Getting started with QuoteCloud

QuoteCloud for architects and engineers: questions answered

Fee proposals, reports and audits, specifications, sign-off, approvals, integrations, security, plans, and what QuoteCloud doesn't do.

QuoteCloud is document software that architects, engineers, building surveyors and specifiers use for fee proposals, tenders, engagement letters, condition audits, inspection reports and specifications. Documents are built from templates and content blocks, reviewed through approval workflows on Business, and accepted or signed online on every plan. It is not a field inspection app, BIM tool or building certification service.

Fee proposals and tenders

What is QuoteCloud for architects and engineers?

QuoteCloud is document, proposal and eSignature software that architecture practices, engineering consultancies, building surveyors and specifiers use for the documents they send clients. Fee proposals, tender responses and engagement letters sit beside condition audits, inspection reports and specifications, built from the same templates and content blocks and accepted or signed online.

Can a fee proposal be priced by work stage or as a percentage of construction cost?

Yes. Give each work stage its own line in a price table, as a fixed fee or as a percentage of the estimated construction cost using Percentage and Formula columns. Advanced pricing and custom formulas are on the Business plan. Price tables themselves, with section subtotals, line notes and tax, are on Essentials and above.

Can clients choose additional services in a fee proposal?

Yes. Add services such as 3D visualisations, a planning application or contract administration as optional rows the client ticks, or as a single-choice group when they pick one option. The fee, tax, total and any retainer update as they choose, and you see what they added in the document's activity.

Can a fee proposal show the stage programme?

Yes, on the Business plan. A Gantt chart block shows each work stage on a timeline, with optional stages such as a planning application marked as optional and milestones such as the tender issue date. It sits in the fee proposal beside the fees, so the client sees what they're paying for and when.

Can we prepare tender responses and capability statements in QuoteCloud?

Yes. Assemble the response from content library blocks, such as your methodology, team CVs, past projects and insurances, in the order the client asks for, with a Table of Contents block and a fee schedule. Export it as a PDF to upload to the client's portal yourself; QuoteCloud doesn't connect to tender portals.

How do we handle a fee variation for additional services?

Send it as its own document: a fee variation letter from your template, pricing the additional services at the hourly rates in the fee proposal and showing the revised fee. The client signs it online or in person before the work starts. On the Business plan, version history keeps earlier versions of a document.

Can clients pay a retainer when they accept a fee proposal?

Yes, on the Essentials plan and above, with Stripe or PayPal connected. Ask for a retainer on signing as a percentage of the fee or a fixed amount, and the client pays in the same step as signing. The document is marked Paid. Later stage fees are invoiced from your accounting system.

Reports, audits and inspections

Can we write building condition or inspection reports in QuoteCloud?

Yes. A report is a QuoteCloud document built from content blocks: text, tables for condition ratings and asset registers, images marked up in the built-in image editor, a contents block, and a price table for recommended works. The client can accept it with a legally binding eSignature, and you can export it as a PDF.

Is there a condition audit or inspection report template?

No. The QuoteCloud template library has no stock audit, inspection or condition report template. Build yours once from content blocks and save it as a template, or send us your existing report: one template conversion is free during the trial on the Essentials, Business and Enterprise plans.

Can we add site photos and mark them up?

Yes. Add site photos in image and gallery blocks and mark them up in the built-in image editor: crop, rotate, add text, shapes, arrows, highlights and freehand drawing, so the defect is circled and numbered beside the finding. Image blocks and the image editor are on the Starter plan and above.

Can a report include condition ratings and an asset register?

Yes. Use table blocks for a condition rating table, with the element, location, rating, risk, action and budget, or an asset register with tags, condition and remaining life. Save the table to the content library with your columns and rating scale, and every report starts with the same structure.

Can clients approve recommended works inside the report?

Yes. Price the recommended works in a price table, with the first priority included and later priorities as optional rows. The client ticks the works they want, the total updates, and they accept the report with a legally binding eSignature. You see what they ticked and when in the activity.

Can a report be exported as a PDF?

Yes. Export any QuoteCloud document as a PDF, from the Starter plan and above, for an owners' association's records, a council submission or your own project files. Content can be hidden from the recipient and from the PDF, and a Table of Contents block lists each section.

