Getting started with QuoteCloud

QuoteCloud set up the way your firm sells

Your SOW template converted, rate card imported, methods and case studies in the library, approvals set and partners trained.

A consulting firm's QuoteCloud implementation usually covers converting the SOW and proposal templates (one free during the trial), importing roles and day rates into the product catalogue from a CSV, saving methods, case studies and terms in the content library, setting approval rules on the Business plan, connecting the CRM and training partners. Onboarding and professional services are available.

A sample statement of work cover from a fictional firm, Ashcombe Partners, behind a rollout checklist whose items tick off one by one: SOW template converted (week 1, free during the trial), rate card imported from CSV (week 1), method and case studies in the library (week 2), assumptions and terms locked (week 2, Business plan), Pipedrive connected (week 3, Business plan) and partners trained in a 45-minute session (week 4). Last, the approval rule at work: a SOW In Review because its discount is greater than 10%, waiting for the managing partner.

A four-week rollout for a consulting firm

A sample plan for a fictional 12-person firm. Each phase says what you bring, what QuoteCloud gives you and how you'll know it's done.

  1. Phase 1, Week 1

    Convert your SOW template

    You bring
Your best recent SOW: cover, situation and objectives, approach, team, fees and terms.
    QuoteCloud gives you
One template converted free during the trial (Essentials, Business, Enterprise). Further conversions are a paid add-on.
    Done when
A partner can start a branded SOW from the template.
  2. Phase 2, Week 1

    Import the rate card

    You bring
Roles, day rates and costs as a CSV, plus workshops and fixed-fee items.
    QuoteCloud gives you
CSV import with column mapping and validation into the product catalogue; cost and margin kept from the client; Active, Draft and Inactive statuses.
    Done when
Every role on the rate card is a catalogue item, and last year's rates are Inactive.

  3. Phase 3, Week 2

    Fill the library

    You bring
Your method, case studies, team bios, assumptions and standard terms.
    QuoteCloud gives you
Company and personal folders with search and filters; locked blocks whose wording can't be edited (Business).
    Done when
A SOW can be assembled from library blocks without copying from old files.
  4. Phase 4, Weeks 2–3

    Set roles and approvals

    You bring
Who writes, who prices, who approves, and your discount threshold.
    QuoteCloud gives you
Custom roles and teams (Essentials and up); approval workflows triggered by discount % or total value (Business).
    Done when
A discount over 10% goes to the managing partner before the SOW can be sent.
  5. Phase 5, Week 3

    Connect the CRM

    You bring
Your CRM and accounting system, and what should happen when a SOW is signed.
    QuoteCloud gives you
Pipedrive and native accounting integrations on Business; HubSpot and Zoho through Zapier; Zapier, Make and the API from Essentials (per-document fee for API and Zapier).
    Done when
A SOW starts from the deal and its status shows on the record.
  6. Phase 6, Week 4

Train the partners and go live

    You bring
Partners and principals, and two live proposals to send together.
    QuoteCloud gives you
A 45-minute training session on paid plans; extra sessions as a paid add-on.
    Done when
Every new SOW goes out from the template and the rate card.

Sample planning, not a promise: your timing depends on your templates, rate card and CRM.

Your rate card in, role by role

Export the rate card your practice manager already keeps, map each column to a catalogue field and import it. Partner, principal, senior consultant, analyst and change lead become catalogue items with a SKU, a day rate and a cost.

When the new financial year's rates arrive, the same file updates the catalogue: last year's partner rate is marked Inactive and a new role waits as Draft until it's approved.

  • CSV import with column mapping and validation
  • Categories such as Strategy, Operations, People & change and Workshops
  • Cost and margin visible to your team, never to the client

What changes for each role in the firm

The value of an implementation shows up in each person's week, not in a statistic.

The jobTodayOnce QuoteCloud is in
Partner Rewrites the situation and approach for every pitch. Starts from the firm's SOW template and library blocks, and spends the time on the client's problem.
Principal Prices the team in a spreadsheet and pastes it into Word. Prices the team from the rate card; the margin is visible to the team and hidden from the client.
Consultant and analyst Formats the proposal and chases the signatures. Assembles the SOW from the library; tracking shows who has opened and signed.
Change and people lead Builds program pricing from scratch each time. Uses the HR program template with session rates and options the client ticks.
Practice manager Keeps the template folder and the engagement register up to date by hand. Owns the templates, library, roles and approval rules, and the CRM connection.
Managing partner Hears about a large discount after the SOW has gone. Approves or declines it in the document before it can be sent (Business plan).

What each plan includes for getting started

Essentials and Business start with a 14-day free trial, with no credit card. What you can set up for a consulting firm depends on the plan (prices in USD per user per month, from the pricing page).

  • Essentials ($39): price tables, the product catalogue with CSV import, the content library, payments, custom roles and teams, bulk send, Zapier, Make and the API, one free template conversion during the trial and a 45-minute training session.
  • Business ($59): everything in Essentials plus approval workflows, Gantt charts, content locking, version history, the Forms block, the AI Co-Worker and native CRM and accounting integrations, including Pipedrive.
  • Enterprise (custom pricing): implementation support and a dedicated account manager.
  • Add-ons on paid plans: extra template conversions, extra training sessions and premium support. Ask us for prices.

Implementation questions

How long does it take to set QuoteCloud up in a consulting firm?

It depends on how many templates you have, the size of your rate card and whether you connect a CRM. Our sample plan for a 12-person firm runs over four weeks: template conversion and rate card import first, then the library, roles and approvals, the CRM, and training. Treat it as a planning example, not a promise.

Will QuoteCloud convert our SOW template?

Yes. During the free trial, QuoteCloud converts one of your existing templates for free on the Essentials, Business and Enterprise plans. Further conversions are available as a paid add-on through professional services. Send us your current SOW as a Word or PDF file and we'll set up the cover, sections, price table and signature blocks.

Can we import our rate card?

Yes. The product catalogue imports a CSV file with column mapping and validation, so each role becomes an item with a SKU, category, day rate and cost. Costs and margins are hidden from clients, and old rates can be marked Inactive. The product catalogue is on the Essentials plan and above.

Is training included?

Paid plans include a 45-minute training session. Extra training sessions are available as a paid add-on, and Enterprise adds implementation support and a dedicated account manager. Onboarding and professional services are described on the QuoteCloud resources pages. Many firms train partners first, then principals and consultants on live proposals.

Who in the firm should own QuoteCloud?

Usually the practice manager or an operations lead: someone who can own the templates, the content library, the rate card, user roles and approval rules. Partners approve the template and the standard terms; consultants use them. Custom roles decide who can edit templates, the library and the catalogue.
