Tender responses from answers your partners approved
Build each bid from approved answers, case studies and locked insurance wording, price the schedule and route it for approval before anyone submits.

QuoteCloud helps consulting firms answer tenders and RFPs: approved answers, case studies, method and team bios come from the content library, insurance and declaration wording can be locked (Business), the pricing schedule totals itself, and an approval on total value holds the response until a partner approves. Then export a PDF for the buyer's portal.
A fictional council's returnable schedules for RFT 2026-41, filled one by one in Ashcombe Partners' response AP-T-0611: understanding of the brief (tailored), methodology and program, key personnel and relevant experience (from the content library), insurances and declarations (locked company blocks) and the pricing schedule (a price table). A ring shows seven of seven filled. Then the approval card: In Review because the total of $180,400.00 is over $150,000, approved by partner Imogen Hart and pending with managing partner Graham Ellery, with a PDF export for the council's portal.

A pricing schedule that adds up, every time
Price each stage as a lump sum in a price table and the subtotals, tax and total calculate themselves. Anything the council may or may not take up, such as implementation planning, sits as an optional row priced on its own.
The 26-week program goes in as a Gantt with the councillor briefing as a milestone, and your assumptions and departures from the draft contract are written under it, so the evaluation panel finds them where they expect.
- Lump sums by stage with group subtotals and tax
- Optional rows the buyer can see priced separately
- Program as a Gantt chart (Business plan)
- Assumptions and departures in the same document

No response leaves without a partner's approval
Set an approval rule on total value. Lakemont's response comes to $180,400.00, over Ashcombe's $150,000 threshold, so it sits In Review until both named approvers have approved it. Imogen has; Graham hasn't yet.
The insurances and declarations block is locked, so the figures the panel reads are the ones your managing partner signed off, not an edit made at midnight. Once approved, export the response as a PDF and upload it to the council's own portal.
- Approval rules on total value or discount %
- Every named approver can be required
- Locked insurance and declaration wording

Tender and RFP response questions, answered
Can QuoteCloud submit a tender to a government portal?
No. QuoteCloud helps you write, price and approve the response, then you export it as a PDF and upload it to the buyer's own portal or email it as their instructions require. It does not search for tenders, connect to tender portals or check your response for compliance; your bid team does that.
How do I reuse case studies and CVs across tenders?
Save them as blocks in QuoteCloud's content library, in a bids folder with search and filters, and drag the ones that fit into each response. Update a case study or CV once in the library and the next bid starts from the current version. The content library is on the Essentials plan and up.
Can I stop people editing insurance and declaration wording?
Yes, on the Business plan. Lock the insurances and declarations block in the content library: your team can add it to any response but cannot change the wording, so every bid carries the figures your managing partner approved. QuoteCloud does not verify insurance details; the sample figures here are fictional.
Can a partner approve a tender response before it goes out?
Yes. On the Business plan an approval workflow can hold any document over a total value, or with a discount above your limit, In Review until the named approvers approve it. You can require every named approver, and rules can also apply by team, role, template or customer.
Can several people work on the same tender response?
Yes, by taking turns on sections and leaving comments and replies in the document for each other. QuoteCloud does not offer real-time co-editing, so agree who owns each schedule. Version history on the Business plan keeps earlier revisions you can preview or copy into a new document.