Can a report include drawings or schedules from our design software?

Yes, as images or PDF pages. Export drawings, sections or schedules from your design software and add them to the report with image or PDF blocks, then mark up an image in the image editor where needed. QuoteCloud doesn't connect to BIM or CAD software, so the files are added, not linked.

Specifications and schedules

Can we write finishes and product schedules in QuoteCloud?

Yes. A table block holds the schedule: code, generic description, finish, location and status, such as approved, for review or sample requested. Add sample photos in an image or gallery block beside it, and save your schedule layout to the content library so every project starts with the same columns.

Can clients comment on a specification while it's reviewed?

Yes. Clients and your team can leave comments on a QuoteCloud document, reply to them and @mention colleagues, so a question about a floor finish is answered in the schedule rather than in an email chain. Document tracking also shows you when the schedule was opened.

Can clients sign off samples or a schedule?

Yes. Add an eSignature block with a short summary of what's being approved, such as four of six finishes approved and two samples to follow. The client signs online or in person on your device, and the signed document carries a certificate of authenticity and an audit trail.

Can specification clauses be reused across projects?

Yes. Save clauses and generic descriptions as Company content in the content library, filed in folders by element or trade. Select several and insert them into a schedule together, in order. The content library is on the Essentials plan and above; locking approved clauses is on Business.

Can we keep track of revisions to a schedule?

Yes. Revise Last Version creates a new version from the one you sent, and the Document History records what happened to each document. On the Business plan, version history keeps earlier versions. Note the revision in the schedule itself, such as Issue C replacing Issue B, for the client's benefit.

Sign-off, review and approvals

Are QuoteCloud eSignatures legally binding?

Yes. QuoteCloud eSignatures are legally binding and eIDAS compliant, on every plan. Clients draw, type or upload a signature without creating an account, and every signed document includes a certificate of authenticity and an audit trail. You can ask for a one-time passcode, sent by email, before the client signs.

Can more than one person sign a fee proposal or report?

Yes. Add a signature block for each signer, such as both owners of a new house or two directors of a client company. Each signer signs their own block, and the document shows who has signed. Signing in a set order isn't a confirmed feature, so don't rely on it.

Can a client sign in person on site?

Yes. Clients can sign in person on your device, such as a tablet at a site meeting, as well as online from the link you send. The in-person signature is recorded with the same certificate and audit trail as an online one.

Can reports and fee proposals be reviewed before they're sent?

Yes, on the Business plan. An approval workflow holds a document In Review until the named approvers approve it, such as an associate and a director. Approvers see the whole document and approve or decline it, and it can't be sent until every required approver has approved it.

What can trigger an approval?

An approval workflow can trigger on the discount percentage, the total value, the creator's team or role, the template used, the product folder or the customer. A practice might require approval for every report from its condition audit template and for any fee proposal over a set value. Margin isn't a trigger.

Library, templates and roles

Can we keep standard clauses and limitations consistent across the practice?

Yes. Save limitations, terms of engagement, insurances and specification clauses as Company content in the content library, organised in folders, from the Essentials plan. On Business, lock blocks so they can be used in every document but not edited, and set library access by role.

Who can change locked content?

Only admins and roles with the right permissions can unlock a block, and they do it in the content library, not in a document. Locked blocks can still be dragged into any document. Editing a library block doesn't always update documents that already use it, so check drafts in progress after a change.

Can each studio or discipline have its own templates?

Yes. Create a team for each studio or discipline and use Template Restrictions to assign the templates each team should see, such as fee proposals for the architecture studio and report templates for the surveyors. Custom user roles and unlimited teams are on the Essentials plan and above.

Can our documents use our own branding and fonts?

Yes. Upload your logo, add your fonts to the Font Book, set default typography and add PDF headers and footers with your logo and legal text. Custom branding is on the Business plan. A custom domain and fully white-labelled delivery are a paid add-on for five users or more.

Will QuoteCloud convert our existing templates?

