Getting started with QuoteCloud

Replacement guarantees and rebate scales, written once

Free replacement or a sliding rebate, in your words, locked against edits and chosen by the client when they sign.

QuoteCloud keeps your guarantee wording consistent: write the replacement guarantee and the rebate scale once as a company block, lock it on the Business plan so consultants can't change it, and let clients choose between them in the terms. QuoteCloud doesn't track start dates or issue rebates: any credit is calculated and issued by you.

The guarantee block in sample terms of business from a fictional agency, Ashby Lane Recruitment: a free replacement if the hire leaves within 3 months, or a sliding rebate within 12 weeks (75%, 50% and 25% of the fee credited), with the conditions, shown as a locked company block.

Your guarantee, written once and dropped into every set of terms

The replacement guarantee and the rebate scale are company blocks in your content library. Consultants add them to a client's terms; on the Business plan they're locked, so nobody promises six months where your terms say three.

Worked out and issued by Ashby Lane Recruitment from its own accounts. QuoteCloud holds the signed clause; it doesn't track start dates or issue credits.

A sample with fictional figures, not legal advice. In QuoteCloud the guarantee is content in the terms the client signs: QuoteCloud doesn't track start or leaving dates, work out rebates, issue credits or enforce guarantee periods. Your team does that, from your own accounts.

The client's choice, on record with their signature

Procurement asks whether supervisor roles can have the rebate instead of the replacement. The consultant answers in a comment on the terms, and the answer stays with the document both sides signed.

If a hire leaves, you open the signed terms and see the guarantee that applies, the conditions and who signed, with a certificate of authenticity and an audit trail. On the Business plan, version history shows what changed between versions.

Guarantees · in your words

A guarantee is a promise. Make it the same one every time.

Most guarantee disputes start with a promise that differs from the master terms. One locked block, chosen by the client and signed, leaves nothing to argue about later.

What a guarantee block usually covers

The parts agencies tend to write into their guarantee. The wording is always yours.

  • Free replacement

How long it applies from the start date, and how many replacements you'll run.

  • Sliding rebate

The share of the fee credited in each period after the start date.

  • Conditions

Fees paid within terms, notice within a set number of days, and similar conditions.

  • Exclusions

Redundancy, restructure or changes to the role, as your terms define them.

  • Choice per role

Whether the client picks replacement or rebate when they brief each role.

  • How credits are issued

A credit note from your accounts, never a refund through QuoteCloud.

From scattered promises to one locked guarantee

Four steps, done once for the whole agency.

  1. Agree the wording

Your directors settle the replacement, the rebate scale and the conditions.

  2. Save it as a block

Add both guarantees to the content library as company blocks.

  3. Lock it

Lock the blocks on the Business plan so consultants can't edit them.

  4. Use it in every template

Your terms templates pick up the blocks; clients choose and sign.

Guarantee and rebate questions

Can I stop consultants changing our guarantee wording?

Yes, on the Business plan. Save the replacement guarantee and the rebate scale as company blocks in the content library and lock them. Consultants can add the blocks to a client's terms but can't edit the locked wording. The content library itself is on Essentials and up.

Can clients choose between a free replacement and a rebate?

Yes. Write both into your terms and let the client choose per role when they brief you, or offer them as a single choice in a role confirmation. The choice is recorded in the signed document, with its certificate of authenticity and audit trail.

Does QuoteCloud calculate or pay rebates?

No. The rebate scale is your agency's wording in the terms. If a hire leaves early, your team works out any credit from the signed terms and issues it from your own accounts. QuoteCloud doesn't track start or leaving dates, enforce guarantee periods or process refunds.

Is QuoteCloud's guarantee wording legal advice?

No. The guarantee, rebate scale and conditions shown on these pages are fictional samples. Write your own wording with your own adviser; QuoteCloud carries it exactly as you write it and records who signed it.

Can we change the guarantee for one key client?

Yes. Keep a second version of the block in the library, such as a six-month replacement for a key account, and use it only in that client's terms. Lock both versions on the Business plan, and add an approval rule, for example on the customer company, if a director should see those terms before they go out.
