Getting started with QuoteCloud

From the CRM deal to the signed SOW, and back

Pipedrive connects directly, HubSpot through Zapier, and Zapier, Make or the API carry signed SOWs into the rest of your systems.

Pipedrive connects directly on the Business plan: a SOW is created from a deal and its status shows there. HubSpot connects through Zapier. Zapier, Make and the QuoteCloud API are available from Essentials, with a per-document fee for documents created through the API or Zapier. Xero and QuickBooks Online are native on Business, or through Zapier.

The activity of a sample statement of work from a fictional firm: opened by the sponsor, a comment on the workshop answered, signed by the sponsor, signed by procurement (2 of 2 signed), the first payment of $35,805.00 via Stripe, and the SOW's status shown on the Pipedrive deal.

Every system, and how it connects

Native where QuoteCloud has a direct integration; Zapier, Make or the API everywhere else. The plan you need is on each card.

  • Pipedrive: direct

Create a SOW from a deal, contact or organization with its details filled in, and see the SOW's status on the record. Native CRM integrations are on the Business plan.

    Pipedrive integration
  • HubSpot: through Zapier

A Zap creates the SOW from your template when a deal reaches a stage, and updates the deal when QuoteCloud says it's signed. Essentials and up.

    HubSpot and QuoteCloud
  • Zoho CRM: through Zapier

The same pattern as HubSpot: Zapier creates documents from your templates and updates Zoho from QuoteCloud's triggers.

    Zoho and QuoteCloud
  • Salesforce: Zapier or the Sync add-on

Through Zapier, or the Salesforce Sync add-on, which connects your org and pushes document status back to the Opportunity.

    Salesforce and QuoteCloud
  • Xero and QuickBooks Online

Native on the Business plan, otherwise through Zapier, so finance hears about the signed fee and the first payment without a forwarded email.

    Xero and QuoteCloud
  • PSA, time tracking and resourcing

No native integration. Through Zapier, Make or the QuoteCloud API, where your tool has a connector, a signed SOW can start the engagement there.

From a Pipedrive deal to a signed SOW, and back

Rafael opens the Wexley deal in Pipedrive and creates the SOW from it, so the organisation and contacts are filled in. He builds the rest from the firm's SOW template and content library, and sends it to Carla and Tom.

When both have signed and the first payment is paid, the SOW's status shows on the deal record. The partner sees it in the pipeline without asking.

  • Create documents from a deal, contact or organization
  • Document status shown on the Pipedrive record
  • No code to write to connect it

What an automation can set in a SOW, and what it can't

Through the QuoteCloud API, Zapier or Make, your CRM or practice system can create a document from a template you choose, fill its data items (the client, the sponsor, the dates) and add price-table rows when it's created: label, note, price, quantity, term, tax, discount and cost.

It can't tick a client's options or choose which content blocks go in. Those come from the template and from the person preparing the SOW, which is where a partner's judgement belongs anyway.

  • Zapier triggers: Recipient First Viewed Document, Recipient Signed Document, Document Payment Event, Document Status Changed, Form Submitted on Document and Document Comment Event.
  • Zapier, Make and the API are on the Essentials plan and above.
  • Documents created through the API or Zapier carry a per-document fee: US$2.00 each up to 1,000 a month, US$1.80 up to 5,000, US$1.60 beyond. None is stated for Make.
  • Microsoft Teams and Slack alerts cover document updates, comments and actions.

Re-keying, before and after

Where a consulting firm's details get typed twice today, and where they go once QuoteCloud is connected.

The jobTodayWith QuoteCloud
Starting the SOW Copy the client's name, contacts and deal into a Word file. Create the SOW from the Pipedrive deal (Business), or from a HubSpot deal through Zapier.
Updating the pipeline Someone remembers to move the deal to Won on Friday. The signed status shows on the Pipedrive record; through Zapier, a signed trigger updates HubSpot or Zoho.
Telling finance Forward the signed PDF and the fee in an email. Xero or QuickBooks natively on Business, or a Zapier step from the payment event.
Filing the signed SOW Download, rename and drag it into the client's folder. The signed PDF saved to the client's OneDrive folder through Zapier.
Keeping the engagement register A spreadsheet updated when someone has time. A row added to Google Sheets through Zapier when an engagement is signed.
Keeping the team in the loop 'Has Wexley signed yet?' in the team chat. Microsoft Teams alerts for document updates, comments and actions.

Update HubSpot when a SOW is signed

A typical Zap for a firm whose pipeline lives in HubSpot. The same pattern works for Zoho CRM.

  1. Connect QuoteCloud

On Essentials or above, connect your QuoteCloud account in Zapier.

  2. Pick the trigger

Choose Recipient Signed Document, or Document Payment Event if you'd rather wait for the first payment.

  3. Find the deal

Add a HubSpot step that finds the deal for the client named in the SOW.

  4. Update it

Move the deal to your won stage, and add a step for finance or your register if you need one.

  5. Test and switch on

Send a test SOW to yourself, sign it and check the deal before you turn the Zap on.

CRM and integration questions

Does QuoteCloud integrate with Pipedrive?

Yes, directly, on the Business plan. You connect Pipedrive without code, create a quote, proposal or SOW from a deal, contact or organization with its details filled in, and the document's status shows on the Pipedrive record. HubSpot and Zoho CRM connect through Zapier instead.

Does QuoteCloud integrate with HubSpot?

Through Zapier, from the Essentials plan. A Zap can create a document from your template when a deal changes, and QuoteCloud triggers such as Recipient Signed Document or Document Payment Event can update the deal. Documents created through Zapier carry a per-document fee. Zoho CRM connects the same way.

Can we connect Salesforce?

Yes, through Zapier or the Salesforce Sync add-on. With the add-on you connect your Salesforce org from QuoteCloud, documents linked to an Opportunity stay mapped to it, and document status is pushed back to Salesforce. Zapier is available from the Essentials plan, with a per-document fee for documents it creates.

Does QuoteCloud connect to Xero or QuickBooks?

Xero and QuickBooks Online are listed as native integrations on the Business plan; on Essentials you can connect them through Zapier. QuoteCloud takes the first payment on signing; your later invoices for milestones, days worked or retainer months are raised in your accounting system.

Can our CRM or practice system fill in a SOW automatically?

Partly. Through the API, Zapier or Make it can create a document from a template, fill data items such as the client and dates, and add price-table rows when the document is created. It can't tick the client's options or choose content blocks; those come from the template and your team.

Does QuoteCloud connect to our PSA or time-tracking tool?

Not natively. If your PSA, time-tracking or resourcing tool has a Zapier or Make connector, or an API, a signed SOW can trigger a step in it, such as creating the engagement. QuoteCloud itself does not track time, schedule people or bill days worked.