Yes. One existing template, such as your fee proposal or condition report, is converted free during the trial on the Essentials, Business and Enterprise plans. Further conversions are a paid add-on, billed per template. Any QuoteCloud document can also be saved as a template by your own team.

CRM, accounting and integrations

Which CRM and accounting systems does QuoteCloud integrate with?

Native CRM and accounting integrations, including Xero, QuickBooks Online, HubSpot, Salesforce and Pipedrive, are on the Business plan. From Essentials, the same systems and thousands of other apps connect through Zapier or Make, and the QuoteCloud API is available. Zapier and API document creation has per-document fees.

Does QuoteCloud integrate with monday.com?

Yes, through Zapier or Make, from the Essentials plan. A trigger such as a recipient signing a fee proposal can create or update an item on your monday.com board with the client, the reference, the stages and the fee. Each Zap passes the event on in one direction.

Can a signed fee proposal create an invoice in Xero or QuickBooks?

Yes. When the client signs, an integration can create the invoice in Xero or QuickBooks Online with the same lines, quantities and tax, under the matching contact. Native integrations are on Business, and Zapier or Make work from Essentials. Later stage invoices are raised in your accounting system.

Can signed reports be filed to OneDrive or logged in a register?

Yes, through Zapier from the Essentials plan. When a client accepts a report, a Zap can file the signed copy in the project's Microsoft OneDrive folder and add a row to a Google Sheets register with the client, reference and value. Make can do the same with a scenario.

Is there an API for our own systems?

Yes. The QuoteCloud API, on the Essentials plan and above, lets your own systems create documents from a template's data items and act when they're viewed or signed. API and Zapier document creation has per-document fees. Consultancy and integration set-up for custom APIs is available from the QuoteCloud team.

What QuoteCloud doesn't do

Does QuoteCloud have a field or offline inspection app?

No. QuoteCloud is not a field-data capture or offline inspection app, and it doesn't collect data from sensors, meters or building management systems. Your assessor writes the report in the QuoteCloud editor, adding site photos, ratings and findings, after or between site visits.

Does QuoteCloud integrate with BIM, CAD or Revit?

No. There's no BIM, CAD or Revit integration. Drawings, sections and schedules exported from your design software can be added to a QuoteCloud document as images or PDF pages, and images can be marked up in the built-in image editor.

Does QuoteCloud certify buildings or compliance?

No. QuoteCloud doesn't certify compliance or make any assessment of a building. Ratings, findings and recommendations are your practice's professional opinion, written in your report. When a client accepts a report with an eSignature, that records their receipt and approval; it isn't a compliance certificate.

Can QuoteCloud invoice stage fees or instalments?

No. QuoteCloud takes a deposit, retainer or full payment when the client signs, through Stripe or PayPal. It doesn't bill later stage fees, instalments or monthly invoices, or send payment reminders for them. Raise those in your accounting system, which a signed document can feed through an integration.

Can several people edit the same report at the same time?

Real-time co-editing isn't a confirmed QuoteCloud feature. Teams work together on a report through comments, replies and @mentions on the document, and on the Business plan through approval workflows and version history. Ask us about your practice's workflow if several authors write one report.

Signing, security and records

How are our documents and our clients' data protected?

QuoteCloud is hosted on Amazon Web Services, with personal information stored on servers in the USA, and documents are protected with 256-bit encryption. QuoteCloud is GDPR compliant. Card payments go through Stripe or PayPal, and QuoteCloud doesn't store card details.

What record is kept when a client signs?

Every signed document includes a certificate of authenticity and an audit trail, and each document has a unique document ID. The Document History shows what happened to it, such as when it was sent, opened and signed. You can also require a one-time passcode, sent to the signer by email, before they sign.

Can we see when a client has opened a report or fee proposal?

Yes. Document tracking shows when a document is opened and how long it's read, and you're notified as it happens. Tracking and notifications are on the Essentials plan and above. Use it to follow up a fee proposal or check that the committee has opened the report before its meeting.

Is single sign-on available?

Yes, on the Enterprise plan, together with IP range filtering, a custom URL and advanced security controls. From the Essentials plan, custom user roles and teams control who can see and do what, and approval workflows and content locking on Business add control over what's sent.
