Getting started with QuoteCloud

Your methods, case studies and a first draft to edit

Reusable blocks for your method, case studies, team bios and terms, plus an AI Co-Worker that drafts the executive summary for a person to accept or change.

QuoteCloud's content library holds your firm's methods, case studies, team bios, price tables and terms as reusable blocks you drag into each proposal (Essentials and up), with approved wording locked on Business. On the Business plan the AI Co-Worker can draft an executive summary from call notes you attach; it stays flagged until someone accepts, edits or rejects it.

A consultant's call notes from a briefing with a fictional client, attached as a text file, and a request to the AI Co-Worker: draft an executive summary from my call notes, in a concise tone. In the statement of work, a draft executive summary appears under a flag that reads AI draft, review before it stays, with Accept, Edit and Reject buttons. The consultant clicks Accept and the flag changes to Accepted, part of the SOW now.

One library, every kind of engagement

The same library that builds Ashcombe's network reviews also builds its people work. Here it assembles a change program for Fennimore Health Group, block by block.

A first draft from your own notes, flagged until you decide

Attach the notes from your briefing call as a text file and ask the AI Co-Worker for an executive summary or an introduction, in the tone you choose. It drafts inside the editor, in the section you are working on, and starts from the client's own words rather than a blank page.

The draft stays flagged as AI content until someone accepts, edits or rejects it. Expand it, shorten it or rewrite it in another tone first. It never writes the whole proposal and never sends anything: the partner decides what the client reads.

Executive summary

Wexley has grown into four distribution centres whose catchments overlap, and freight costs have outpaced revenue for two years. Over 12 weeks we will build a fact base of cost to serve, test three network options with your steering group and hand over a roadmap your team can start on before the 2027 lease decisions.

What consulting firms keep in the library

Start with the blocks your partners rewrite most often. Each one is saved once and reused in every SOW, tender and retainer.

  • Your method

Each phase of your approach, written once by the partner who owns it.

  • Case studies

Short, anonymised where you need to, filed in folders so the right one is easy to find.

  • Team bios

Current bios for partners, principals and consultants, ready for tenders.

  • Price tables

Fixed fee by phase, day-rate teams and retainer levels, priced from your rate card.

  • Starter text

Situation and objectives openers your team tailors to each client's brief.

  • Terms and assumptions

Locked on the Business plan, so approved wording can't drift.

Approved wording, locked where it matters

Some words should never be rewritten under deadline: what the fee assumes, what it leaves out, how changes to scope are agreed. Lock that block in the library and your team can place it in any SOW but not change it.

Everything around it stays yours to tailor: the situation, the objectives, the team and the fee. Changes to the locked wording go through the person who owns the library.

  • Lock blocks such as terms, assumptions and insurances
  • Used in every proposal, edited by nobody downstream
  • Custom user roles decide who manages the library

Build your library in five steps

What a practice manager and one partner can set up during the trial.

  1. Gather the best

Collect your strongest method write-up, three case studies, current bios and standard terms.

  2. Save as blocks

Save each one to the content library in folders your team will recognise.

  3. Lock the terms

Lock assumptions, terms and insurance wording so they can be used but not edited (Business).

  4. Build the template

Place the blocks in your SOW template in the order clients read them.

  5. Draft, then decide

For each new client, ask the AI Co-Worker for a first executive summary from your notes, then accept, edit or reject it (Business).

Content library and AI questions, answered

Does the AI Co-Worker write consulting proposals automatically?

No. On the Business plan the AI Co-Worker helps a person draft inside the editor, for example an executive summary or introduction from call notes you attach. Its content stays flagged until someone accepts, edits or rejects it, and it never writes a whole proposal or sends anything. QuoteCloud notes that the AI Co-Worker can make mistakes, so check the draft.

What can I give the AI Co-Worker to work from?

Attach your notes as a text file, such as the notes from a briefing call, and ask for the section you need in the tone you choose. You can then ask it to expand, shorten or rewrite the draft before you accept it. Keep client data to what the task needs, as you would with any tool.

What is QuoteCloud's content library?

A shared store of reusable blocks: text, method write-ups, case studies, team bios, images, price tables and terms. Your team drags them into any proposal, SOW or tender, or inserts several in order, and finds them with folders, search and filters. Company and personal content are kept apart. The content library is on the Essentials plan and up.

Can I stop partners changing standard terms?

Yes, on the Business plan. Lock a library block, such as your assumptions, terms or insurance wording, and it can be placed in any document but not edited there. Custom user roles decide who manages the library, so changes to approved wording go through one owner.

Can I reuse case studies without naming the client?

Yes. A case study is your own content block, so write and save it in whatever form your client agreements allow, for example describing the sector and the problem without a name. Save one version per sector or service line in a folder, so your team picks the right one for each proposal or tender.
