through Zapier or the API, an automation can create a document from your template, fill its data items such as the client, role and salary, and add price-table rows with a label, note, price, quantity, tax, discount and cost. It doesn't tick optional rows or choose content blocks: those come from your template and the client.

Do documents created through Zapier or the API cost extra?

Yes. Documents created through the API or Zapier carry a fee: US$2.00 each for up to 1,000 a month, US$1.80 each from 1,001 to 5,000, and US$1.60 each above that. No per-document fee is published for Make. Zapier, Make and the API are on Essentials and up.

Do we need to send candidate data to QuoteCloud?

No. Terms of business and proposals are about the client, the role and the fees, so an automation sends client and job details, not candidates. QuoteCloud is not an ATS and doesn't store, parse, match or score CVs. Keep CVs, shortlists and consent in your ATS, where they already live.
